What you will be doing
The Executive Assistant will provide critical support to the executive leaders of our Commercial Segment, acting as a gatekeeper and ensuring operations run smoothly. This will include the coordination of travel and complex calendar management. You will handle and maintain highly confidential and sensitive information with discretion.
Specific responsibilities will include
* Coordinating all on site and external meeting logistics such as hotel/site bookings, conference room bookings, catering orders, IT and audio-visual requirements, preparing meeting agendas and materials, and assisting with the creation of presentation materials. You may also work with our events team. Some travel may be required
* Drafting/Preparing correspondence and communications to internal and external customers
* General administrative tasks such as screening calls, preparing timely expense reports, replenishing office supplies etc
* Book appropriate domestic and international travel as well as visa requirements, prepare itineraries with travel and meeting details
* Assist with ad hoc projects, events, and meetings arrangements as needed,
* Drafting updates to the executive's organization (including emails, documents, presentation decks, and reports as requested or as needed)
What we are looking for
Our ideal candidate will have at least 7-10 years' experience with executive level support. In addition, you will need to be able to work autonomously and independently, using a proactive approach to anticipate needs and identify potential issues before they occur.
Other requirements include:
* Experience coordinating meetings both in person and via virtual platforms such as MS Teams and Zoom
* Proficiency with Office Suite including Advanced Excel and Advanced PowerPoint, and the ability to learn new systems quickly
* Previous experience working with event management is preferred
* Ability to work collaboratively as a team with the confidence to offer suggestions on process improvement
* Strong relationship management skills, ability to build a personal network throughout the company
* Strong oral and written communication and the ability to communicate clearly and effectively with senior leaders and external partners
* Proficiency with social media channels

Working conditions
The employee will be based in a home office and will be expected to travel as well. Some
months of the year might involve 50% travel on average. At times, spontaneous and unplanned

States.
While in a home office, the employee will be connected to a virtual support queue via an IP
connected telephone system. While engaging in daily support calls, the employee will be
