What You'll Do:
Provides administrative and clerical support to one or more executives and their respective department(s). Essential Duties/Responsibilities
Prepares for and leads daily craft and environmental education projects in nature day camps.
Assists with staff-or volunteer-led interpretive programs and presentations, including hikes and other outdoor/indoor activities.
Provides public information and roving interpretive services; greets visitors and receives incoming calls; orients the public to regional parks/trails; and provides natural and/or cultural history information.
Supervises group activities; ensures children are accounted for at all times.
Sets clear expectations and ensures the safety of all program participants.
Assists with various special projects/events on behalf of the Recreation & Cultural Services Division as needed.
Sets up and maintains cleanliness of facilities.
Performs other duties as required.

REWARDING WORK YOU WILL DO:
Facilitates and coordinates the communication of clinical teams. Supports departmental functions on a daily basis and supports problem resolution. Provides clerical/administrative support to clinical managers and is a resource in the rules/regulations that apply to hospice to ensure quality care of patients and families.
Demonstrates the ability to contribute to the organization's vision and mission, and protects confidentiality.
Utilizes good customer service skills and supports the clinical hospice, palliative and home health team for both patients and family members including intervention and mediation with patient/family in regards to complaints, service recovery, requests for cares.
Performs several scheduling functions including: daily/weekly CNA scheduling for assigned teams, PTO/Sick Call coordination (may include contacting and redeploying staff), bi-annual holiday coverage schedule, monthly schedule, tracking of weekend day utilization, and daily on-call and afterhours schedule.
Assists Manager with timecard reviews to include monitoring absenteeism and Paid Time Off (PTO) availability when requested.
Tracks upcoming CTI and Face-to-Face (F2F) needs and schedules visits either during IDG meeting or with MD/NP specifically. Coordinates with Palliative team members to schedule CTI or F2F visits for shared MDs or NPs.
Provides clerical/administrative support to the Clinical Manager including prep/tear down of team/discipline monthly meetings or weekly interdisciplinary team (IDG) meeting materials. Assist Manager with assigning new patients to specific clinicians. Generates various reports, performs other clerical duties including but not limited to: answering phones, typing letters, updating mailboxes and processing faxes.
Supports the Clinical Manager as needed with data collection and report creation of team function. Tracks and transcribes information accurately. This may include: productivity, mileage audits, unverified documentation, etc.
Processes equipment requests/orders from field staff/managers/patients; determines appropriateness of requests, and communicates request to durable medical equipment (DME) company. Notifies DME Company of equipment pick-ups.
Works with medical supply vendors to order DME and medical supplies based on par levels and specialty needs. Receives order requests via face-to-face, phone, or email. Responds to order requests in a timely and professional manner. Researches specialty product orders as requested by a clinician and maintains records of all patients utilizing specialty products. Prepares supplies for clinician and coordinates delivery through courier and/or vendor or in-person pick up. Uses barcode scanning system in order to track items in/out of supply room and manage inventory levels. Stocks supply room(s) when new shipments arrive and as needed. Provides reports to internal and external customers.
Demonstrates proficiency with computers, copiers, fax machines and other standard office equipment.
Uses effective organization, time-management and prioritization skills. Ability to handle multiple tasks from multiple sources in a busy setting with frequent interruptions.
Facilitates flow of patient information and communication. Utilizes sound judgment when handling telephone calls and triaging to appropriate clinician for further actions.
Participants in other task forces or committee work as assigned.

As a Visitor Services Assistant, you will:
* Staff the Ranch entrance station
* Provide information and assistance to visitors (such as, distribute maps/ brochures, orient visitors to park facilities and amenities, promote education programs, educate on park regulations, etc.)
* Promote and sell Rock Ledge Ranch Living History Association memberships
* Operate a cash register and credit card reader
* Collect revenue and complete deposit report to verify money collection at the end of each shift
* Report daily visitor attendance
* Distribute and collect visitor surveys
* Clean and perform light maintenance duties, including litter pick up
* May assist with special events or programs

Education:
GL-05: Successfully completed 4 years of education above the high school level in any field for which high school graduation or the equivalent is the normal prerequisite is creditable at the GL-05. This education must have been obtained in an accredited business, secretarial or technical school, junior college, college or university. One year of full-time academic study is defined as 30 semester hours, 45 quarter hours, or the equivalent in a college or university, or at least 20 hours of classroom instruction per week for approximately 36 weeks in a business, secretarial, or technical school.

REQUIRED:
High School Diploma or equivalent
Any combination of education, training, and/or experience equivalent to: AA Degree in Business Administration or related field, and five (5) years of administrative assistant experience to executive level management
Employee must complete a fingerprint-based criminal background check and must be cleared by the Office of Human Resources
Must be able to communicate effectively in English, both orally and in writing, using proper grammar and vocabulary
PREFERRED:
Previous experience supporting executive level leadership
Competency using a computer and Microsoft Office Suite, Google docs and calendar
Familiarity with e-mail, requisitioning, purchase orders, service requests, and other computerized processes

Perform highly responsible administrative support duties as the primary and confidential secretary to the Superintendent, to relieve the Superintendent of administrative and clerical detail; plans and organizes Superintendent office activities and coordinates flow of communication and information; assures smooth and efficient office operations
Assist the Superintendent in scheduling daily activities, prepare agendas, maintain appointment calendar, and related details Schedules the Superintendent's appointments in order to provide for the most efficient use of the Superintendent's time. In many cases, the Administrative Assistant is expected to handle inquiries/concerns for which staff members or parents are requesting appointments
Maintain strict confidentiality with sensitive information
Prepare, check accuracy and code all requisitions, purchase orders, travel arrangements, travel reimbursements, check requests, and other forms and requests for approval as requested by the Superintendent; prepare and process conference registrations, travel arrangements and reimbursements as requested by the superintendent
Provide clerical assistance for communications staff and other employees in the Superintendent's office.
Research and compile information pertinent to a variety of programmatic and operational areas; summarize information in writing, tables, and graphs
Perform all duties pertaining to committees, workshops, conferences, reports, task forces and meetings, including but not limited to compilation and preparation of preliminary drafts for various reports, special studies or surveys, and Superintendent
Assist with completion of contracts, inter-district transfers, and agreements, including attaining signature and dispersing to entities
Prepare agendas, minutes, mailings, and notification of committee meetings, conferences, task forces, etc.
Take and maintain minutes at meetings as requested by the Superintendent
Maintain official records reports, and filing system for office of Superintendent. Establish and maintain schedule for Superintendent records, including digital scanning, storage, and disposal
Respond and follow-up on difficult issues, citizen and student interests or complaints, and exercise judgement in accordance with applicable regulations or policies
Monitor/track/verify absences for staff reporting directly to Superintendent
Plan and organize office and work flow activities to meet program objectives in a timely manner, evaluate work procedures and methods to ensure quality, effectiveness and efficiency of operations; and anticipate events, trends, consequences and problems
Open, prioritize, and distribute mail including confidential communications relating to legal, financial, personnel and labor relations. Reviews categorized mail to prioritize materials, as well as to handle items that do not need the Superintendent's attention, or draft replies to correspondence, requests for information or reports
Work with the Board Secretary to assist in the preparation of the agenda for the Board of Education meetings including notification, compilation, and dissemination of materials before and after meetings, as needed
Attend Board of Education meetings as a substitute to the Board Secretary, as needed
Coordinate communications between the Superintendent and the Board of Education, the District's administrative team, all school employees, the community, and outside professional associates. Works closely with the Director of Communication in coordinating communication efforts with the media
Prepare reports and drafts of reports for the Superintendent's use for transmittal to the Board of Education/Board Secretary or directly to persons requesting information
Draft emails/correspondence and letters both at the Superintendent's discretion, and using the incumbent's own discretion, in response to requests or inquiries
Prepare and assure access to a variety of documents, files, and other paperwork for staff members and the public; Represent a positive image of the Superintendent and enhance public relations through constructive communication with a variety of staff, agencies, and members of the community
Provide background information to the Superintendent for responses to inquiries from administrators, staff members, teachers, parents, or students
Provide support on special projects such as strategic planning, levy/bond issue campaigns, and professional development for staff
Assist Superintendent with legal documents regarding personnel and other issues, as well as consultation with legal advisors
Coordinate the annual planning and budgeting processes for the Office of the Superintendent. Perform any budgetary tasks for the Office of the Superintendent
Make arrangements for conferences, retreats, and meetings for the Superintendent. Assist the Superintendent with the formation of task forces and committees made up of district personnel and parents
