    Alabama State University, Percy J. Vaughn College of Business Administration, invites applications to fill the position of Administrative Secretary for the Office of the Dean. This position requires active participation in the daily operations in the dean's office. The selected must understand the importance of confidentiality, collaboration, communication, time management and organization. Duties and Responsibilities: * Manages the daily operation of the Office of the Dean and report director to the dean * Handles administrative request and queries * Organizes and scheduled appointments * Plans meeting and submit detailed minutes in a timely manner * Develops and edits correspondences (memos, letters, reports, etc.) as assigned * Submits travel authorizations and requisitions as needed * Receives, opens, sort and distributes mail, deliveries or packages for the Office of the Dean * Maintains accurate and current records f the purchase, equipment, travel information, daily office activities and files in the Office of the Dean * Establishes and maintains all files that include but are not limited to letters, reports, records and other documentary materials * Completes appropriate forms assigned by the dean * Collaborates with staff and other offices in the College of Education on special projects and activities * Enters requests for office supplies and ASU recruiting items as needed in PeopleSoft * Provides general support to faculty, staff and visitors * Plans and attends recruiting events as assigned for the academic unit * Serves on committees assigned by the Office of the Dean * Performs other duties as assigned Minimum Qualifications An Associate degree in Secretarial Science, Office Administration or other appropriate field with one year of administrative or secretarial experience, or a certificate in Secretarial Science with 2 years of administrative or secretarial experience required. A passing typing proficiency exam of 40 net words per minute is also required. Proficiency exams administered by ASU's College of Education, and state Employment Service Centers are accepted. Proficiency exam results must be submitted to ASU's Office of Human Resources by the testing administrator.
