1. Oversees and coordinates administrative, program and office activities for the college Head of College. 2. Establishes, selects, implements and coordinates office procedures and systems. 3. Position Focus:

Harris County Attorney's Office assistant lan administrator job description

The Administrative Assistant prepares the District Attorney file after the case has been screened by the Assistant District Attorney. The file and the contents are typed and printed, and returned to the Assistant District Attorney for proofreading and affixing of the proper signatures after the Administrative Assistant has been properly sworn to the oath required by the Code of Criminal Procedure by an Assistant District Attorney.

The Administrative Assistant shall answer the telephone and assist officers with charges when the log manager is unable to do so and refer all callers to the proper person. This person will also learn the log manager's position and will work when needed.
Log Manager:


The Log Manager is an individual permanently assigned to the Intake Division or an Intake Administrative Assistant who voluntarily works the Log Manager position by assignment on the Intake Administrative Assistant overtime schedule. This individual is responsible for maintaining the flow of cases through Intake. This duty includes answering the telephone and directing calls to the proper person.

This individual will pick up the DIMS report/criminal history packet from Communications and check the DIMS report for accuracy. If the DIMS report is not correct or has missing information, the log manager will try to obtain the correct information from the police officer. This individual will then make sure the cases get to the Assistant District Attorney, the Administrative Assistants, back to the Assistant District Attorney, and then to the District Clerk after each have performed their specific duties regarding the charge.

The Log Manager shall assist any police officer who calls regarding the status of a charge by directing that police officer to DIMS60 or DIMS90 or by providing the information from DIMS60 or DIMS90. Charges can be tracked through the DIMS system by transaction number (which is the control number of the episode or event), log number (which is attached to the defendant), name of the defendant, or name of the officer. If a case is declined for prosecution, the Log Manager will notify the officer by fax of the occurrence, and will enter the reject reason into DIMS 60.

12 a.m. to 8 a.m. Monday - Friday or 4p.m. to 12a.m. Monday - Friday


Requirements:


Must have High School Diploma. Three years office or criminal justice experience. A successful candidate must have strong written and verbal communication skills. Must be able to operate basic office equipment, and have strong organizational skills in maintaining records and files. Must have the ability to demonstrate attention to detail, work in a fast-paced team environment, and maintain discretion and confidentiality. Working knowledge of computers and proficiency in the use of Microsoft Excel, Word, and Outlook.

About your Role
