    Saalex Corporation is seeking a senior Payroll Manager -Costpoint & ADP Workforce Now to join our payroll team and support end-to-end payroll operations for approximately 1,000 employees. This role is critical to ensuring the accurate, timely, and compliant processing of payroll in alignment with federal, state, and local regulations, as well as Department of Defense (DoD) contract requirements. Position Type: Full-Time Salary: $100k-$120k annually (depending upon experience) Work Location: Fully Remote. Position Summary The ideal candidate brings hands-on payroll processing experience, strong technical expertise across Deltek Costpoint (8.2) and ADP Workforce Now (WFN), and a solid understanding of government contracting payroll compliance, including DCAA, FAR, and Service Contract Act (SCA) requirements. This role plays a key part in maintaining payroll integrity, audit readiness, and employee trust. Essential Functions: Manage and process biweekly and multi-cycle payroll for all employees, ensuring accuracy, timeliness, and compliance with company policies and applicable laws. Own the end-to-end payroll workflow between Deltek Costpoint and ADP Workforce Now (WFN), ensuring accurate transfer of payroll data across systems. Execute, validate, and reconcile payroll exports/imports between Costpoint and ADP, including hours worked, labor distributions, earnings, deductions, fringe, and taxes. Ensure payroll execution complies with DoD contract requirements, including Service Contract Act (SCA) wage determinations, Collective Bargaining Agreements (CBAs), and labor classifications. Perform pre- and post-payroll audits to confirm payroll results in ADP reconcile to Costpoint labor, project charges, indirect cost pools, and general ledger postings. Oversee payroll tax reporting and compliance at the federal, state, and local levels. Investigate and resolve payroll discrepancies and respond to employee inquiries professionally and promptly. Reconcile payroll-related accounts and prepare payroll journal entries to support monthly close and audit readiness. Partner with HR and Accounting to ensure accurate integration of payroll-related data, including new hires, terminations, benefits, and leave. Support internal, external, and DCAA audits by providing payroll reports, reconciliations, and supporting documentation. Maintain payroll system configurations and collaborate with IT or vendors on enhancements, testing, and issue resolution impacting payroll processing. Supervise and develop payroll staff, promoting a culture of accuracy, accountability, and continuous improvement. Stay current on changes to payroll laws, regulations, and government contract compliance standards. Other duties as assigned or required. Requirements Required: Bachelor's degree in Accounting, Finance, Business Administration, or a related field. 5+ years of progressive payroll experience, including hands-on payroll processing responsibilities. In-depth knowledge of federal and state payroll laws and DoD contract labor requirements, including SCA, DCAA, and FAR. Experience processing payroll for a multi-state workforce. Hands-on experience with Deltek Costpoint (8.2) and payroll system integrations. Experience working with major payroll platforms such as ADP Workforce Now, Ceridian, or Paylocity. Strong proficiency in Microsoft Excel, including reconciliation and analysis. Strong analytical, organizational, and communication skills. Proven ability to manage confidential information with integrity and discretion. Desired: CPP (Certified Payroll Professional) designation. Experience with union labor contracts, CBAs, and wage classification compliance. Prior experience reconciling payroll results across multiple systems in a government contracting environment. In-Office: This is a 100% in-office role based at any of our Schaumburg, Il - Meridian, ID - or Rochester, NY locations. Remote or hybrid work is not available for this position. Candidates must be able to work on-site five days per week during designated work hours. The Tax Data Compliance Solutions team ensures that the clients we support remain compliant within their tax configurations. The team conducts accurate, efficient, and strategic reviews of tax agency setups and provides tailored solutions to address compliance gaps and optimize client tax environments. Responsibilities: * Basic understanding of internal tax department processes * Familiarity with the entire operating concept of all systems, including Master Tax and Web Pay * Initiate and process SUI Rates/EIN and frequency exchanges * Update SUI rates, account numbers, and deposit frequencies * Manage Tax codes including but not limited to adding tax codes, inactivating tax codes * Maintain and update current procedure documentation * Complete special projects as assigned by management * Basic payroll tax knowledge * Achieve the designated weekly quota * Demonstrate knowledge to communicate effectively, internally and externally, regarding tax issues * Create and file tax returns and amendments * Ability to review and understand Amended Tax Return Packages for clients * Communicate information related to basic taxation issues to internal partners designated to manage client relationship * Keep up-to-date on the latest developments as they affect tax regulations and policies Requirements: * Minimum 2-3 years' experience in the Employment Tax or Compliance field * Minimum 2-3 years' experience in Payroll or Accounting field * Experienced with Enterprise Employment Tax Software Tools * Ability to learn and maintain new process proficiency * General knowledge of federal and state employment tax legislation * Experience navigating multiple government agencies and ability to understand regulatory language * Strong written and verbal communication skills and problem-solving ability * High level of integrity Preferred Skills: * Certified Payroll Professional preferred or progress toward certification desired * Payroll service bureau experience desired * Intermediate Excel skills desired Soft Skills: * Team Player, collaborating with others to make awesome happen * Self-Motivated - you like to work hard, play hard. * Adaptable - quick feet!
