Your Role

Job Summary
The Fiscal Technician Senior, located within the Controller's office, performs a variety of financial accounting transaction responsibilities. This role is primarily responsible for reviewing and balancing cash summaries for all campuses within the Maricopa Community College District. 50% - Process Campus Cash Summaries:
* Log, review, and balance cash summaries
* Run SIS, FMS, and bank reports for balancing
* Record GL transactions in FMS

* Ensure all cash summaries are reviewed, approved, and submitted on time

As an accounting assistant, your role involves providing support to accountants and finance professionals in various tasks related to financial record-keeping and reporting.
Responsibilities:
Bookkeeping: Recording financial transactions in accounting software or spreadsheets, including accounts payable and accounts receivable entries.
Invoice Processing: Verifying and processing invoices from vendors or customers, ensuring accuracy and timely payment or collection.
Bank Reconciliation: Matching bank statements with internal records to ensure all transactions are accounted for and discrepancies are addressed.
Expense Reporting: Assisting in the preparation and submission of expense reports for reimbursement by employees, ensuring compliance with company policies.
Financial Reporting: Generating basic financial reports such as balance sheets, income statements, and cash flow statements under the guidance of senior accountants.
Data Entry: Inputting financial data accurately and efficiently into accounting systems or spreadsheets.
Assisting Audits: Providing support during internal or external audits by gathering requested documentation and ensuring compliance with auditing standards.
Administrative Tasks: Performing general administrative duties such as filing, organizing financial records, and responding to inquiries from clients or colleagues.
Lien Waivers: Review and process requests with accuracy and completeness of lien waiver documents, including lien releases, partial releases, and final releases.
Qualifications:
Proficiency in Microsoft office, Google Sheets and accounting software such as QuickBooks is a plus.
Ability to maintain confidentiality of sensitive financial information.
Previous experience in an accounting or finance role is preferred but not required.
Prior experience preparing monthly financial statements
Effective communication skills, attention to detail, and proficiency in accounting software like QuickBooks or Google Sheets are essential for success in this role. Additionally, a basic understanding of accounting principles and regulations will help you navigate various tasks more effectively.

Job Summary
The Accounts Payable Assistant supports the accounting department by accurately processing vendor invoices, expense reports, and payments for our four dealerships. This role works closely with the Accounts Payable Lead, the Controller and dealership departments to ensure timely and accurate payment of vendors while maintaining organized financial records.
Key Responsibilities
Enter and process vendor invoices primarily related to parts and service
Match invoices with purchase orders and receiving documents
Create purchase orders when not already existing
Assist with preparing checks, ACH payments, and electronic payments
Reconcile vendor statements and help resolve invoice discrepancies
Contact vendors to obtain missing invoices prior to remitting payment
Maintain accurate and organized AP files and documentation including filing paper invoices
Respond to vendor inquiries in a professional and timely manner
Support month-end closing activities as assigned
Ensure compliance with dealership policies and accounting procedures
Assist with audits by providing required documentation
Perform other accounting and administrative tasks as needed
Required Qualifications
High school diploma or equivalent (Associate's degree in Accounting or Finance preferred)
Basic understanding of accounts payable and accounting principles
Proficiency in Microsoft Excel and basic accounting software
CDK Dealership Management System (DMS) experience preferred
Strong attention to detail and organizational skills
Experience
1-3 years of accounts payable or accounting experience required
Previous automotive dealership experience preferred
Experience working with a Dealership group posting to multiple stores preferred
