This role is Blended in Rosemont, IL. The work is a combination of being onsite in Rosemont and work from home days as defined by the role segmentation.
RESPONSIBILITIES:
Manages legal projects by organizing and expediting tasks, creating, planning, and coordinating presentations, meetings, travel plans, etc., as well as disseminating information quickly and accurately.Acts as legal liaison with other departments, tracks department relevant data, drafts written responses or replies by phone or email when necessary.Acts as legal business partner by assisting department staff members with meeting deliverables such as time management/prioritization of daily activities and maintaining focus on business matters/issues.Create general legal correspondence, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes.Answers and screens incoming phone calls/e-mails and forwards, as necessary.Schedules and organizes complex activities that may include meetings, department activities, travel and/or conferences for Legal Leadership as well as attendees from multiple locations. Corresponds as necessary with vendors to ensure compliance with established procedures and processes.Assists with packages and mail distribution.
RELATIONSHIPS:Internal: Interacts with all levels of the organization to ensure proper and timely communication and completion of tasks.External: Interacts with sister divisions to provide or furnish information, etc. Also corresponds with vendors.QUALIFICATIONS:Education/Training: High school diploma or G.E.D. required. Formal clerical, administrative training or equivalent experience.Related Experience: A minimum of four (4) years office/clerical and admin experience required. Paralegal training desired. Works under limited supervision and deals with straightforward situations as defined by policy.Knowledge/Skills/Abilities:

This position assists the Transportation Administrator with securing all the necessary permits (Federal and state mandated) and documentation required to respond rapidly to the needs of our customers regardless of the time of day. Position will also asset tracking and reporting.
Duties and Responsibilities (functions considered essential are marked by an *):
* Obtain road construction and temporary permit restrictions from state, county, and municipal web sites and forward information to the field
* Obtain and disseminate holiday permit office closure and travel restrictions for each state
* Order single trip permits to facilitate movement of oversized and/or overweight vehicles
* Conducts review of reference documents (State Letters, Equipment Breakouts, Quick Reference Guides) to verify equipment & permit information and make updates as necessary.
* Maintain accurate files for State mandated inspections & registrations of base plate vehicles; work with Field Ops to complete in required time frame
* Maintain list of heavy vehicles requiring inspection and work with Field Ops to complete in required time frame
* Assist with processing requests and maintaining accurate files for Federal and State mandated registrations, fuel decals and cab cards for heavy trucks.
* Receive new asset requests from purchasing, process to setup new units in all relevant systems to ensure data integrity. Setup files for each unit and complete vehicle registrations (if necessary).
* Receive, process, and maintain accurate files for Asset Transfer, Asset Termination and Equipment Combination Change requests.
* Maintain tracking documents, assist in conducting audits and update records related to Equipment Combo, equipment Location and title audits
