ABOUT THE ROLE We're looking for a dynamic, highly organized Office Manager & Executive Assistant to support our CEO, Chief Legal Officer, and Executive Team while managing the daily operations of our newly opened Miami office. This is a key position for someone who thrives in a fast-paced, high performing environment and is passionate about delivering exceptional support. In this role you'll wear many hats involving high-level executive assistance, hands-on office management, proactive problem solving, and requiring flexibility and discretion. Coordinate meetings and logistics for Executives and Board of Directors, including preparation of agenda, meeting decks, and on-site support. Handle a range of administrative tasks including: Drafting confidential correspondence, documents, presentations and reports. Managing contact lists. Coordinating travel and submitting expense reporting. Gathering and organizing materials for meetings. Attend meetings and events as needed; take meeting minutes when requested, capturing actionable and follow-up items. Support cross-department initiatives, including event coordination and special projects. Office Manager Responsibilities: Receive and welcome visitors and guests while maintaining compliance with security protocols. Oversee daily office operations to ensure a welcoming and professional environment. Maintain office space and facilities, coordinate repairs, manage vendors, and oversee office equipment and supplies. Partner with HR on office layout planning, seating arrangements and internal moves. Negotiate purchase of office supplies, equipment, and services in line with budgetary guidelines. Partner with HR on onboarding/offboarding coordination and employee experience. Partner with HR to organize events, office celebrations, and employee engagement activities to support team engagement and culture. Manage incoming mail and packages, interoffice communication and general phone inquiries. Technology Support Responsibilities: Executive support: Providing the Executive team assistance with direct troubleshooting, and coordination with remote IT support. Onboarding/Offboarding: Support HR and remote IT team with desktop setup, workstation configuration, and software installation for onboarding employees. Office technology: Support A/V functions including video-conferencing equipment, video-walls, streaming services Employee support: Act as a liaison between on-site employees and IT for troubleshooting technical issues, while ensuring compliance with A-CAP's cybersecurity protocols during equipment handling. Resourcefulness with evolving technology. WHAT YOU WILL NEED: Experience: 5+ years in a combination of executive support and office management, with proven experience supporting C-level executives. In partnership with FEC staff, families will drive the planning, development, and sustainable co‑ownership of the centers. Families who participate in the FEC programming will be encouraged to share their expertise by volunteering at the center and given meaningful opportunities to engage with neighbors and peers. The goal of the FEC is to strengthen families' protective factors and build community connections, capacity, and resilience. Position Summary The Family Advocate is responsible for contributing to the day‑to‑day operation of the FEC including building connections with other staff, residents, and community partners; co‑designing and delivering relevant programming and activities (offerings); providing advocacy and making referrals for participants; and creating a warm and inviting gathering place for families and individuals using the protective factors model to support community resilience. Manage the FEC website to communicate with and engage members. Use Appreciative Inquiry and other strength‑based tools to engage community members in co‑designing offerings. Create monthly calendars, website content, and other outreach tools to promote and document offerings. Participate and engage with the FEC team in learning collaboratives facilitated by ACS with other FEC teams from across the city. Other duties as assigned. Qualifications Minimum qualifications include a bachelor's degree and three (3) years of professional experience; or a high school diploma and five (5) years of professional experience in community-driven programs working directly with children, youth, and families. Reside in or near the FEC community, or reside close enough to arrive promptly, in the event of an emergency. Bi‑Lingual either /Mandarin &/or Cantonese is required. Strong interpersonal skills and the ability to warmly connect with and engage children, youth, and adults individually and in groups. Strong verbal and written communication skills. Familiar with the community and its assets and resources, such as other programs, services, supports, local civic groups, and community leaders. Experience in developing and running a group, a club, or coaching a team preferred. Experience caring for children (as a parent, guardian, relative, neighbor, or babysitter) preferred. Ability to perform multiple tasks effectively in a fast‑paced, challenging, and constantly changing environment. Must have a commitment to work from a trauma‑informed, strength‑based, youth and family development perspective. Solaris is completely quiet, powered by a single-screw electric motor and accommodates up to 24 passengers . Trips include various creek and river excursions and visits to our 1913 Rondout Lighthouse. Captain is not required to give tours but should be comfortable welcoming passengers and explaining rules and regs to passengers. Trips are scheduled from late morning to after dusk, and various shift opportunities are available, including charters. Season is mid-May through October with potential for additional trips and charters.
