This position is located at the Fairgrounds in Calhan and will run over a 10-day period from July 12th to July 19th. The anticipated work schedule is between 9:00 a.m. and 9:30 p.m. each day. A mandatory training session will be held on July 10th from 9:00 a.m. to 12:00 p.m.

Performs several scheduling functions including: daily/weekly CNA scheduling for assigned teams, PTO/Sick Call coordination (may include contacting and redeploying staff), bi-annual holiday coverage schedule, monthly schedule, tracking of weekend day utilization, and daily on-call and afterhours schedule.
Assists Manager with timecard reviews to include monitoring absenteeism and Paid Time Off (PTO) availability when requested.
Tracks upcoming CTI and Face-to-Face (F2F) needs and schedules visits either during IDG meeting or with MD/NP specifically. Coordinates with Palliative team members to schedule CTI or F2F visits for shared MDs or NPs.
Provides clerical/administrative support to the Clinical Manager including prep/tear down of team/discipline monthly meetings or weekly interdisciplinary team (IDG) meeting materials. Assist Manager with assigning new patients to specific clinicians. Generates various reports, performs other clerical duties including but not limited to: answering phones, typing letters, updating mailboxes and processing faxes.
Supports the Clinical Manager as needed with data collection and report creation of team function. Tracks and transcribes information accurately. This may include: productivity, mileage audits, unverified documentation, etc.
Processes equipment requests/orders from field staff/managers/patients; determines appropriateness of requests, and communicates request to durable medical equipment (DME) company. Notifies DME Company of equipment pick-ups.
Works with medical supply vendors to order DME and medical supplies based on par levels and specialty needs. Receives order requests via face-to-face, phone, or email. Responds to order requests in a timely and professional manner. Researches specialty product orders as requested by a clinician and maintains records of all patients utilizing specialty products. Prepares supplies for clinician and coordinates delivery through courier and/or vendor or in-person pick up. Uses barcode scanning system in order to track items in/out of supply room and manage inventory levels. Stocks supply room(s) when new shipments arrive and as needed. Provides reports to internal and external customers.
Demonstrates proficiency with computers, copiers, fax machines and other standard office equipment.
Uses effective organization, time-management and prioritization skills. Ability to handle multiple tasks from multiple sources in a busy setting with frequent interruptions.
Facilitates flow of patient information and communication. Utilizes sound judgment when handling telephone calls and triaging to appropriate clinician for further actions.
Participants in other task forces or committee work as assigned.

Coordinates production of newsletters, publications, and presentations and maintains electronic postings for websites.
Supports handling of confidential personnel issues. Processes personnel documents and performs any associated compliance administration as applied or assigned.
Create and maintains records management solutions for information, often high in volume and/or detailed, complex or sensitive in nature making it challenging to manage.
Advises others on administrative procedures and/or provides training and instruction.
Reviews, processes, prioritizes, and/or routes incoming mail, publications, directives, and regulations.
Tracks and supports contract processes, acts as a liaison with outside vendors
Assists the public with an explanation of organization policies, rules, and procedures, responds to inquiries and complaints regarding CSU services, researches and directs to appropriate personnel
Tracks the collection and/or receipt of documents and verifies completion
Sends retrieves and prepares documents, and materials (i.e., e-mail, fax, mail, ship, courier, etc.)
Prepares and proofreads letters, memos, reports, and other correspondence
Generates reports, spreadsheets, requests for proposals, publications, presentations, and other materials considered detailed and/or complex in nature
May arrange for supplies or materials for meetings or events

Our Advancement Administrative Assistant will perform a variety of administrative tasks and support the Chief Advancement Officer (CAO). Their main responsibilities include managing calendars, making travel arrangements, and preparing expense reports. They will provide personalized and timely administrative support, ensuring CAO and Advancement members are set up for success. The ability to be well-organized, have great time management skills and the discretionary action without guidance will ensure success in the role..
RESPONSIBILITIES

Act as the point of contact among executives, employees, contractors, vendors and other external partners
Manage information flow in a timely and accurate manner.
Manage executives' calendars and set up meetings.
Make travel and accommodation arrangements.
Liaison with finance department to ensure coding and department expenses are accurate for the Innovation team
Create regular department reports
Complete department expense reports and submit them to Finance in a timely manner.
Oversee the flow of all departmental projects as requested by the CAO.
Format information for internal and external communication - memos, emails, presentations, reports.
Take minutes during meetings and provide reviews/follow ups as necessary
Answers, evaluates, and prioritizes incoming telephone, voicemail, e-mail, and in-person requests for the CAO
Manage daily customer service for donor relations support; providing first line communication and acknowledgement and addressing donor calls from the front desk
Provide administrative and back-end support for all Gift Officers
Organize and maintain the office filing system.
Provide general admin support for Advancement team
QUALIFICATIONS
Has an active and personal relationship with Jesus Christ
Attends/participates in a local church
Education: Associate's degree in business or similar field
Experience: 2-3 years of experience as an Executive Assistant, Office Administrator, or similar role
Strong spiritual life and commitment to Jesus Christ.
Firm believer in the power of the printed Gospel and the EHC methodology.
