Summary/Objective This position is the primary administrative role in most of Park Lawn's individual business locations and is responsible for performing a variety of administrative and accounting related tasks to ensure the business runs smoothly and the expectations of our client families and their guests are exceeded. Essential Functions Answers telephone and gives information to callers or routes calls to the appropriate person and places outgoing calls for the business. Greets and escorts all visitors and their guests. Performs all accounting (AP/AR), inventory, and account reconciliation for the business. Updates Timekeeping system as employees fill out missed punch log. Prepares daily deposit reports and reconciliations Processes and codes all business invoices for payment. Researches invoices and resolve any issues or discrepancies. Receives and records payments from client families. Schedules appointments for the business. Composes and types correspondence as needed. Compiles and reports on statistical data as required by the business. Inputs data into operating system accurately, completely, and timely. Assists client families with processing necessary paperwork and scheduling appointments. Scans, copies and prints as needed. Updates and maintains files and related systems for the business. Serves as business timekeeper and maintains local employee files. Coordinates and maintains office supplies and equipment. Serves as a backup in other administrative functions as needs dictate. Completes assigned responsibilities and tasks without needing additional assistance, excessive supervision, or extended scheduling. Special projects and other duties as assigned. Required Education, Experience, Certifications and Licensure High school diploma or equivalent combination of education and experience preferred. Minimum two years administrative or general accounting experience or have demonstrated knowledge, skills and abilities required to perform all job tasks. Valid state issued driver's license in good standing and acceptable driving record. Additional Eligibility Qualifications Ability to read, write, and speak English fluently. Bilingual is a plus. High degree of overall computer proficiency. High degree of proficiency in local and virtual data management tools (Internet, Dropbox, Microsoft file management structure). High level of proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Proficiency with multi-line phone systems and general office equipment. Effective and professional communication skills, with an emphasis on verbal skills and the ability to resolve and respond to issues in a professional manner. Ability to empathize with client families and their guests and demonstrate tact and patience in emotionally charged situations. Ability to maintain a positive attitude and working environment through organization, willingness to learn, and communication. Ability to simultaneously handle multiple projects, prioritize tasks, and exercise good judgment. Attention to detail and follow-through. Supervisory Responsibility This position has no direct supervisory responsibilities.
