Major Duties and Responsibilities
Under administrative supervision, plans, directs, and coordinates all functions of Records Automation and Mailroom Services for the Ohio Department of Job and Family Services (ODJFS): directs and oversees mailroom activities including pickups, sorting, and delivery of incoming and outgoing mail; directs and oversees records automation functions including sorting, scanning, and indexing of agency mail and records (e.g., paper and/or microform); implements and maintains scanning software (e.g., Kofax; Datacap; FastFiche); coordinates records automation and mailroom equipment usage and operation (e.g., scanners; postage meters; slicers; vehicles; printers); performs quality checks of scanned images to ensure digital records quality are acceptable; confers with users, vendors, technical staff, and/or program staff; troubleshoots questions and/or concerns regarding Records Automation and Mailroom Services; generates and provides reports and data analysis on mail and scanning production to management as required.
Supervises assigned staff (e.g., assigns work and provides direction; makes recommendations for hire; reviews work and provides feedback; establishes employee goals; conducts performance evaluations; monitors and evaluates staff performance; approves/disapproves requests for leave; recommends disciplinary action; conducts staff meetings; encourages staff development).
Performs other related duties as assigned (e.g., participates in and conducts staff meetings; travels to attend meetings and trainings; operates personal computer to produce correspondence, reports, and other documents; maintains logs, records, and files).
