What You'll Do
Effective communication with AVP clients including patients, insurance companies, front office staff, back-end RCM team members and all other internal and external clients.
Customer Service Representatives will assist clients with balance inquiries, payment information, demographic updates, general billing issues, insurance/ Medicaid updates, and other account related issues
Tasks will be performed by utilizing PM systems such as Compulink, AdvancedMD, MDOffice and other vendor systems such as Excel, Word and all other relative systems as needed
Work in the Collectly call que daily to resolve patient inquiries; review all accounts in the unsuccessful bucket for bad debt write off in accordance with AVP policy
Operate Customer Service line, pull voice mails hourly and return calls within 24 hours
Provide clients with correct answer to the account(s) in question

Obtain payment on accounts that are patient responsibility, including prior bad debt balances as pertinent while speaking with patients
Elevate problems, trends, or complicated accounts to the appropriate collector or manager
Document all conversations with clients for future reference
Handle client complaints in a professional and serious manner
Review accounts for accuracy (correct statement groups, financial class, etc.)
Process adjustments as necessary (settlements, refund requests, etc.)
Perform follow-up on worked accounts when necessary
Review and work daily correspondence received from patients
Assist with account audits when necessary
Perform a variety of other duties as directed by incoming calls
Serve as a liaison between Patient Accounts, payers, and clients when necessary (troubleshoot accounts, fax claims to insurance companies to expedite processing, service/ charge disputes)
Contact payers to check claim status when beneficial to clients
Perform telephone appeals for denied or low payment claims when requested by client and within company established guidelines
Process disputes by obtaining medical records and explaining procedures
Review diagnosis and procedure codes with appropriate individuals to ensure correct coding
Verify new or correct insurance information on patients
Send claims to the insurance company as needed
Contact the patient when insurance information does not verify as eligible
Monitor office supplies and place orders to Staples as needed
Complete special projects and all other duties assigned by the department Manager

Post Non-Paid EOB Batches for multiple payer types.

When charges are applied towards deductible, the Poster is required to transfer the deductible amount to Patient Responsibility. If participating payer, posts the contractual adjustment and reduces the balance to the PTR deductible.

As a Medical Insurance Collections Associate, you are responsible for filing insurance claims, managing patient accounts, and answering account status inquiries on optometry and ophthalmology patients. They collect and enter claim information, follow up on unpaid and rejected claims in a timely manner, and may assist with posting insurance and patient payments as needed. Collectors are also held accountable for documenting all customer interactions in the appropriate computer system. Representative reports directly to Revenue Cycle Manager of Collections.
What You'll Do
Enter information necessary for insurance claims such as patient insurance ID, diagnosis and treatment codes and modifiers and provider information. Insures that claim information is concise, complete, and accurate.
Submits insurance claims to clearinghouses or individual insurance companies electronically or via paper CMS-1500 form.
Answers patient questions on patient responsible balances, copays, deductibles, write-offs, etc. Resolves patient complaints or explains why certain services are not covered while demonstrating positive customer relationship skills with all telephone encounters.
Follows up with insurance companies on unpaid or rejected claims. Resolves issues and re-submits claims.
Prepares appeal letters to insurance carriers when not in agreement with claim denial. Collects necessary information to accompany appeal.
Follows up on past due patient balances and provides necessary information to collection agencies for delinquent accounts.
May perform “soft” collections for patient past due accounts. This may include contacting and notifying patients via phone or mail.
Prepares and submits secondary claims upon processing by primary insurer.
Posts insurance and patient payments using medical claim billing software as needed.
Understands managed care authorizations and limits to coverage such as number of visits.
Verifies patient benefits eligibility and coverage.
Meet outlined AVP benchmarks and/or quality indicators as monitored through audits or recordings.

This individual provides face-to-face screening, education, and counseling to patients regarding the benefits of IOL lens options, including elective options with advanced-technology lenses. In addition, the counselor is responsible for discussing cost and payment options for these elective services and providing meaningful insight into each procedure and how the procedure will impact their eyesight. For cataract procedures, discuss premium lenses compared to a standard lens.
RESPONSIBILITIES:
1. Marketing/Business Development
• Implements the refractive marketing objectives and motivates support staff to participate.
• Participates in staff training on refractive surgery.
• Acts as key contact person for all refractive surgery inquiries, including those from patients, physicians, and staff members.
2. Provider Relations
• Communicates optometric referrals via follow-up correspondence, educational materials, and reporting.
• Maintains process for co-management of patients, including pre- and post-op protocols, forms for co-management, fee information and payment process, educational materials and optometric staff training.
• Impliments OD co-management manual, working with the physicians to ensure appropriate protocols are included in the manual.
3. Administrative Duties
• Maintains and monitors internal systems (i.e., tracking of new patient scheduling, patient correspondence, marketing budget, and referral source follow-up).
• Maintains an internal patient database; identifies target patients for mailings and telephone calls.
