About the role
We currently have two part-time Administration Officer roles (three days per week) to support operations at our Warwick branch. Together, these positions provide full coverage of the weighbridge and associated administrative functions. The Administration Officer role supports the safe, accurate, and efficient movement of product on and off site, with a strong focus on weighbridge operations, customer service, receivals, invoicing, and dispatch coordination.
Key Responsibilities
Act as the first point of contact for drivers at the weighbridge office
Provide professional and responsive customer service to customers and drivers
Answer incoming phone calls and manage site email enquiries, directing queries to the appropriate team members
Complete general invoicing and bill processing, ensuring invoice details and coding are accurate
Manage and enter customer orders into the system
Process receivals at the weighbridge, including entering quantities and weights
Generate and process weighbridge invoices based on receival data and confirmed order details
Coordinate vehicle movements on site and manage traffic flow at the weighbridge to prevent congestion
Ensure all trucks are weighed in and out, with tare and gross weights recorded, and confirm loads are within allowable limits prior to departure
Coordinate the intake and dispatch of bagged and bulk product, including preparing and checking relevant documentation

Responsible for maintaining scheduling priority through inbound scheduling calls or request for service (RFS) worklist and incoming faxes to make outbound scheduling phone calls. Communicates with physicians, physician office staff, and patients to obtain accurate patient insurance, medical testing, and procedure information, per the Minimum Data Set (MDS). Coordinates interpreter services as needed. Coordinates schedule based upon physician privileges, procedure descriptions, scheduling rules, and insurance requirements. Creates initial patient registration in hospital information system; assigning patient medical record number and encounter financial number to begin the preregistration process. Efficiently schedules patients per exam type, indication, and priority, rearranging schedules within DI at Women & Infants Hospital and satellite locations when needed to accommodate an urgent situation. Interacts with other departments and practices at Women & Infants Hospital to insure daily schedules meet maximum capacity and appropriateness. As need arises, scheduler will communicate last minute patient scheduling needs to accommodate same-day appointment requests as well as any overbooking scheduling with DI. Fosters a team approach towards achieving the overall goals of WIH and CNE. Coordinates with physicians across a variety of department and practices within Women & Infants Hospital to ensure any incoming request for service is accurate and complete, ready to be scheduled with the appropriate patient appointment. Promptly obtains incomplete information on required forms until all data is received, and communicates with the providers regarding authorization numbers as required. Notifies supervisor in a timely manner of problems in obtaining necessary data. Ensures that proper documentation of authorizations are secured for procedures and/or tests. Specifications: High school diploma required. Two years experience in a medical setting and customer service environment required.
