Job Summary:
Performs secretarial work of average difficulty and involves some independent judgment. Also performs general functions and related work as required. Work is performed under the general supervision of the Executive Vice President. Must be well organized and possess outstanding secretarial skills.

Job Functions:

Qualifications:

Duties and Responsibilities
Provide administrative support to the Director and Deputy Director;
Coordinate all aspects of room reservations, including booking, tracking, managing extensive changes, being the liaison with the hotel and monitoring room block quota;
Work directly with hotels to negotiate extended stay room rates and concessions;
Research and compare hotel rates in different cities where staff are assigned, and maintain a detailed hotel negotiated rate list as a resource for staff and affiliates;
Arrange direct billing, reconcile hotel folios and invoices and resolve billing issues;
Train staff on travel booking site, assist staff with booking flights, hotels, trains and rental cars, maintain user account lists and status of union hotels;
Coordinate ground transportation (buses, vans, shuttles) for events and meetings, including booking and processing of bills;
Act as a liaison with other departments and affiliates;
Serve as a backup reconciling department's credit card accounts, prepare supporting documentation, resolve discrepancies, process charges for departments' signatures, and scan and archive reports;
Utilize the Internet as a basic research tool for information gathering;
Prepare responses to inquiries and other correspondence, pro-actively gather information for decision-making and advance work through follow-up and outreach;

DUTIES & RESPONSIBILITIES
Act as customer service representative for the editorial office Answer main telephone line for editorial office. Respond to author and reviewer queries; screen and route calls for other staff members. Monitor the email accounts for all American Psychiatric Association's (APA) journals. All emails will be answered and/or addressed within one business day. Prepare Editor to-do lists. Create regular emails for the Editors that include the following information: new manuscripts just added to the Editor's box, manuscripts that need additional reviewers and manuscripts ready for the Editor's decision. Create weekly decision report. Compile a report of all decisions submitted during the week for the Editor's final review and approval.
Monitor peer review progress. Thoroughly check all submitted papers to ensure adherence to submission requirements. Determine editor assignments for journals with multiple decision editors, invite reviewers from Editor recommendations and monitor invitation accepts/declines. Review queues for each journal to make papers move through the process in a timely manner and that no paper is unknowingly stalled in the process. Process accepted manuscripts. Transfer manuscripts from one APA journal to another. Ensure smooth article transfer from one title to another by taking all relevant information from submission's peer review experience at one journal and replicating it as a new submission requiring a publication decision at the transferee journal.
Assist in maintaining the manuscript tracking database by adding suggested reviewers as permanent potential reviewers in the database, merging of duplicate user accounts, updating keywords and keeping user contact information up to date. Monitor bounce-back “message undeliverable” notices to determine when user accounts need to be updated with current email addresses. Perform internet searches to locate current emails for registered users.
Coordinate Book Forum. Send invitations to potential book reviewers. Follow-up with reviewers on the status of their book reviews.
Obtain permission for use of borrowed material in APA publications. Secure pdfs for articles that are being produced. Assist with the compilation of abstracts that are being reproduced.
Various administrative duties as assigned. On occasion we do solicit editorial or other special submissions from thought leaders and as a courtesy upload their submission on their behalf. This would involve proxying as all individuals in the process, uploading the paper as the author and then accepting it as the Editor. Each year for each publication a report is run listing all the individuals submitting a review over a 12-month period. This list is then checked for completeness (degrees, full names) so that it can be handed over to production for publishing in an end-of-year expression of thanks.

This is a full time role (40 hrs/week) with 8 hr shifts generally taking place Monday - Friday between 7am-7pm based in the Metro Center OR Farragut Square offices in Washington, DC.

This candidate will directly support executive staff working in coordination with the administrative team for the Office of the President.
Duties and Responsibilities:
Provide administrative support for executive staff;
Schedule and organize complex activities, travel and speaking engagements and manage calendars;
Anticipate the needs of the executive staff, work in coordination with the administrative team, and develop an independent work plan to support those priorities;
Act as liaison with other department staff, AFL-CIO staff and affiliates, including elected leaders;
Know, interpret and apply organizational policies, procedures, and protocols;
Develop, coordinate and assess office systems and operations, including but not limited to record keeping, internal and external communications, meetings, travel and expenses and other areas as assigned;
Review incoming correspondence and materials and independently prepare responses to inquiries and other correspondence;
Type and design general correspondence, memos, policy statements, charts, tables, graphs, etc. Proofread copy for spelling, grammar and layout, and make appropriate changes. Responsible for accuracy of the final document/product;
Coordinate office workflow including resolution of questions and concerns, as well as development of ongoing office policies and procedures;
Support both in-person and virtual meetings by working with executive, IT and Meetings & Travel staff on all logistical details;
Understand, and be able to communicate, the function of the AFL-CIO to both the internal and external labor movement;
Retrieve information quickly from various sources including utilizing the web as a resource tool;
Work independently and within a team on special and nonrecurring projects;
Assist and aid with Executive Office communications and in the development of intra-office communication systems and processes;
Screen, manage and prioritize visitors, calls and mail;
Process expense reports and make travel arrangements;
Substitute for other Administrative Secretaries within the Executive Office as required;
Other duties as assigned.

Demonstrated experience with excellent problem resolution skills;

Demonstrated experience in taking and transcribing meeting notes (shorthand is not required);

Strong ability to do web-based research;
Demonstrated proficiency in Google Suite including Google Docs, Windows, Microsoft Word, Microsoft Excel, Microsoft Access and Microsoft PowerPoint;
Demonstrated experience with Zoom, Google Meet and other virtual meeting platforms;
Preferred experience with Concur and World Travel systems;
