JOB SUMMARY The Office Coordinator oversees the administrative duties and operational efficiency of the Center. They are responsible for monitoring the schedule for an efficient workflow through the check-in and checkout process, for managing patient complaints, and for ensuring the office is well organized. THIS IS NOT A REMOTE POSITION. KEY RESPONSIBILITIES Maintains a transparent, effective relationship with the Regional Director of Operations by supporting the organization's activities Provides a courteous professional working environment Maintains effective communication with patients, coworkers, partners, and visitors Ensures efficient patient flow Registers patients into the electronic medical record (EMR) Interviews patients for sliding fee scale services and update eligibility Verifies insurances and set eligibility dates in system Communicate with patients to bring in missing information prior to their appointment Collects payment and patient responsible balances Scans and import demographic and clinical documentation into patient charts Schedules patient appointments Monitors appointment schedule to accommodate walk-in patients Directs patients to the proper department for assistance Answer multi-line telephone system Resolves patient complaints and inquiries Operates office equipment, i.e. fax, copier, computer, credit card, and check machine Provides copies of patient medical records as requested Contributes and enhances the positive image of the front office operations Collaborates with department leadership to help facilitate staff development and overall team building Collaborates with community partners to facilitate patient care within all locations Participates in special projects aimed at maximizing the overall departmental efficiency Attends professional development trainings to maintain and enhance professional skills Attends internal and external meetings Conducts office meetings and communicates pertinent information Coordinates client referrals and interagency activities Contributes to achievement of company objectives Travel as necessary using personal vehicle (must maintain current auto insurance at own expense) Other responsibilities as assigned ESSENTIAL FUNCTIONS Problem Solving Customer Service Verbal Communication Written Communication Leadership Professional Judgement Planning/Organizing Adaptability Initiative Administration/Operations Cash Handling Management MINIMUM QUALIFICATIONS Education: Bachelor's degree or higher from an accredited college or university, Preferred or related field with two (2) years of public health/community development experience High School Diploma or equivalent, Required Experience: Proficiency in Microsoft Office (Ex. Word, Excel, Outlook, PowerPoint) Minimum of 2 years of professional experience working in the customer service, Preferred Bilingual in English, Spanish, or Creole, Preferred Licenses or Certifications: N/A Criminal Background Clearance: True Health is a Health Center Program grantee under 42 U.S.C. 254b, a deemed Public Health Service employee under 42 U.S.C. 233(g)-(n), and partners with agencies that require criminal background checks. True Health has established policies and procedures that may influence the overall employment process, hiring, and "just cause" for the termination of employees. An employee's career could be shortened ifthere is a violation of any policies and procedures. Prohibited criminal behavior is defined in Florida Statute (F.S.) 408.809. Any employee arrested for any offense outlined in the F.S.408.809 will be immediately suspended and remain suspended until the charges are disposed of in court. The employee will be terminated for an arrest or conviction of any violation listed above. DRUG/ALCOHOL SCREENINGS A post-offer drug and alcohol screen is a requirement for employment. Failure to successfully pass the drug/alcohol screen will be cause for the offer to be rescinded. Employees are subject to random drug/alcohol screenings throughout the duration of their employment with True Health. If an employee fails to pass the drug/alcohol screening, then this shall become grounds for discipline up to and including immediate termination. WORK ENVIRONMENT The employee is subject to prolonged periods of sitting at a desk and working on a computer. The employee is subject to perform repetitive hand and wrist motions. The employee is frequently required to stand, walk, talk, and hear. The employee is occasionally required to use hands to handle or feel objects, reach with hands and arms, stoop, kneel, crouch, and move or lift up to twenty five (25) pounds. The employee is required to use close vision, peripheral vision, depth perception, and adjust focus. A reasonable accommodation may be made to enable individuals with disabilities to perform the essential functions. WORKING CONDITIONS The employee will work as the needs of the operation require. Normal work days and hours are Monday through Thursday, 8am - 6pm and Fridays, 8am - 12pm; however, there will be times when the employee will need to come in or work on "off hours" or "off days" to meet the needs of the position. Assist the grounds department in the care of parking lot, sidewalks and the grounds in general, including snow removal in Winter months and shrub care during summer months. It is the Radiographer who performs the radiographic procedure that creates the images needed for diagnosis. Radiography integrates scientific knowledge, technical competence and patient interaction skills to provide safe and accurate procedures with the highest regard to all aspects of patient care. A Radiographer recognizes patient conditions essential for the successful completion of the procedure. The Radiographer must demonstrate an understanding of human anatomy, physiology, pathology and medical terminology and must maintain a high degree of accuracy in radiographic positioning and exposure technique. They must possess, apply and maintain knowledge of radiation protection and safety. Radiographers independently perform or assist the licensed practitioner in the completion of radiographic procedures. Preparation, administration, and documentation activities related to medications in accordance with state and federal regulations and policy is required. Radiographers are the primary liaison between patients, licensed practitioners, and other members of the support team. Radiographers must remain sensitive to the needs of the patient through good communication, patient assessment, patient monitoring and patient care skills. As members of the health care team, radiographers participate in quality improvement processes and continually assess their professional performance. Radiographers think critically and use independent, professional and ethical judgment in all aspects of their work. They engage in continuing education to include their area of practice to enhance patient care, public education, knowledge and technical competence. Responsibilities * Provide optimal patient care. * Receiving, relaying and documenting verbal, written and electronic orders in the patient's medical record. * Corroborating a patient's clinical history with procedure and ensuring information is documented and available for use by a licensed practitioner. * Assuming responsibility for patient needs during procedures. * Preparing patients for procedures. * Applying principles of ALARA to minimize exposure to patient, self and others. * Optimizing technical exposure factors in accordance with the principles of ALARA. * Evaluating images for technical quality and ensuring proper identification is recorded. * Identifying and responding to emergency situations. * Providing education. * Educating and monitoring students and other health care providers. * Performing ongoing quality assurance activities. * Applying the principles of patient safety during all aspects of patient care * Assist/complete POCT tasks, as needed * Troubleshoot and report equipment malfunctions * Perform daily quality control as required * Attend Department Meeting or watch videotape and completing post test Requirements * Maintain certification by ARRT. * Possess a valid license issued by ODH. * Maintain CPR certification. * LMH is accredited by DNV and TJC, and as such, may require specific annual education related to specialty certifications and standards. Provide consultation in the application of process improvement principles as they relate to the results of the compliance audit functions and findings. Provide expertise to departmental personnel and medical staff in the areas of coding, billing and compliance with applicable input from the Corporate Compliance staff. Effectively work with multi-disciplinary groups, skilled at interacting with physicians, nurses, and other health care professionals. Effectively analyze problems and develop well-reasoned solutions based on official resources, recognize and validate assumptions, collect information and draw meaningful inferences. Effectively maintain confidentiality and a sense of credibility and reliability. Requirements Registered Health Information Administrator (RHIA), Registered Health Information Technician (RHIT), Certified Coding Specialist (CCS), Certified Professional Coder (CPC), Certified Professional Medical Auditor (CPMA), or Bachelor prepared individual with significant coding and auditing skills. A minimum of three to five years in health care setting with physician billing, coding and/or reimbursement responsibilities. Work requires a comprehensive knowledge of coding (ICD-10-CM and CPT) and HCFA-1500 billing requirements for Medicare, Medicaid and third-party payers. Use of personal computers, including application of Microsoft programs, especially Excel and Word. Understands auditing and statistical principles and must be able to apply to daily work responsibilities. Excellent communication skills at all levels of the organization including staff, management and medical staff. Self-directed work habits, attention to detail, and ability to independently manage audit project schedules. Not a remote position.
