This position will serve as a liaison with internal departments, elected officials, and external vendors, while also supporting the Budget Advisory Commission and coordinating municipal performance measures, policies, and procedures. Additional responsibilities include inventory and IT coordination, time administration, grant file maintenance, and web content management for the OMB site. Under the direction and supervision of the Chief Administrative Officer, provides contract administration of public facilities under the Venues Division to include the Dena'ina and Egan Civic & Convention Centers, Ben Boeke & Dempsey Anderson Ice Arenas, George M. Sullivan Arena, Anchorage Museum, Alaska Center for the Performing Arts, and the Anchorage Golf Course. Duties include review, approval, and monitoring of budgets and fiscal activities as defined under each contract. Prepares and provides management agreement payments. Tracks contract compliance. Provides facility operators guidance on contract requirements. Coordinates asset management and reporting. Maintains each facility MOA capital reserve fund and associated projects. This includes appropriating, and creating each project and budget in the MOA SAP financial system. Coordinates facility capital projects and deferred maintenance programs with each operator, and applicable municipal departments. Drafts and submits Assembly Documents for approval. Prepares and submits internal budget transfers and journal entries. Manages and processes accounts payables, receivables, collections & deposits. Prepares and coordinates all purchase requests when utilizing municipal funding. Serves as staff to the CIVICVentures Board of Directors that oversees the Convention Centers, and monitors the room tax convention center capital reserve fund. Assists the Chief Administrative officer with negotiating facility management agreements and amendments. Assists with the administration of the contract for tourism promotion and issues payments required. Prepares and administers miscellaneous grants as required.
