Responsibilities
:

JOB SUMMARY:
The Project Coordinator provides support to the zone operational support team and plant managers to improve the effectiveness and efficiencies in project and administrative activities.

RESPONSIBILITIES:
Zone Administrative Support
Participate in Business Unit and Company progress meetings. Maintain minutes of all meetings
Maintaining records and tracking information; preparing reports and coordinating activities.
Assists in preparing presentations, proposals, training courses including assessments
Maintains office supplies inventory by checking stock to determine inventory levels; anticipating needed supplies; placing and expediting supply orders; verifying receipt of supplies evaluating new products.
Coordinates and sets up meetings and conferences, arranges travel and works on special projects with minimal supervision.
Maintains schedules of one or more individuals or a large department.
Conserves Zone Management team's time by reading, resetting, routing correspondence; drafting letters and documents; disseminating information; initiating telecommunications.
Maintain the office condition and arrange necessary repairs
Partner with HR to update and maintain office policies as necessary
Coordinate with IT department on all office equipment
Assist in the onboarding process for new hires
Contributes to additional duties and special projects as assigned.

Finance/Accounting/Reporting Activities
Performs a variety of research functions and uses computer programs and organizational systems to produce detailed and complex reports, spreadsheets and presentations for critical cost data, including standard costs, forecasted costs, and actual costs for zone operations.
Issues PR/PO's using SAP application and submits monthly detail for P-card expenditures; tracks and reports expense allocations per budgets.
Runs open PO report via SAP monthly to help close out PO's
Interfaces regularly with plant and engineering personnel to assist plants with PR issues, training, contacting help desk, fixing errors etc.
Tracks invoices through the AP Process to ensure on time payments to our vendors
Provide subject matter and system expert advice and training to plant managers and other users of the finance and accounting systems for operational activities

Project Execution
Assists in the development of project proposals, cost estimates and budgets, timelines and schedules
Follows-up on pre-installation activities, e.g., confirming delivery dates of equipment and software
Coordinates and assists in the development of electronic and written materials for project management proposals, presentations, and status updates

Safety & Compliance

Reports regulatory compliance issues and concerns to supervisor, HSE Specialist/Manager as appropriate
Supports and participates in the HSEQ & RM programs and objectives established by the entity
Contributes to the company's objective of zero accidents
Ensures safety standards are followed on a daily basis
Maintains EPA, State, and Federal compliance documentation per regulations

* Exceptional organizational and computer skills (must be highly proficient with MS Office/Google applications); has the ability to learn new computer applications quickly

* Detail-oriented; excellent communication skills (verbal and written) including follow-through skills; ability to work well with frequent interruptions; Strong interpersonal, organizational and communication skills with the ability to work with cross functional teams
* Demonstrates an ability to anticipate needs; is self-directed and takes an assignment to the next level (pro-active approach).
