How does PTO accrue?

By - Apr. 2, 2023

PTO accrues over time based on an employee's length of service. The rate of accrual for paid time off depends on the employer's policies. Employees can accrue their PTO on an hourly, weekly, bi-weekly, monthly, quarterly, annual, or per-pay-period basis.

An employee's PTO accrual also depends on the time they spend at an organization. Companies reward loyalty by increasing the amount of PTO an employee can accrue over a period of time.

Tips for acquiring PTI:

  • Accrual through regular hours--Employees can earn PTO by working their regularly scheduled shifts. A predetermined amount of time is assigned to each shift and, at the end of each pay period, that amount of time is added to the employee's total.

  • Accrual through overtime hours--In some cases, employees may be able to receive additional PTO by working overtime. This is typically a predetermined amount of additional time, often related to the length of the shift or some other factor.

  • Accrual through incentive programs--The employer may choose to offer additional PTO time for meeting performance goals or for exceeding expectations in certain areas.

  • Accrual through sick leave--Sick leave is typically an allocated number of hours that are set aside for illness-related absences from work. This can be an effective way to accrue additional PTO.

  • Accrual through holidays--Certain holidays may be designated as holidays on which the employee earns additional PTO time.

  • Accrual through vacation allotments--In some cases, employers may include a fixed amount of PTO time in their vacation allowance. This allows employees to accrue additional PTO without having to take traditional vacation days.
