Summary : Processes daily incoming vendor/supplier invoices and handles vendor phone calls and business partner inquiries. Responsible for all accounting work that is associated with processing vendor accounts payable and external sales representative commissions to ensure proper and timely payment of obligations. Research/resolves vendor discrepancies. Essential Duties and Responsibilities: Vendor invoice review/validation utilizing OCR protocol. Vendor invoice processing (Purchase order and non-Purchase order based) including 3-way match principals. Invoice review, coding and segregation in invoice approval workflow system conforming to standard procedures to ensure proper entry into the financial system. Work with business partners to resolve invoice and un-vouchered discrepancies in receipts and pricing or other invoice hold issues. Receives, researches, and resolves a variety of routine internal and external inquiries concerning account status, including communicating the resolution of discrepancies to appropriate persons. Sales tax review at invoice level. Analyzes vendor accounts to ensure company is current with payments. Supports weekly vendor and commission (outside representative agencies) payment cycles. Vendor/Supplier setup and maintenance; payment terms administration. Assists in monthly closings and status reporting. Assists in internal control testing and quarterly/annual financial audit. Perform other duties that are needed to support the accounting department. Assists with enhancement/ad hoc projects initiated by the AP Department. Education and/or Experience: Associate's degree in Accounting, Finance, or a related field required. A minimum of 5 years of relevant professional experience in accounting, finance, or business operations is preferred. To perform this job successfully, an individual should have above-average knowledge and experience of Microsoft Applications and common industry ERPs.
