The Opportunity
We are seeking an Executive Assistant to join our Firm. Within this position, you will be responsible for providing assistance to, and managing resources for, partners, counsel, associates, and staff attorneys. This position will be based in our New York office and has a hybrid in-office/remote working schedule. Please note that the Firm will not sponsor applicants for work visas for this position.
As the Executive Assistant you will:
Handle standard administrative functions including answering, screening, and placing phone calls; opening and routing mail as directed; managing files, records, attorney calendars, and time records; and preparing attorney expense reports.
Anticipate attorney needs by proactively identifying potential issues and conflicts and take the initiative to offer solutions and preempt needs.
Prepare engagement letters and new client/matter memos, and update active client/matter number lists to assist with the new business process.
Utilize tracking charts for keeping up-to-date records, with a special focus on billing and new business.
Handle all aspects of document preparation, including processing edits, generating redlines, PDF creation, conversions, and quality control of work product.
Work in tandem with Client Accounting (Billing) department to ensure up-to-date and accurate client billing.
Seek ways of being energetically responsive to clients, providing superior client service in both small and large ways.
Assist in promoting business development through entry of activities, maintenance of contacts, and assembling of mailing lists in InterAction.
Utilize applications like Excel and PowerPoint to facilitate attorney's work.
Research and make complex travel arrangement for attorneys, including assisting with visa requirements.
Prepare check requests for vendor invoices and actively follow up to ensure timely payment.
Delegate work to other departments as necessary, coordinating the completion of delegated work and verifying its accuracy.
Assist with attorney personal work when required.
Ensure proper functioning of all software and hardware being used by attorneys, in consultation with technology support staff.
Perform responsibilities of other support services when needed, including but not limited to printing, scanning, duplicating, quality control and hand-delivering packages.
Perform special projects as assigned.
Assure that all completed projects adhere to accepted professional standards.
Demonstrate strong interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
Manage Firm resources responsibly.

Qualifications:

Project manages work conducted by inside and outside counsel.
Analyzes current and developing legislation and regulations affecting benefit plans and assesses their potential impact to propose applicable measures to comply.

Assists with the review of vendors' documents (e.g., booklets, service agreements, various communications).

Maintains detailed database of documentation for all benefit offerings and programs
Participates in compliance reviews and technical-oriented compliance meetings with vendors and counsel.
Assists with answering General Counsel's requests in response to subpoenas..
Coordinates compliance training of Benefits Department staff to meet regulatory requirements.
Completes regulatory reporting.
Assists with HIPAA and US and international data privacy compliance matters.
Assists with the annual benefits renewal processes by participating in meetings with benefit providers and brokers; analyzes proposals to negotiate applicable contract terms, maintains all contracts, and reviews and updates benefit plan materials.
Responsible for assisting in the maintenance of current benefit plans and the implementation of new benefits, programs and vendor management.
Develops strong relationships and works closely with the Benefits Department staff to educate, provide guidance, and ensure that the benefit plans are administered in accordance with the applicable regulations and contract provisions.
Assists personnel at all levels within the Firm on the available programs.

Reviews and analyzes conflicts reports to identify any potential conflicts of interest issues which require resolution.
Collaborates with other members of the New Business Conflict Clearance team, Conflicts Attorneys, and Office of the General Counsel to resolve potential ethical conflicts and facilitate the new matter opening process.
Communicates effectively with attorneys and staff to gather necessary information for conflicts checks, conflicts review and clarify any discrepancies in the iManage request form.

Conducts corporate research using both internal and external resources to verify the accuracy of information and understand corporate relationships and structures.
Coordinates with the Client Accounting Department and other relevant departments to ensure the integrity and consistency of database information.

Skadden is seeking a Client Accounting Electronic Billing Rate Coordinator to provides support for the Firm's electronic billing rate processes within the e-billing cycle, including establishing and maintaining relationships with e-billing vendors and clients. This position will be based in our New York office and has a hybrid in-office/remote working schedule. Please note that the Firm will not sponsor applicants for work visas for this position.
Coordinates monthly electronic rate submission process and submits timekeepers and rates to clients for approval, as needed.
Monitors status of rates submitted, investigates/identifies/escalates issues, and works with clients, partners, billing and collection personnel and other members of Client Accounting to resolve discrepancies and rejections.
Responds to inquiries of partners, secretaries and billing personnel related to e-billing/rate operations and/or the status of individual rates transmitted.
Works directly with e-billing and rates teams to assist with rates portion of client set-up for electronic billing, including reviewing timekeeper data and coordinating proper upload authorizations, ensuring that appropriate rate formats are utilized and other client requirements are implemented.
Interacts with Partners and billing personnel to ensure rates for e-bills are prepared in accordance with client agreements and Outside Counsel Guidelines.
Provides feedback on e-billing rate processes and procedures to increase efficiency, effectiveness and quality of e-billing rate operations.
Serves as a resource regarding electronic billing rate operations and provides relevant knowledge and guidance to others in the Firm in a manner that increases the level of understanding of e-billing rate operations.
Assists with electronic billing rate projects.
Actively seeks to enhance knowledge of all Client Accounting procedures and processes.
Qualifications

The DBA is responsible for the overall database delivery of the Enterprise Data Warehouse for the Medicaid agency. It is a critical role involving expertise in working with Medicaid data itself, security, supporting and maintaining hardware and software, and ensuring we are achieving optimal performance. The Opportunity
We are seeking an Information Governance Supervisor to join our New York City office. This position oversees various Firm resources to effectively coordinate and perform information governance functions, including file intake, transfers, data access, records retention and disposition. The Information Governance Supervisor advises the Firm's attorneys, clients and business services professionals about information governance best practices, data privacy and risk management issues while ensuring compliance with Firm policy. The position is also responsible for providing guidance, direction, mentorship and instruction to other Information Governance and Information Management staff related to governance initiatives. Coordinates and performs all aspects of information governance processes, including file intake, management, disposition, destruction and/or transfer, with minimal supervision.
Oversees outgoing client file transfer requests, involving IT, Records Management, Office of the General Counsel and others as needed.
Reviews outgoing client files, complying with the engagement agreement, outside counsel guidelines, and Firm policy.
Oversees incoming client file transfers, including downloading from file sharing sites and populating the document management system, coordinating email transfers, loading emails to mailboxes and tracking the status of the transfer.
Communicates with incoming lateral partners to understand their needs and ensure that their files are transferred efficiently, coordinating with their prior firm as necessary.
Ensures that Information Governance and Information Management staff working on client file transfers are completing their tasks accurately and efficiently.
Develops modified workflows for client file transfers, as needed, and ensures that team members understand and follow the workflow.
Coordinates with information governance departments at other firms to ensure timely receipt of client and attorney data in compatible formats.
Imports and exports emails to and from PST files using Microsoft Outlook.
Reviews personal emails of departing attorneys and partners in preparation for export in accordance with Firm policies.
Utilizes Relativity or other document review platforms to review and prepare files for transfer to departing attorneys, other firms and clients.
Utilizes Excel to track file transfers to ensure completeness and provides regular reports to management on the status.
Assists, guides and participates in the organization and filing of client emails for retiring partners, departing attorneys and business services professionals.
Leads and participates in global information governance projects such as office moves and cleanups.
Coordinates with the Records Management team to ensure file management compliance with firm policy, client guidelines and best practices.
