Field Services Administrator-Dispatcher

Reports to: Field Service Manager
Department: Field Service
This position will be responsible for receiving incoming calls, creating service tickets based on incoming call request, managing incoming service tickets, completing job estimates, and requesting purchase orders for customers, for multiple Environmental Solutions Group (ESG) Operating Companies. This person, additionally, will be handling various tasks and providing support for the site leadership team, including but not limited to general site and office duties.
ESSENTIAL JOB FUNCTIONS INCLUDE:
Receives incoming calls, transfers to appropriate extension and provides requested information. Create service tickets for multiple ESG Operating Companies; Heil, 3rd Eye and Marathon. Manage incoming service ticket request, scrubbing ticket data and ensuring ticket hygiene for proper service request fulfillment. Creating field service estimates based on service ticket request, following Technical Service standard job estimates practices. Contacting customers for purchase order request to full-fill service dates. Develops and maintains basic administrator knowledge of phone system and makes changes as required. Maintains mailboxes and extensions as needed. Arrange travel for tech services team members. Managing the office supply inventory and placing orders for items per the schedule. Attendance at work, including presence at work during regular working hours, or other schedule as assigned by the department manager, is essential. Acceptance of overtime assignments may be required in order to meet goals and objectives. Performs other related duties as required and assigned.
JOB SPECIFICATIONS:
High school degree required. A Bachelor's degree is preferred. 3 to 5 years' experience required. Prior knowledge of the database, quote system and ticket system that the Technician teams use required. Prior experience providing estimates for service required. Excellent oral and written communications skills, including a clear and courteous speaking voice. Ability to handle multiple incoming calls in a calm, courteous and efficient manner. Basic business and clerical skills needed. Proficient computer skills in Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) at the intermediate to expert level required. Ability to maintain complete confidentiality regarding incoming calls and other information received during the course of employment. Experience in a rapidly growing and changing environment is important. Strong interpersonal skills with the ability to establish and maintain effective working relationships with individuals at all levels within the organization. Strong organizational skills with great attention to detail. Ability to quickly adapt in a fast-paced high-energy environment. Ability to multi-task.
Requirements:
Education: Requires a High School diploma or GED.
Knowledge: Requires ability to understand general arithmetic; ability to write in an understandable manner; understand verbal or written instructions; ability to read and understand instructions, lists and billing materials; use PC based applications, including Mainstar, Outlook, and Microsoft Office, knowledge normally acquired through high school or equivalent experience.
Mental: Requires normal attention with periods of high concentration intermittently to operate machinery approximately 50% of time.
Physical: Requires sitting/standing approximately 95%, lifting to 40 pounds approximately 5% of time.
Audible Demands: Requires ability to follow verbal instructions and to hear for safety purposes.
Visual: Requires the ability to visually observe essential functions for satisfactory job performance and safety; color and depth perception required.
Environmental: Involves exposure to plant environments with the presence of dust, fumes, noise, and fluctuating temperatures due to lack of climate control.

Job Description:
The Service Administrator plays a critical role within the Service Department, supporting all service operations to ensure efficient scheduling, communication, and workflow management. This position works closely with the Service Manager, technicians, and the sales team to ensure customer expectations are met and service deliveries are completed accurately and on time.
This role requires a proactive individual with exceptional organization, communication, and problem-solving skills, someone who can manage multiple priorities in a fast-paced, service-oriented environment.
Essential Duties and Responsibilities:
Coordinate, schedule, and dispatch technicians for installation, startup, warranty, and service work.
Serve as the central point of contact between customers, field technicians, and internal stakeholders.
Communicate upcoming work schedules and job details via email, phone, and text.
Update technician work assignments and job statuses using service management software.
Process completed work orders, generate customer invoices, and ensure timely billing.
Track and reconcile accounts payable and receivable related to service work.
Manage inventory needs and coordinate material procurement for active projects.
Monitor open work orders to ensure timely completion and documentation.
Manage warranty claims, returns, and communication with manufacturers as needed.
Conduct post-job follow-up with customers to confirm satisfaction and address any issues.
Support process improvement initiatives and provide administrative support to the Service Manager.
Perform additional administrative duties as assigned to support department efficiency.
Experience and Requirements:
High school diploma or equivalent required; Associate's degree preferred.
Minimum of 3 years of experience in the HVAC industry, preferably in a service coordination, dispatch, or administrative capacity.
Proficiency with Microsoft Office Suite (Outlook, Excel, Word).
Strong written and verbal communication skills.
Exceptional organizational skills and attention to detail.
Ability to manage multiple priorities independently.
Strong interpersonal skills with the ability to collaborate effectively across teams.

Physical Demands/Work Environment:
Work is completed on a laptop in an office environment with prolonged periods of sitting. The ability to work remotely occasionally is available once training is fully complete. You must be able to commute to our office in Golden Valley, Minnesota.

Introduction to Corporate Aviation Seminar - Dispatcher/Scheduler

Are you an aviation dispatch or scheduling student passionate about aviation? Have you ever wondered about the difference between corporate aviation and the airlines? Then we believe our program is for you! This program is a one week, all-expenses paid educational "hands-on" seminar, where we offer you an accurate and comprehensive insight into the operation and management of a corporate aviation department at one of the world's leading companies. Those that are selected will spend a week in July at P&G's Global Flight Operations in Cincinnati, Ohio.
You will spend the first three days at the hangar meeting with managers and key personnel of different departments to gain an understanding of what it takes to keep a large corporate flight department functioning efficiently. The last two days will focus on duties & responsibilities of a P&G Scheduler/Dispatcher, aspects of flight planning, aircraft orientation, and aircraft maintenance. As the flight schedule allows, you will also get to participate in flight observation rides during scheduled trips.
We have designed all activities and presentations to provide you with a detailed look into the multifaceted world of corporate aviation and introduce you to Cincinnati.
Job Qualifications
We are looking for aviation dispatcher/scheduler students pursuing a certificate or degree in an aviation related field (aviation dispatcher curriculum preferred) to be:
· Returning student in fall semester.
· Working toward FAA Dispatcher certification.
· High academic standing.
· A real passion for aviation.
· A "can-do" attitude.
· A hardworking curiosity regarding corporate aviation
· The willingness to share your experiences and provide feedback to students and faculty upon return from the program.
