Under general supervision performs a broad range of complex administrative and clerical duties to senior department administrators including calendar management, meeting planning, project support, file and e-file management. Compiles special periodic reports and composes non-routine correspondence. Must have sufficient knowledge of the Clinic's structure, policies, and personnel to make administrative decisions. Organizes and prioritizes tasks, and demonstrates the ability to give highest priority to tasks that come suddenly during a pressure build-up.
ESSENTIAL DUTIES AND RESPONSIBILITIES: The duties listed below are intended only as illustrations of the various types of work that may be performed. The omission of specific statements of duties does not exclude them from the position if the work is similar, related or a logical assignment. 98% Provide clerical and administrative support to senior department administrators and Providers ensuring they have the resources and information necessary to conduct daily business, which includes complex calendar management, meeting planning, project support, file and e-file management. Maintain Epic schedules for providers, including schedule creation to meet production criteria, template changes, coordinating all provider supervisions, meetings, non-prod time. Schedule annual reviews for staff. Coordinate meetings and room arrangements. Schedule and organize activities such as meetings, travel, and department activities for Manager(s). Prepare agenda, information packets, and minutes for staff/committee meetings to which assigned, to include meeting management, room setup, data collection and reporting. Evaluate and request all work as needed of Coast Management, Coast Management HVAC and TEC on all maintenance, environmental services issues and special project requests without direction. Prepare special audits in wide range of needs to include those of a confidential nature. Assist in responding to SAFE events. Communicate with all providers regarding patients that are approaching and or exceeding the withdrawal of care guidelines. Complete WOC paperwork, collect signatures, and submit to Administration for approval. Prepare and proofs expense reports including continuing education. Prepare weekly provider production report. Update DMS Board, ACT Board and departmental access report daily, weekly, monthly as required. Prepare individual monthly provider detailed dashboard and production reports to include: GOS pivot table, big dot metrics, intakes, provider summary, RVU summary, provider access, visit info etc. Prepare updated departmental phone emergency phone tree, extension lists and distributes to BH staff. Responsible for all departmental ordering for Stanwood, Smokey Point, Marysville, Founders BH, Marina Village and Mill Creek. Screen correspondence, emails, calls and can refer to appropriate personnel, departments or assist in providing/obtaining answers. Coordinate, schedule and bill for all depositions, attorney/provider conferences. Frequently must follow written and oral instructions as well as complete routine tasks independently. Completes annual compliance training on HIPAA/Privacy/Confidentiality/Non-Discrimination/Harassment/Integrity Statement and signs Agreements. Ensures confidentiality of patient information following HIPAA guidelines and TEC policies. Attends training to meet requirements of the job position and as needed or mandated by TEC policies, Div. of Occupational Safety & Health (DOSH), OSHA, L&I and other state/federal regulations. Has regular and predictable attendance. NON-ESSENTIAL DUTIES AND RESPONSIBILITIES: 2% Performs other duties as assigned. Excellent written and verbal communication skills. Strong organizational and multi-tasking skills. Abilities: Able to interact and communicate with individuals at all levels of the organization. Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands. Ability to work independently, with minimal supervision, demonstrating discretion, composure, ability to prioritize and respond with poise under pressure. Education : High school diploma or GED required; Associates or Bachelor's Degree in Business or other related field preferred. Experience : Minimum of five years' high level executive assistant experience, preferably in a health care organization.
