Responsibilities
Appointment Scheduling and Coordination
* Schedule, reschedule, and cancel patient appointments based on provider availability and patient needs.
* Manage multi-step or complex appointment schedules, such as coordinating procedures, follow-ups, and specialty referrals.
* Monitor provider calendars to maximize efficiency and minimize scheduling conflicts
Patient Communication
* Serve as the primary contact for patients regarding appointment inquiries, confirmations, and reminders.
* Provide clear instructions for pre-visit preparation, such as fasting, paperwork, or lab tests.
* Respond promptly to patient phone calls, voicemails, and messages, ensuring timely resolutions.
Insurance and Referrals
* Verify insurance eligibility and requirements for scheduled appointments.
* Obtain prior authorizations and referrals as needed.
* Communicate any insurance-related issues or out-of-pocket costs to patients prior to their visits.
Administrative Support
* Enter and update patient information accurately in the clinic's scheduling and electronic medical record (EMR) systems.
* Maintain provider schedules, including accommodating cancellations, delays, and urgent requests.
* Prepare daily schedules and reports for clinical staff and providers.
Collaboration and Compliance
* Work closely with medical assistants, nurses, and providers to ensure seamless patient flow.
* Ensure compliance with clinic policies, HIPAA regulations, and other relevant guidelines.
* Assist with training and mentoring new scheduling team members as needed.
Qualifications
Job Requirements:
* High School Diploma or GED equivalent.
* Minimum of 2 years in a medical scheduling or administrative role.

Job Summary and Qualifications
The scheduler is responsible for the accurate scheduling of surgical and other procedures in the various surgical and procedural areas.
What you will do in this role:
* Coordinates the scheduling of procedures with physicians, physician offices, and anesthesiologists according to established scheduling guidelines.

**Job Summary and Qualifications**
Schedules operative procedures/admissions/anesthesia requests; obtains via authorization scheduling or registration system; obtains and enters insurance information, History & Physicals, Physician Orders; answers incoming phone calls. Utilizes Meditech scheduling grid.
ESSENTIAL JOB RESPONSIBILITIES:
1. Answers telephone in a timely and professional manner.
+ Schedules all patients for surgical, cath lab, obstetric, anesthesia and endoscopy procedures/office admissions via Meditech.
+ Select accurate insurance carrier plans and informs the patients or physician office Staff of any carrier that is out of network or any carrier that may result in a decrease on benefits.
+ Ensure that any edits performed in the scheduling module are also duplicated in the admissions module.
+ Maintain knowledge of the scheduling reports for the next day to ensure department readiness in the event of any unscheduled Meditech down-time.
2. Work closely with the physician office staff and L&D Supervisor/Manager to ensure that procedures are scheduled accurately.
+ Receive incoming precert mail and ensure that precerts are entered in the scheduling or registration system.
+ Select the correct patient medical record number consistently.
+ Maintain open communication with the registration staff regarding those unscheduled patients presenting for services to ensure appropriate testing is performed and times are available.
+ Edit via the scheduling module those departmental calendar changes to ensure that patients are not scheduled when personnel and equipment are not available.
+ Acknowledge, file, and send E-MAILS messages via OUTLOOK.
3. Edit medical accounts to a PRE status.
+ Enter outpatient procedures in the Order Entry System.
+ Pull reservations off printers, keeping clinical reservations filed according to policy. Return surgical reservations to each appropriate scheduler.
+ Work clinical accounts a least 2 days in advance in order for admitting personnel to use reservations for calling patients and checking patient and insurance information.
+ Practice and adhere to the "Code of Conduct" philosophy and "Mission and Value Statement".
+ Other duties as assigned including running iatrics on Medicare patients.
4. Communicates clearly and concisely, verbally and in writing.
+ Customer orientation-establishes and maintains long-term customer relationships, building trust and respect by consistently meeting and exceeding expectations.

Job Summary and Qualifications
As a Scheduler for our surgery center, you will be responsible for proving and contributing to the company's mission, vision, and values by scheduling patient's surgical procedures and maintaining the surgery schedule.
What you will do in this role:
* You will obtain CPT and ICD-10 diagnosis codes and other clinical information as required by the physician's office
* You will prepare documentation for Notification of Non-covered Medicare Services or Advance Beneficiary notices to patients and notify physician's offices about these procedures
* You will complete chart requests from Medical Records and notify the Materials Manager /Nurse Manager of any physician requests or special equipment needed for upcoming surgeries/procedures

Job Summary and Qualifications
Seeking a Surgery Scheduler for our practice who provides clerical expertise to ensure all patients receive high quality, efficient care. What you will do in this role:
* Obtains CPT and ICD-10 diagnosis codes and other clinical information as required for treatment of the patient from practice staff; seeks assistance from practice and Facility Coders as determined through practice and facility processes.
* Prepares documentation for Notification of Non-covered Medicare Services or Advance Beneficiary notices to patients and follows practice procedures to maintain this documentation.
* Determines O.R. time needed for the procedure and works with Facility to ensure procedure is scheduled, daily schedule is streamlined and arranges necessary anesthesia coverage, as determined through Facility processes. Ensures all requirements for the procedure have been obtained and confirmed with the Facility or other parties to include medical/imaging records and needed equipment/instruments.
* Ensures scheduling packets are correct and timely.
* Obtain patient face sheets from Insurance Verification to obtain necessary authorizations based on insurance types.
* Obtains authorization notes from Facility and scans into medical record or practice management system.
* Collects necessary and appropriate physician and practice fees associated with the procedure.
* Verifies/confirms physician is credentialed at the Center or Facility before scheduling the patient.
* Ensures efficient coordination of provider clinic and Facility schedule which could include awareness of provider's schedule and coordination of provider time-out, travel, meetings, conferences and continuing medical education.
* Refers conflicts and procedural questions to Practice Manager or designee as they arise.
* Attends required meetings and participates in committees as requested.
* Cross-trains as back up to other business office positions as requested.
* Performs other general duties as assigned.
* Maintain surgery logs or other required practice or case tracking logs.
* Supports and adheres to all company and practice policies and procedures.
* Supports and adheres to HCA Code of Conduct, related Ethics and Compliance policies, and HIPAA requirements.
* Supports and adheres to personnel policies and programs which specify privileges and responsibilities of employment, including compliance with an adverse incident reporting system, quality improvement program, patient safety initiatives, and risk management program.
* Displays willingness to speak up about safety issues or change practices to enhance safety; asks for help when needed; enhances teamwork; follows the safety literature/policies
What Qualifications you will need:
* High school degree preferred
* Minimum (1) year of experience in a medical office setting highly preferred. (i.e. ambulatory surgery center, hospital, doctors office) preferred.
* BLS may be required as per practice standard.
