Schedule appointments and maintain calendar to track deadlines and status of cases, coordinates andschedules meetings, depositions, conference calls, and sends calendar invites and reminders.
Input attorney billable time and reimbursable expenses.
Perform other general office clerical work such as filing, faxing and answering the phone.
Represent attorney by communicating and obtaining information; following-up on delegatedassignments; knowing when to act and when to refer matters to attorney.
Serves as intermediary between attorney, firm personnel and the courts, relaying communication between each group.
Assist attorney with personal business matters.
Arrange business itineraries and make travel arrangements.
Manage timekeepers' expense reimbursements.
Manage client expense disbursements through software application, including corresponding with client and follow up.
Prepare correspondence to clients regarding monthly invoices for fees and disbursements, update internal systems accordingly.
Communicate effectively with all levels of internal personnel.
Required Skills & Qualifications:
5-10 years of experience
Solid working knowledge of Microsoft Office applications (Word, Outlook, Excel, PowerPoint).
Type a minimum of 80 wpm.
Excellent verbal and written communication skills.
Strong people skills and the ability to work harmoniously and effectively with others as part of a team.
Strong organizational skills.

This role will support assigned attorneys and play a key role in managing transactional and litigation matters.
Key Responsibilities:
Read and route incoming email
Maintain attorney calendars and contact lists

Prepare expense reports
Review all attorneys' emails with the downloading of all attachments and emails to appropriate client electronic file.
Use word processing and document management software (Microsoft Office including PowerPoint & Excel, Adobe, NetDocs, etc.) to prepare and revise, format, and finalize a wide variety of documents, including correspondence, memoranda, and other legal materials.
In conjunction with the preparation of such documents, the assistant is responsible for proofreading, correctly formatting and questioning any inconsistencies in all materials.
Arrange filing and service of documents; electronically file court documents as required.
Initiate new client matters and prepare personalized engagement letters.
Support attorneys in pre-, during, and post-trial stages.
Aid other Secretaries within assigned teams whenever necessary to meet Firm and client needs; organize and prioritize workload for maximum efficiency and facilitation of Firm and client goals. Foster professional, cooperative and supportive relationships with peers, superiors, and clients.
Experience & Education:
5+ years of legal administrative experience, preferably in a large or mid-sized firm.
Background in transactional law and litigation is required. (experience with Commercial Real Estate is highly preferred)
