Attendance Clerk


Position Summary:

Collects and maintains student attendance information at the assigned site; meeting district, state and federal requirements relating to attendance processes including parent notification; preparing and distributing attendance reports and materials; providing clerical support at school site; and communicating various information regarding activities.

Essential Duties:


Receives, Inputs and logs all student absences and tardiness, into an automated system. Issues passes to students that arrive late to school and enters into computer program with reason for tardiness. Calls parents to notify about and determine reason for student's absence. Requests and give routine information to parents and school district personnel regarding absences and tardiness. Prepares and mails letters to parents notifying them of their child's excessive absences and/or lateness. Distributes daily Do Not Admit (DNA) list to building administrators and teaching staff and maintains copies in office. Retrieves data and compiles information from manual and automated files for the preparation of routine reports and correspondence regarding attendance. Prepares daily, weekly and/or monthly attendance reports and submits to designated administrators or school district personnel. Issues and processes all requests for early dismissal and ensures parental consent. Requests homework for students that are absent or in ISS from teachers to give to students. Promotes the success of substitute teachers by printing off daily attendance sheets and enter attendance into TERMS for substitute teachers. Maintains files of school district attendance records. May distribute medications to students when no nurse is present at the school. Performs various clerical duties including answering phones, greeting and screening visitors, making copies, etc. Performs other duties as assigned.

High school diploma or GED required PLUS one of the following Associates degree or higher Completed at least two (2) years (48 credit hours) of study at an institution of higher education Passed the OGET Passed the ETS Parapro Assessment (with a score of 455 or better) or the WorkKeys Assessment (with a score of 4 or better on all three parts) Bilingual interpretation and translation skills preferred. Good knowledge of office terminology, procedures and equipment. Working knowledge of computer software applications to produce various formats, such as correspondence and reports. Ability to understand and carry out oral and written instructions. Ability to establish and maintain effective working relationships with students, parents and school personnel. Excellent verbal and written communication skills. Ability to use computer applications such as spreadsheets, word processing, email and database software (Microsoft Office Suite). GENERAL DESCRIPTION / PRIMARY PURPOSE
● Responsible for collecting payroll data from field forepersons for 4 different commodities, Lettuce, Broccoli, Cauliflower, and Celery for hourly employees, including those covered under a Bargaining Unit.

MAJOR RESPONSIBILITIES AND TASKS/DUTIES OF THE POSITION
● Collect and document payroll data provided by Field Forepersons by radio or phone communication in different locations on rosters.
● Responsible for inputting payroll data for Royal Farming and OCN Farming from daily timecards on a daily basis.
● Enter data into the system and balance and any corrections needed.
● Print breakdowns and rosters for foremen and review for accuracy prior to providing field reports to forepersons.
● Responsible inputting payroll data of all crews in a timely manner, especially at end of seasons and incompliance and state regulations and or covered under a Bargaining Unit.
● Responsible for providing weekly crew roster to Forepersons at end of week for a new beginning pay period.
● Responsible for providing questions and concerns regarding payroll to Supervisor or Manager.
● Assist with sorting checks and attachments as needed.
● Assist with making copies of documents as needed.
● Occasionally help with customer service at the front desk.
● Occasionally help with special projects such as mass mailings, filing, archiving, and testing configurations.
● Other duties as assigned.

JOB
OBJECTIVE:
Provides support services that help students benefit from the educational program.


MINIMUM QUALIFICATIONS:
Valid state department of education license/permit as determined at the time of appointment. Meets all mandated state/federal criteria (i.e., approved degree, completion of requisite higher education credit hours/courses, or acceptable score on an authorized professional standards test). Behavioral management skills substantiated by training/work experience. Duties may require agility, physical strength, and stamina to address the needs of students with problem behavior and/or students requiring physical assistance (e.g., mobility, transferring, positioning, etc.). Complies with drug-free workplace rules, board policies and administrative guidelines/procedures. Demonstrates dependability/flexibility. Reacts to interruptions/emerging priorities effectively. Embodies high ethical standards/integrity. Accepts personal responsibility for decisions/conduct. Exhibits consistent, impartial and resourceful critical-thinking skills. ESSENTIAL FUNCTIONS:

Learns proper procedures to assist students during a bus emergency. Assists with passenger loading/unloading. Keeps bus driver and school personnel informed about behavior problems. Cleans up spills and deals with other conditions that may contribute to an accident.
Office
Greets/assists office visitors. Answers/directs calls. Types school documents. Duplicates/collates materials. Processes mail and faxes. Receives deliveries. Stores office supplies as directed.
Hall Monitor
Maintains a safe/orderly school environment. Does not permit students to loiter. Verifies students have permission to be in hallways or other areas during scheduled class periods.
Health Clinic
Helps collect and maintain student health records. Processes parent consent forms. Secures mediations in a locked cabinet. Administers medications and assists with health screening activities as directed. Renders basic first aid when a school nurse is not available.
Library/Media
Works with staff to improve student learning through the effective use of library/media resources. Maintains an orderly circulation system. Keeps materials properly shelved.
Helps students use library/media resources (e.g., computers, peripherals, videos, CD-ROMs, audio tapes, etc.). Assists teachers with the operation of audio-visual equipment.
