What You'll Do:
As Assistant Property Manager, you will assist the Property Manager, supporting all aspects of property operations, from leasing and resident relations to rent collections and vendor coordination.
Key Responsibilities:

Job Summary
This position manages the County's artifact repository and contributes to the review of cultural resources reporting for compliance with County and State guidelines, policies and regulations associated with land development applications. This position assists with the implementation of the County's Comprehensive Plan through a County-wide heritage preservation program and coordinates with other County agencies, State and Federal agencies, and non-governmental heritage preservation organizations.
Responsibilities include:
* Develops and implements archaeological collection management and related policies; drafts and interprets policies and written standards; participates in analysis meetings; and produces archaeological resource education materials.
* Maintains archaeological data and artifact repository. (Maintains database of archaeology collections and associated reports and inventories; ; assists with the development of standards and procedures for acquisition and lending, and the creation of portable displays and interpretive content; Creates system/program to loan artifacts to public and private institutions.); maintains archaeology site documentation and database; and compiles summary reports of archaeological survey data.)
* Assist lead Archaeologist with compliance review of technical reports to ensure consistency with county, state, and federal guidelines, policies and regulations. Provides analysis and recommendations associated with land development applications, and Section 106 of the National Historic Preservation Act including but not limited to reconnaissance level "walkover" surveys, Phase I, II, and III cultural resources surveys, cemetery delineations, cemetery treatment plans, and related summary reports; and maintains contact with heritage resource organizations, the State Historic Preservation Office (SHPO), and other agencies and departments.
* Prepare reports. (Prepares concise, objective referrals on legislative and administrative (by-right) land development applications; prepares reports for the Board of Supervisors (BOS), County Administration, the Zoning Administrator, Director of Building and Development, Planning Department, and the Transportation Land Use Committee; attends pre-application meetings prepared to identify potential heritage resource issues; and supports project managers at meetings with applicants, Planning Commissioners, the BOS, and community leaders.
* May perform other essential job functions specific to the position and department assignment.

Minimum Qualifications
Bachelor's degree in archeology, anthropology, historic preservation or a related field; two (2) years of related work experience; or equivalent combination of education and experience.

The Assistant Property Manager is responsible for assisting and supporting Property Manager and support staff in achieving maximum occupancy and collections at the property. Communicate and collaborate with site staff to ensure that all site compliance and financial administrative procedures are met. This position also assumes the role of person in charge when a Property Manager is not present.
Essential Functions:

Fosters a positive, active and collaborative relationship with residents, communities, and associated agencies.
Works with Property Manager in all functions with a significant focus on assisting in support of site staff.
Assists and supports Property Manager in the coordination and processing of compliance and financial administration, leasing, resident retention, and maintenance and safety.
Responsible for keeping reception area clean with professional surroundings.
Answer and direct incoming calls to the appropriate team member. When the appropriate team member is unavailable, ensure proper follow up.
Listen and address resident concerns/requests timely, to ensure resident satisfaction or if their requests are unreasonable, ensure they receive a response regarding our action/inaction.
Greet, introduce, welcome and convey benefits of the property to prospective residents and visitors. Coordinate leasing to include interviewing prospective residents and assessing their needs and qualifications. Secure a completed welcome card and/or application from the prospective resident. Enter prospective resident information into the property data system.
Schedule application intakes, interviews, processing and preparation of applications, and their distribution.
Accompany prospective residents to apartments, discuss size and layout, terms of lease, and available facilities, i.e., swimming pool, laundry, shopping centers, services available.
Qualify prospective residents, based on property program requirements and the tenant selection plan.
Coordinate and maintain a healthy applicant waiting list to ensure future maximization of occupancy.
Calculate rent, based on property program/procedures or rent schedule.
Complete appropriate lease forms/documents and collect reservation deposit (if applicable), security deposit, and initial or prorated rent.
Handle marketing outreach to include interacting with neighborhood groups, local employers, community organizations and any other sources of prospecting and lead generation with a focus on converting leads into rentals.
Conduct marketing surveys and regularly review traffic reports, share trends with Property Manager.
Assist with and attend resident retention initiatives (i.e., resident functions, promotions, monthly newsletters, etc.) and property-issued communications/notices (i.e., bad weather, emergency, etc.).
Gather, prepare, and execute lease renewals, and intake, prepare, and process interim recertification, annual recertification and other documentation as required by local, state and federal agencies. Secure all required applicant and resident signatures, for administrative processes.
Maintain accurate record of all resident transactions/ certifications and process timely (interim certifications, move-in/move-outs, etc.).
Manage the collections, depositing and posting of all rent and late fees/charges, delinquencies, late notices and evictions as assigned by management.
Manage and ensure all Housing Assistance Payments, including special claims are requested and received as applicable.
Notify management of and process necessary legal action of resident non-payment or non-compliance.
Process information in property management software regularly, i.e.., work orders, certifications, deposits and all pertinent resident documentation.
Prior to showing an apartment, a model, or any aspect or amenity of the community, ensure that it meets Vesta quality standards and expectations. Report any maintenance or physical property needs to the Property Manager and/or Maintenance personnel.
Input work order/service requests, in property data system, communicate to maintenance, and follow up.
Assist with monitoring service contractors to ensure proper completion of contracted duties, (i.e., exterminator, landscaper, snow removal, etc.).
Assist in the achievement of property financial goals.
Consistently maintain property rules and regulations in accordance with property-based programs, Vesta's SOP, and all state, federal and/or local laws.
Preserves and respects resident, applicant, employee and company confidentiality.
Other duties as assigned by management.

* Assist the Property Manager in order to initiate, contract, and administer all necessary services to maintain and enhance the value, operating efficiency, and physical appearance of the property.
* Prepare all Service Agreement and Construction Agreement documents (including work authorizations, addendum's, amendments and contract approval forms).
* Track and maintain Energy Star benchmarking data so information is current and accurate.
* Conduct tenant training meetings to improve building efficiencies.
* Maintain ongoing tenant contact/relations program to constantly assess needs and help assure the problems are being resolved and are to the satisfaction of the tenants and owners.
* Resolve problems to the mutual benefit of the tenant and the owner.
* Implement and monitor tenant needs assessments.
* Administer all leases to assure compliance with provisions/agreement.
* Determine and execute on timely basis escalations, reconciliations, and rent collections.
* Maintain current certificates of insurance for all tenants; ensure coverage complies with lease requirements.
* Show space to prospective tenants (requires real estate license where required by state).
* Communicate clearly and on a timely basis with project accounting personnel using and/or providing the appropriate documentation.
* Prepare monthly ownership reporting (including variance reports, executive summaries, aging reports, etc.).
* Manage and coordinate day-to-day financial transactions including accounts receivables, accounts payable, collection of rents and charges.
* Maintain compliance with all TW personnel policies and procedures.
* Miscellaneous duties or projects as assigned by the property manager.
POSITION REQUIREMENTS
* A bachelor's degree in Business Management, Finance, Accounting, or a Human Resource Management related discipline.
* RPA designation in progress preferred.
* Possess Real Estate License where required by state law.
* A minimum 3 years of property management experience, preferably in commercial /Class A Office management.
* Must have intermediate to advanced MS 365 Word, Excel and Outlook proficiencies.
* Angus and accounting software such as MRI, Yard or CTI preferred proficiencies.
* Ability to keep information strictly confidential.
* Strong desire to succeed in an entrepreneurial environment.
* Must be able to handle multiple projects, changing priorities and a continually heavy workload.
* Exceptional oral and written communication skills.
* Strong customer service orientation.
