Under the direction of supervisor(s), perform a variety of secretarial and administrative coordination duties including preparing and maintaining attorney records, onboarding schedules, document folders, bar dues records, updates to the PD Section of ABNet, correspondence, tracking of program participation, and assisting with specific projects assigned by supervisors. Job requires flexibility in work schedule and may require occasional overtime.
+ Assist in the coordination and of lawyer training programs and initiatives.
+ Manage meeting and program logistics including securing meeting rooms, coordinating meeting room set-up and materials, tracking attendees, coordination of audio visual needs with Multimedia, and preparation of sign-in sheets.
+ Assist with Desksite/iManage filing and maintenance of all resumes, bios, offer letters and transcripts.
+ Assist with ongoing data entry for all PD records including Associate Spreadsheet, Attorney Spreadsheet, Departure Spreadsheet, Attrition Spreadsheet, Bar Dues Tracking, Attorney Attrition and Retention documents.
+ Assist in scheduling local orientation schedules for incoming associates as needed.
+ Assist in coordinating logistics and program materials as directed for firm-wide conferences run by the Professional Development team including conferences for new lawyers, mid-level associates, and new partners.
+ Assist with preparation of electronic program materials and printed materials related to Orientation programming, Mentoring programs, Area Conferences, Mid-Level Meetings and other PD sponsored programs.
+ Prepare nametags, and as required, packets of program materials and/or gift bags for departmental events.
+ Assist with monitoring the status of performance reviews, planning memos, and follow-up memos.
+ Assist with converting review materials to PDFs and filing of such in secure folders.
+ Track new primary caregivers on a monthly basis.
+ Responsible for updating attorney jobs bank on ABNet.
+ Responsible for sending weekly On-Target emails to recent hires.
+ Assist with creating surveys, maintaining surveys and running survey reports.
+ Assist with the collection of state and local bar dues notices, and city of Atlanta licenses bills for the Atlanta office. Work closely with the Department Executive Assistant on payment of dues and licenses.
+ Assist with updates to the Firm Calendar for departmental programs and events.
+ Assist with submission of departmental invoices and expense reports.
+ Assist with approval of expense reports and tracking of expenses related to Associates Committee lunches, Mentoring programs and other programs.
+ Work independently and support the team on ongoing and special non-recurring projects.
+ Use online research tools, produce data reports and analyses as requested.
+ Develop visual presentations for internal team and firmwide reports.
+ Proofread all work with attention to detail and accuracy, make all necessary changes, and perform other substantive and administrative duties as needed.
+ Provide other administrative and clerical support as required by supervisors.

EDUCATION AND EXPERIENCE
+ Bachelor's Degree
+ Proficiency and aptitude with software applications and design tools for creating and formatting graphs, charts, and other visuals or the willingness and ability to learn
+ Previous administrative experience of 2+ years in law firm, professional services firm or a related environment required.
+ Proficiency in Outlook, Microsoft Word, Excel, PowerPoint and Internet Explorer
