The Opportunity We are seeking an experienced FacilitiesManager to join our team. This role may be performed remotely from anywhere in the United States. Candidates based in the greater Jacksonville, Florida area are preferred due to proximity to the company's corporate office.
This position manages various renovation, relocation, and general property management initiatives for RS&H leased offices, covering multiple locations across the country. Leads building lease or refurbishment projects focused in optimizing space utilization and resource allocation to support the organization's evolving facility and spatial requirements.
This role evaluates existing facilities to determine short- and long-term space needs. Reviews designs, layout plans, and specifications to ensure compliance with building regulations, safety/security, and other organizational requirements. Maintains lease files and service providers' contracts. Coordinates construction and installation processes and the delivery of equipment or materials required for new hires or projects.
This position works independently, with limited supervision, applying advanced knowledge and the ability to evaluate and propose adaptations to standard methodologies and procedures for non-routine components of assignments; problems faced are typically difficult and sometimes complex.
Key Responsibilities:
* Oversees day-to-day property management and facility troubleshooting efforts. Servesas the point of contact regarding facility maintenance and landlord communications,which includes facility vendors and break room equipment. Ensure offices maintain RS&H sustainability programs.
* Provides project management for office openings and moves. Coordinates spaceplanning and build-out work with Landlord and/or General Contractor and serves asthe project manager and point of contact for internal support needs (e.g., IT, furniture,equipment, etc.) Coordinates offsite storage needs.
* Ensures facilities are compliant with OSHA regulations and liaises with risk managementand accounting on facilities issues.
* Oversees furniture needs for the firm, from office expansions to individual pieces. Thisincludes receiving the request, ensuring it conforms to company standards, and placingand monitoring the order. Coordinates furniture deliveries, repairs, and disposals.Serves as point person for furniture warranty claims and repairs. Ensures furniture pricequotes are competitive with the market, as needed.
* Completes lease abstracts and maintains lease files. Reviews construction documentsand estimates from landlords.
* Coordinates with the People team to ensure new hires offices/work areas areappropriately equipped.
* Manages security cards. Coordinates AED installations, testing, and training. Implement Security initiatives by RSH Safety Leadership.
* Performs all other duties as assigned.
Requirements:
* Typically requires a bachelor's degree in facilitiesmanagement or related degree, or equivalent combination of education and experience.
* Typically requires a minimum of 5 years facilitiesmanagement experience, including experience with building codes, office renovation procedures, and OSHA regulations.
* Requires strong attention to detail and ability to manage a diverse workload with shifting priorities. Also requires the ability to take initiative, follow through, and maintain confidentiality.
* Requires the ability to work flexible hours as needed to ensure the smooth execution of all office move-related tasks.
* Must have excellent verbal and written communication skills, as well as strong interpersonal skills, with the ability to relate to and understand people in a courteous and professional manner.
* Must also possess solid analytical, decision-making, researching and organizational capabilities.

Strong communication skills both written and oral with emphasis on dispute resolution.
Ability to perform multi-tasks within competing timeliness.
General or Strong knowledge of Project management processes.
Self Reliant and Motivated in a non office environment.

Reports To: Director of Property Management Purpose: The FacilityManager is primarily responsible for the day-to-day operations and maintenance of the facilities. Responsible for meeting the needs of building occupants, tenants, members, and guests and also ensuring the buildings are maintained according to best practices. Primary Responsibilities:
Manages the operations of the facilities including all aspects of facility maintenance, cleaning, landscaping, and regulatory inspections.
Manages the on-site facilities staff (building engineer, assistant facilitymanager, cleaners and porters), provides daily supervision and training, and ensures all shifts are covered.
Promotes positive occupant relations by responding immediately to all maintenance requests that come in various methods including text, phone, email, and electronic service requests.
Ensures service requests are completed in a timely manner with a high level of quality to ensure occupant satisfaction.
Responsible for accurate work order documentation to include time and materials expended on each work order and assigned task.
Coordinates with internal service personnel and external vendors to ensure service requests are met.
Performs maintenance and repairs including, but not limited to, HVAC, electrical, plumbing, painting, doors and hardware, pressure washing, etc.
Unlocks doors to provide access to service vendors performing work and to leasing personnel showing vacant spaces.
Assists with various facility and property management department projects as needed.
Monitors alarms in Building Automation Systems (BAS) and performs initial troubleshooting to determine cause of issues. Makes adjustments in BAS system and makes repairs in the field. Coordinates repairs completed by BAS technicians.
Troubleshoots issues with electronic access control and security camera systems and coordinates with specialized vendors as needed to ensure systems are operational.
Documents all preventive maintenance schedules and work. Performs preventive maintenance and supervises technicians and vendors performing preventive maintenance and life safety inspections.
Documents all life safety system inspections and ensures all systems are inspected on time and are in compliance with regulatory agencies.
Perform assigned tasks for emergency preparedness and recovery efforts as assigned.
May be required to work evenings, weekends, and holidays to address urgent matters.
Perform other duties as assigned or necessary to promote the success of the operation.
Minimum Qualifications & Requirements:
Five (5) years of experience as a facilitymanager at a complex commercial facility.
Two (2) years of experience with computerized Building Automation Systems (BAS). Able to understand trend reports and make adjustments to set points and other BAS settings to achieve desired comfort in buildings.
Must have strong organizational and time-management skills and be able to manage multiple issues at the same time.
Must be able to communicate effectively verbally and in writing in English.
Proficient with Microsoft Outlook for email and scheduling. Experience using a work order system. Able to write reports in Microsoft Word and create spreadsheets in Microsoft Excel.

POSITION OVERVIEW: As a Regional FacilitiesManager at LJA Business Solutions, you will lead and support the facilities and office services function across multiple LJA locations. Work varied hours including some weekends and evenings.
Maintain facilities in a clean, safe and secure condition.
Use common cleaning equipment and supplies safely and efficiently.
Move and arrange furniture and equipment for meetings and special events.
Observe and repair safety hazard and need for maintenance and repair.
Learn the policies, procedures and codes related to building maintenance, and repair.
Perform a full range of semi-skilled HVAC, custodial, building maintenance and repair work.
Repair and maintain a variety of mechanical equipment.
Read and interpret sketches, drawings, diagrams and blueprints.
Understand and follow oral and written instructions.
Communicate clearly and concisely, both orally and in writing.
Establish and maintain a cooperative and effective working relationship with others.
Education:
High School diploma or G.E.D. with two years of experience in facilities maintenance or related field. Demonstrated knowledge of general building maintenance, inventory and facilitiesmanagement is required. AA in Business or related field preferred. Previous experience with contracting preferred. HVAC certification required.
Also required:
Certification in First Aid and CPR within six months of the date assigned to this position; and successful completion of a Level II background screening, local criminal record check and drug screening prior to hiring.
Experience
Three (3) years of trade experience in performing general building maintenance and repair; maintenance, repair and installation of refrigeration, air conditioning and ventilation equipment preferably in an institutional or educational environment.
Licenses and Certifications:
Must possess a valid Florida drivers' license and certifications necessary to drive all vehicles as required.
Bilingual preferred: English/Spanish or English and other languages present in the local area.
Other:
Must demonstrate sensitivity to our service population's cultural and socioeconomic characteristics and needs.

Associate's degree or equivalent experience
6 months to 1 year of housekeeping, laundry, or environmental services experience (healthcare preferred)
Strong leadership, organization, and communication skills
Comfortable using Microsoft Outlook, Excel, and Word
Willingness to learn scheduling and timekeeping systems (Paycom/OnShift a plus!)
