Learn more at **************** Summary of Position Pine Tree is seeking a skilled and motivated Property Manager to join our dynamic Property Management team. In this role, the Property Manager will collaborate closely with their dedicated Associate Property Manager to oversee the day-to-day operations of a diverse portfolio of retail shopping centers. The primary focus will be on fostering strong tenant relationships and ensuring the properties are well-maintained and running smoothly. As the main point of contact for both tenants and vendors, the Property Manager will meet with key stakeholders on-site regularly to address any issues, ensure satisfaction, and maintain operational excellence. The role also includes a range of accounting responsibilities, such as preparing monthly operating reports, budget variance reports, CAM reconciliations, and annual budget preparations. Additionally, the Property Manager will work in a close partnership with the broader company to monitor and drive the overall financial performance of the portfolio. Responsibilities Establish and maintain positive relationships with all tenants to ensure tenant satisfaction and retention in their approximately 1.5 million square foot portfolio of open-air shopping center properties. Perform regular inspections of properties, recommend alterations, maintenance, and reconditioning of properties as they pertain to the portfolio. Prepare annual operating budgets and monitor all expenses. Negotiate and contract for vendor services and supervise work as required. Respond to property and tenant needs and coordinate with the team to resolve issues. Available to supervise property maintenance urgent matters 24/7. Work with their Associate Property Manager to oversee the timely collection of rent, payment of expenses, compliance with lease terms, and preparation of all required legal notices. Timely prepare or review for accuracy reports, including operational summaries, collections, variance reports, and year-end reconciliations. Supervise the planning and implementation of operating expenditures. Interact regularly with clients and teams to ensure that Pine Tree's business objectives are being met. Review, manage, and approve invoices for payment. Related duties as assigned. Desired Skillsets & Qualifications The ideal candidate will possess a bachelor's degree in Business, Accounting, Finance, or a related field, or have equivalent hands-on experience in a similar setting. A minimum of 3+ years of experience managing Retail or Shopping Center properties is required. Strong computer and internet skills, including Microsoft Office 365, and experience using CRE management software such as Yardi (Preferred) Strong financial and analytical skills Solid understanding of lease terms and language, with ability to interpret as needed Ability to travel by up to 20% per month Ability to maintain strong attention to detail with a continued high efficiency and accuracy rate for performing work/tasks Ability to spot issues proactively and head them off and/or start the solution process Must be a self-starter that can execute tasks timely and lead while fully remote Desire to learn and grow The position responsibilities outlined above are in no way to be construed as all-encompassing. In this role, you will: Participate as a member of a project team comprised of Project Managers, Buyers, Engineers & others to successfully manage the installation of Material Handling Equipment (MHE), as well as Distribution & Fulfillment (D&F) within customer sites. Manage on-site installation of small to highly complex MHE and D&F projects. Communicate with project teams daily, which include but not limited to PM, Engineers, Procurement, Sub-Contractors, General Contractors, Vendors and Suppliers. Complete project look ahead with Sub-Contractors to forecast project work and milestones. Oversee/Manage receipt of inventory and report issues through project team for direction. Document, compile and prepare a daily site report that is used as a risk management tool. Utilize Site Docs to perform workplace safety audits, AM/PM safety walks, toolbox talks, contractor orientation, near-miss or workplace incident reports, upkeep of your DCS provided safety training certifications annually or as required. Utilize Procore for all project related documents, reporting, RFI's and punch-listing. Travel up to 90% during project installation and start-ups. Bachelor's Degree at minimum. * At least five years of progressively responsible management-level experience in Health Care Management. * Require prior experience in managing an office in healthcare. * Require prior experience in successfully managing direct reports. * Prior experience in coding and billing in the medical industry is required. * Require intermediate knowledge of computer software: Microsoft Word, Excel. * Require knowledge of patient scheduling software (preferably EPIC). * Ability to travel between both sites as well as attend other off-site activities/events as required. * Ability to manage employee relations pertaining to direct reports to provide smooth and pleasant work harmony and team building. * Excellent understanding of customer service as related to medical service delivery. * Able to build an effective team environment. Team Leadership and Management Recruit, develop, train, and lead the onsite team to deliver high-quality resident and prospect interactions. Establish and document performance goals for team members and provide regular feedback to encourage professional growth and accountability. Foster a collaborative and resident-focused culture to drive excellence in service delivery. Resident & Prospect Satisfaction Oversee the customer experience to ensure residents and prospects receive timely, courteous, and professional service. Monitor resident feedback and satisfaction scores to identify areas for improvement and implement changes to enhance the resident experience. Provide support and guidance for unresolved resident concerns, ensuring prompt and effective resolutions that align with company policies. Leasing and Prospect Engagement Collaborate cross-functionally with the Sales & Leasing team to support marketing efforts and maintain occupancy and revenue goals. Ensure the sales process, including tours, move-ins, and move-outs, are seamless and professional. Monitor feedback and collaborate cross-functionally to enhance the customer experience. Compliance and Reporting Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to multifamily communities to ensure compliance with local regulations, company policies, and industry standards. Maintain accurate records for resident interactions, leasing, maintenance, and other operational activities. Prepare and present regular reports on property performance, resident satisfaction, and operational efficiency to senior management. EDUCATION, EXPERIENCE, AND SKILLS Demonstrated passion for customer service. Strong interpersonal skills with a customer-focused mindset. Strong verbal and written communication skills. A minimum of three (3) years of management experience leading a team. A minimum of two (2) years of customer service experience working within the multi-family or hospitality industry, preferred. Experienced in property financial analysis and must be able to read and understand financial reports. Proficiency in property management software (e.g., Onesite, Yardi, or similar), Microsoft Office suite, and customer relationship management (CRM) tools. Be a self-starter with a proactive, solutions-driven mindset to address concerns and effectively implement the next steps. Exhibit professionalism and discretion throughout all interactions with coworkers, residents, vendors, and the community. Must be able to effectively manage in a crisis. A desire for professional development and continued learning Ability to manage one's time effectively and productively. Ability to perform at a high level in a fast-paced work environment while successfully adapting to changing priorities and demands. A High school diploma or equivalent (e.g., GED) required.
