ASCO has an exciting opportunity for a highly organized and service-oriented Meetings Associate to support the planning and delivery of meetings that bring together the global oncology community. As part of our Meetings Department, the Meetings Associate will play a key role in ensuring events are executed seamlessly - supporting both the big-picture logistics and the critical details that make every meeting a success.

This position is hybrid with a primary location in Alexandria, VA.
Responsibilities
Provide administrative support to the Meetings Department, including tracking department credit card expenses and other duties as needed.
Coordinate and schedule appointments, including recurring routines, monthly meetings, ASCO holidays, and meeting-specific appointments.
Provide ongoing logistical support for all ASCO Meetings including developing 101 documents and coordinate review from staff, coordinate shipping (including outreach to staff, drafting instructions, creating manifests, printing labels, etc.), department supply orders, and other duties as assigned.
Provide logistical support the conference center team, such as: creating function sheets, ordering catering, making housing accommodations, and providing in-person support to meetings in the ASCO Conference Center.
Content entry and maintenance of the Calendar of Events on ASCO.org.
Assist with Annual Meeting logistics tasks as needed.
Provide superior customer service to both internal and external customers both in person, in email and by phone, including answering the Meetings customer service phone line and responding to emails in the general Meetings Services email account.
Required Education and Experience
Bachelor's degree or equivalent years of experience
1 year of related administrative experience
Proficiency with Microsoft Office applications and comfortable learning new technology
Preferred Education and Experience
Customer service and/or hospitality/service industry experience
Prior experience working in fast-paced environments with a sense of urgency

Overview

Essential Functions:

Clinical Informatics Consultation & System Optimization: Offer internal consultation on clinical workflows, EHR design, and issue resolution (e.g., JIRA tickets, break/fix analysis). Recommend system modifications to enhance efficiency, clinician experience, and communication across care teams.

Who we are looking for:
Join us at ASCO as a Senior Software Engineer within our Information Technology Department and take on a pivotal role in the development, maintenance, and enhancement of software solutions that align with our mission to conquer cancer through research, education, and promotion of the highest quality patient care.
This is a backend-leaning engineering position (approximately 70% back-end, 30% front-end). The successful hire will contribute to delivering top-notch software solutions and products aligning with the organization's goals and objectives.
This position is hybrid with a primary location in Alexandria, VA. We anticipate the hire to be onsite approximately 1 day per week.

Responsibilities
Lead the design, development, maintenance, and documentation of ASCO applications, services, and analytics.
Collaborate with cross-functional teams to deliver reliable and high-performing software solutions.
Experiment with and learn new technologies that can enhance our software products, promoting innovation within the team.
Champion Agile software development principles within the team. Ensure adherence to best practices, including version control, code reviews, documentation, and software design aimed at longevity and improvement.
Identify, communicate, and effectively manage risks associated with software development projects. Provide solutions and recommendations to mitigate potential issues.
Collaborate with other teams to drive change, influence product and process decisions, and ensure alignment with organizational objectives.
Required Education and Experience
Bachelor's degree in Computer Science, Engineering or related field or equivalent relevant experience
5 years' experience and high proficiency with web development including significant hands-on back-end experience in Python/AWS; and secondary experience in C#/.NET
Proficient in at least one client side language (JavaScript, TypeScript, etc.)
Hands-on experience with GraphQL services, resolvers and schemas using AWS AppSync (VTL Scripts) and/or Apollo
Proficient at developing Lambda functions in Python
Proficient with cloud-based technologies and serverless computing models (AWS required and Azure/GCP preferred)
Hands-on experience working with relational databases, NoSQL and Graph technologies
Hands-on experience and knowledge of ElasticSearch/OpenSearch
Actively participate in team success by sharing knowledge and expertise
Ability to work east coast business hours to contribute to stakeholders and business needs
Preferred Education and Experience
Experience with Agile development methodologies
Familiarity with Infrastructure as Code (CloudFormation, Terraform)
Experience with database technologies such as DynamoDB, Aurora, MySQL, PostgreSQL, ArangoDB, and Redis
Hands-on experience with modern front-end frameworks (eg. React, Vue.js, Angular)
Experience with domain-driven architectures and test-driven development
Proficient in using AWS CLI and SDKs
Experience with Continuous Delivery models
Experience working with Identity Management platforms and protocols such as OKTA, Microsoft Azure Active Directory, and OAuth
Familiarity with single sign-on (SSO) integrations

Responsibilities
Support the development and execution of integrated marketing and communications campaigns to increase brand awareness and engagement for assigned ASCO products and services in support of the organization's business including the global oncology community.
Collaborate with internal stakeholders to determine creative messaging needs for assigned focus areas.
Develop content and messaging for assigned ASCO products and service areas, producing a range of content, including promotional collateral, messaging frameworks, social media copy, digital advertising copy, email content, print, and direct mail.
Utilize internal QA policies to ensure clear, concise communications that follow internal branding standards and ASCO policies.
Work with director and marketing analytics team to develop post-campaign reports.
Liaise with external agencies as needed, monitoring invoices and budgets for channels, processing invoices, and ensuring campaigns remain within budget.
Facilitate/guide executive and volunteer leadership in their roles as ASCO thought leaders and spokespersons when appropriate.
Undertake assignments as needed to support ICM department needs and initiatives, and ASCO objectives.
Collaborate closely with ICM team members (e.g., PR/Media, Comms, Digital, Brand, Web,) to ensure seamless execution of marketing campaigns, providing clear direction and facilitate timely delivery of assets and deliverables.
Serve as the supporting marketing contact for program stakeholders, foster strong relationships to understand program objectives, and translate into effective marketing campaign goals, strategies, and execution.
Ability to work east coast business hours to contribute to stakeholders and business needs; and occasional flexibility for scheduled calls across time zones with our international agencies during peak annual campaign periods (approx. 6-8 weeks) with advance notice
Required Education and Experience
Bachelor's degree in Marketing, Communications, or a related field or equivalent years of experience
5 years of experience in a marketing agency, internal marketing department, or association/nonprofit
Multi-channel marketing experience working with campaigns across email, web, paid ads, organic social media, video content, etc.
Proficient in Microsoft Office Suite (Office, Outlook, Word, Excel) marketing project management platform
Preferred Education and Experience
Experience in design development and maintaining brand standard
Demonstrated success in leading cross-functional projects, showcasing the ability to influence and build strong relationships with leaders and stakeholders at all levels within an organization.
Prior experience with oncology, health care, or other scientific or medical meetings and/or event marketing
