Staff Supervision:

Responsibilities
Assume management responsibility for all services and activities involved in the operations of all venue and exhibition & convention spaces.
Assume management of full-time and part-time Operations Supervisors and changeover crews to complete event conversions in a timely manner.
Interview, select, train, coach, evaluate, and discipline part time staff. Position will deliver a termination with approval.
Provide staff training for all employees and temporary workers.
Deliver and follow up on Performance Improvement procedures on a timely basis.
Ensure staff is working safely and are aware of proper safety guidelines.
Lead/coordinate staff training and safety programs.
Mentor/coach employees to correct deficiencies; present/discuss discipline and termination procedures in a timely fashion, work with Human Resources as required.
Assist or lead planning, directing, coordinating and review of work plans for facility operations.
Review and understand event documents to forecast staffing and equipment needs for all arena events.
Participate in the development and administration of the Operations budget; forecast of additional funds needed for staffing, equipment, materials and supplies; monitor and approve expenditures and implement adjustments as necessary within assigned responsibilities. Provide recommendations/improvements.
Oversee, monitor changeover and housekeeping crews, provide team support as required.
Schedule appropriate changeover and housekeeping crew for a large group of employees accurately and efficiently and adjust/notify employees of updates/changes as necessary.
Maintains departmental equipment; notify Sr. Operations Manager when repairs are needed.
Provide excellent customer service to internal and external clients to provide a positive employee climate.
Qualifications
High school diploma or equivalent.
2-4 years' experience in an operations position in an arena, convention center, public assembly facility or similar location; with knowledge of set up/housekeeping and event coordination.
An advanced degree in Facility Management or related field may be substituted for years of experience.
Basic computer skills in a Windows format including typing, data entry and email.
Advanced computer skills and experience with MS Word, Outlook, Excel preferred.
Ability to effectively lead a team and manage in a fast paced, high pressure environment.
Knowledge of OSHA standards/requirements; OSHA 10 certification preferred.
Forklift certification or ability to acquire within 90 days of employment.
Possess superior interpersonal, communication, and leadership skills.
Ability to communicate clearly and concisely in the English language, both orally and in writing.
Self-motivated and excellent organizational skills.
Possession of a valid Driver's License preferred.
Ability to work independently and as part of a team.
Ability to work long hours including a varied schedule of days, nights, weekends and holidays.

Job Description:
Budget Title: Instructional Support Assistant (SL-1)
Salary: $22.69 hourly (part-time, temporary)
This position provides exemplary direct customer service at service points and supports a team environment. This position is responsible for contributing to the successful direct delivery of library services, such as, but not limited to, technology checkout, course reserves, reservable rooms, shelving/paging of materials. It serves as a resource for student assistants, who provide supplemental support at service locations and completing departmental tasks.
The Access Services Assistant reports to the Director for Access Services.
The primary hours for this position will cover nights and weekends at the Bartle and Science Library locations, not to exceed 18.50 hours per week. May occasionally be deployed to the Downtown Center location during staffing shortages.
This position is expected to last through May 15, 2026.
Duties and Responsibilities:
May serve as building opener and/or closer.
Provide direct customer service, and can anticipate providing direct customer service for a majority of scheduled hours. During periods of low activity, the position is expected to complete related tasks that can be performed at the service point.
Provides exemplary direct customer service at service points, including directional assistance, making appropriate referrals, and assisting with basic access to resources. This includes, but is not limited to, answering inquiries via phone, email, and LibAnswers ticketing system.
Provides direct circulation services, such as checking materials in/out, including course reserves, and shelving and paging of materials.
Contributes to the successful direct delivery of library services, such as, but not limited to, technology checkout, basic technology troubleshooting, room and equipment reservations, course reserves, reservable rooms, patron accounts, and shelving/paging of materials.
Retrieves items paged for the Hold Shelf or Interlibrary Loan and places them in their designated locations daily.
Provides facility support such as assisting with opening/closing procedures, tidying of spaces and shelves, reporting facility concerns, and facilitating lost and found items.
Serves as a resource for student assistants, who provide supplemental support at service locations and completing departmental tasks.
Contributes to the overall positive experience of the library community and supports a team environment.
Participates in a work culture that promotes diversity and anti-racism and actively works to eliminate or mitigate the effects of systemic racism and bias.

Duties and Responsibilities
Transactions
* Faculty and coach Appointments: i.e., new hires, promotions, transfers, sabbaticals, promotions, tenure changes, pay option changes, department chair changes. The HR Assistant completes transaction form (TF). Ensures information on TF is the same as OM in SAP. Prepares appointment letter (or promotion/transfer letter) and sends to new employee with the appropriate benefits package. Prepares all new employee paperwork, set-up of IT accounts including email, ESS, MAX, and D2L; authorizes ID and parking permits and answers general questions and concerns about the new employee process.
* Faculty and Coach Separations, i.e., resignations, retirement (regular, early, disability), terminations, temp assignment ending, the HR Assistant sends email notification to campus contacts; prepares transaction form for payroll input; prepares letter, to include benefit information pulled from SAP, contacts appropriate department head/chair/manager/supervisor with separation checklist.
Faculty SAP Org Management
* Creates new faculty and coach positions in SAP as authorized, i.e., additions to complement, new employees.
* Changes in SAP the characteristics of faculty and coach positions, i.e., reporting relationships, department names, cost centers, working titles, etc.
* Records in ESS and PPOME any organizational changes that involve faculty, and the staff whom they supervise, so that absences, overtime, compensatory time, travel requests and travel expense reports flow to the proper person/departments for approval.
Cascade
* People Finder (on-line directory) - adding new employees (faculty & coaches); removing separated employees (faculty & coaches) and maintains data on current employees, such as name change, title change, department/building change, etc.
BANNER:
* Supplemental Personnel System - BANNER (HRS System Interface - Responsible for maintaining all system additions and updates daily in Banner using three screens/forms: GWAPERS (personnel information form), SPAIDEN (identification form), and SPAPERS (general person form).
* Assign M number in Banner.
Employee Self-Service
* Create and maintain staff employee, manager, overtime/comp time and manager roles in SAP. Problem solves ESS leave submittal difficulties.
Reports
* Pay Period Ending Report (PPE) bi-weekly.
* Faculty Complement - Using completed transactions forms, updates the faculty complement on a regular basis with relevant information pertaining to new hires, promotions, separations, changes in FTE, and movement of positions to new departments; adds any necessary footnotes regarding position characteristics and maintains authorized position/department totals as changes occur. Prepare for distribution electronically.
Annual Tasks
* Faculty Sabbaticals - Determines each spring whether faculty who have applied for a sabbatical are eligible by researching employment history for appointment date, dates of LWOP, and dates of prior sabbaticals. Sends communication on eligibility, maintains master file on eligibility.
* Article 11F- (temporary faculty cannot exceed more than 25% of permanent faculty) October 31 and February 28 for distribution to President, Provost, PASSHE, APSCUF leadership.
* Chair stipend report-
* Faculty Seniority report - Compiles and confirm faculty seniority report each November 1 for distribution to President, Provost, PASSHE, APSCUF leadership, Deans and department chairs.
* Prepares coaches contracts for review and signature following guidelines in the CBA.
Recruitment Duties

Ensuring safe fields of play, competition surfaces, drills, and workout sessions throughout the season for both practices and competitions.

Essential Duties and Responsibilities
Educational Technical Assistance for Individuals
* Guides caregivers, youth in care, education personnel, child welfare professionals in Department of Children and Family Services (DCFS) and Purchase of Service (POS) agencies, POS education liaisons, court personnel, community agencies in their roles in the intervention and resolution of educational issues.
* Resolves issues that affect the education of individual youth involved within the Illinois foster care system.
* Provides consultation on handling educational issues.
* Provides direction, support and resources in assessing and dealing with the youths' educational needs to youth, caregivers and professionals including: child welfare caseworkers and administrators, school and district personnel (teachers, administrators, social workers, etc.), Court Appointed Special Advocates (CASA), Guardian ad Litem (GAL), POS education liaisons, attorneys, community providers, etc.
Educational Planning for Youth
* Engages in planning to ensure appropriate educational services for youth.
* Develops intervention plans to address behaviors that mitigate school engagement and educational achievement.
* Provides strategic education planning for youth relocating to new schools and/or school districts.
* Develops and coordinates appropriate education plans for children and youth transitioning from one education level to another (preschool, elementary, secondary and post-secondary).
* Advocates for youth's best educational interests in school planning teams, such as Individualized Education Programs, 504 Plans, etc.
* Provides educational expertise in non-school planning teams such as Clinical Intervention Placement Preservation (CIPP), child and family teams, etc.
* Provides other guidance and recommendations to navigate educational issues and develop appropriate plans.
Developing Collaboration Across Systems
* Initiates and sustains collaborative relationships with local school staff and administrators and school district personnel that facilitate educational advocacy on behalf of youth in care.
* Promotes communication and fosters collaboration between caregivers and school.
* Fosters collaboration between caseworkers and school around youth's education.
* Develops and implements collaborations to address the education of youth in care between DCFS and representatives from other state agencies (such as the Illinois State Board of Education (ISBE)), and between DCFS and medical facilities, community organizations, etc., as needed.
* Collaborates with early intervention and early childhood to provide successful interventions, resources, and enrollment for children in care.
* Supports DCFS in its efforts to monitor and improve educational outcomes through collaboration with DCFS administrators, Administrative Case Review, dually involved specialists, Agency Performance Team, etc.
* Works collaboratively to develop strategies to promote educational wellbeing of youth in care.
Training & Professional Development/Building Capacity
* Develops and conducts training on evidence-based education best practice, state and federal educational laws, DCFS educational policies and protocol, etc.
* Builds capacity within child welfare through coaching and training caregivers and youth in care.
* Builds capacity among DCFS and POS staff and administrators, POS educational liaisons, GALs, CASA and other court personnel through training and resources.
* Provides professional development to school and district personnel on educational needs and challenges of youth who have been abused and neglected and/or in foster care.
* Plans, organizes and promotes education training sessions.
* Provides updates and resources on changes in federal and state rules and regulations pertaining to education, DCFS educational policies, procedures, protocols and initiatives.
Systems Intervention
* Identifies trends that affect children's educational process; and communicates and works with Center director and other designated administrators to resolve problems.
* Assists in systems intervention activities and develops initiatives that address problematic trends.
* Provides strategies for sustainable planning to address educational needs of youth.
* Prepares and maintains documentation of clients served, work performed, and all other required documentation and reports.

Assists with and updates Individual Career Exploration Plan and transcripts for assigned students.

Assist students with gathering information regarding admissions for trade schools, special skills schools, programs, colleges, universities, and/or military.

As part of the school leadership team, assist in improving equity and access for all students.
Provide counseling for students struggling with attendance, discipline, and/or academics.

Works cooperatively with other school personnel in the identification, diagnosis, and remediation of individual students with specialized needs.
Meets with appropriate department chairperson regarding that department's course offerings and curriculum changes.
