Customer service assistant job at Bass Pro Shops
The Service Specialist assists in all aspects of Service Department operations including unit inventory procedures, pre-delivery inspection (PDI) and delivery orientation. Position may also assistcustomers requiring service or warranty repairs for their boat, motor, trailer or ATV/UTV and at times assist with the sale of parts and accessories.
ESSENTIAL FUNCTIONS:
Supports a strong commitment to world class customerservice to ensure a pleasant and productive shopping experience for all customers.
Greets all new unit delivery, service, warranty and parts customers in a friendly, prompt and efficient manner.
Answers service, warranty and parts questions over the phone and in person.
Assists Receiving Department with the unloading, inspection and VIN verification of new units being delivered to the dealership by the manufacturer.
Affixes bar code labels to units received and updates lot location in IDS.
Maintains unit inventory status communication in IDS and assists with physical inventories.
Prints daily unit delivery schedule to prepare for upcoming orientations.
Conducts final PDI and inspects detailing of all units scheduled to deliver and reports any issues with unit condition to Service Manager and provides VIN verification to the BA.
Confirms correct rigging and accessory mounting instructions against the work order.
Prepares Owner's Delivery Packet and delivery documents in advance of time for pick-up.
Explains unit and accessory operation, break in and maintenance procedures to customer.
Assistsservicecustomers with documentation of concerns on the TMBC Repair Order.
AssistsService Manager with the creation of related IDS work order and with keeping customers informed of estimates for needed repairs and progress toward their completion.
Assists Marine GSM and senior management with the scheduling of work to be performed in the department.
Remains up-to-date on product warranty policies and procedures.
Assists with warranty repair authorization and related IDS work order creation, the receiving and sale of parts within the IDS dealer management system and the accepting parts and work order payments, compiling daily batch report and till reconciliation.
Assists Management and BA to ensure no unit is released until payment is received in full.
Maintains a clean and professional work area.
ALL OTHER DUTIES AS ASSIGNED.
EXPERIENCE/QUALIFICATIONS:
High School education or equivalent experience
KNOWLEDGE, SKILLS, AND ABILITY:
Ability to complete simple math calculations
Ability to communicate in a friendly and professional manner with customers, vendors and fellow associates
Ability to establish and maintain effective working relationships with customers, management and co-workers
Ability to perform various functions within Dealership Management data entry system

Position Summary: Responsible for tracking slow-moving, excess, or obsolete inventory. Scheduling and oversite of inventory counts and discrepancies. File, monitor and analyze warranty claims to ensure we are maximizing warranty return dollars. Responsible for the reconciliation and expedition of all invoices associated with the fleet maintenance and distribution network.
Responsibilities:
1. Coordinate weekly cycle counts and track discrepancies in TMW/TMT software.
2. Coordinates/schedules complete physical inventory count annually.
3. Generate reports to track inventory levels, aged inventory, adjustments, and min/max control.
4. Company administrator for the TMW/TMT management system. Maintain accurate records in inventory and shop management systems.
5. Responsible for the reconciliation, coding and submitting of all invoices associated with the fleet maintenance and distribution network through AP software Stampli.
6. Responsible for payroll approval and time off scheduling for all fleet maintenance employees
7. File warranty claims with OEMs and third-party vendors
8. Track open warranty cases and follow up for timely resolution.
9. Maintain documentation and records for all warranty-related activities.
10. Collaborate with technicians to gather necessary information for accurate claim submission.
11. Monitor and analyze warranty trends to identify repeated issues or failures.
12. Coordinate warranty parts return and manage reimbursement processes.
Working Relationships: Fleet Maintenance Manager, shop foreman, shop technicians, outside vendors as it relates to billing, fleet administration department, and all supply chain partners
Requirements:
Minimum Education: High School Diploma or GED equivalent
Minimum Experience: 3 years fleet maintenance and distribution experience
Preferred Experience: 5 years' fleet maintenance and distribution experience
Soft Skills/Competencies: Strong organizational and communication skills, both written and verbal. Proficient in Microsoft Office 2010 word and excel
Other Requirements:
Travel: Periodic travel to satellite shops - clean driving record required
Hours & Conditions: Typically, Monday - Friday, 8+ hour days in office setting, 5 days in Westborough - subject to change

The IT Service Desk Lead is responsible for leading the service desk and providing effective IT support services to end-users across the organization. Travel Management: Plan and coordinate travel logistics for field support technicians, ensuring efficient and cost-effective support coverage.
Compliance & Security: Ensure all operations support activities adhere to organizational security policies and compliance requirements, including the handling of sensitive data and securing IT assets.
Vendor Coordination: Work with third-party vendors to resolve hardware, software, or network issues as needed, ensuring minimal disruption to operations.
Requirements:
Bachelor's degree in computer related discipline, or equivalent experience
2+ years' experience managing enterprise Service Desk
A+ Certification or equivalent experience
ITIL Certification or equivalent experience
Has knowledge of commonly used concepts, practices, and procedures used to deliver and report enterprise service support
FreshService, JIRA (JSM), or equivalent, IT Service Management tool and workflow automation
Remote leadership experience

* AssistsService Manager with the creation of related IDS work order and with keeping customers informed of estimates for needed repairs and progress toward their completion.
* Assists Marine GSM and senior management with the scheduling of work to be performed in the department.
* Remains up-to-date on product warranty policies and procedures.
* Assists with warranty repair authorization and related IDS work order creation, the receiving and sale of parts within the IDS dealer management system and the accepting parts and work order payments, compiling daily batch report and till reconciliation.
* Assists Management and BA to ensure no unit is released until payment is received in full.
* Maintains a clean and professional work area.
* ALL OTHER DUTIES AS ASSIGNED.
EXPERIENCE/QUALIFICATIONS:
