Essential Duties: * Greet and assist community members (including guests, visitors, parents, students, and staff) with questions and/or needs in a timely, cooperative, caring and safe environment * Answer phone calls and emails to community members in a professional and timely manner * Obtain, provide, and communicate general school information, including school structure, philosophy, and organization * Perform office work that supports the school operations and exercises discretion, judgment, and confidentiality in relation to the general administration in and over those duties as assigned * Initiate parent/guardian communication as directed by the Principal * Monitor students in the front office; including but not limited to student behaviors, discipline, dress code, testing, drop off and pick up * Manage student sign in and out procedures following school policies * Maintain campus security by following guest/visitor procedures * Operate cash register/credit card machine and maintain accurate record keeping * Maintain the general cleanliness of an orderly and professional office area * Maintain clean and organized personal and shared work space * Assist parents/guardians with students contact form updates * Collect, label and deliver items being brought to campus * Help students with phone calls * Maintain school and Club Horizon lost and found * Cross-train on all roles within the office for support as needed * Lead the school-level responsibilities for the process of registering and assessing new students * Follow enrollment procedure and withdrawal processes/checklists * Manage the after-school dismissal list for all students * Manage the scheduling and communications associated with school tours, student shadows, and student ambassadors * Assist with field trips, following field trip procedures * Collect, process, and maintain student paperwork/cumulative files to be in compliance with state, federal, and Horizon Honors regulations * Oversee Art Masterpiece Program (volunteers, supplies and scheduling) * Oversee teachers quarterly and end of year supply orders * Oversee after-school club sign-ups and rosters and maintain tracking sheet while communicating with parents/guardians, club sponsors and finance for collection of club fees * Assist classroom parent volunteer coordinators as needed * Assist Grades 5-6 sports: questions/problems, schedule, payments, and communicate early dismissal and or schedule changes * Coordinate with executive administrative assistant on the MPR schedule and distribute weekly to staff * Create weekly eblasts & graphics for entryway television * Collect timesheets from hourly employees * Assist registrar with records requests and creating cumulative files * File student records into cumulative files * Conduct quarterly review of cumulative files * Schedule and maintain ILP Conference appointment calendars and participation reports * Ability to work flexible hours (days and evenings) as needed to support new student enrollment * Perform other duties as assigned by the Elementary Principal Physical Demands: These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the Administrative Assistant's job.
