RESPONSIBILITIES: Baystate Health's PatientServiceRepresentatives perform a variety of different tasks throughout the day. This includes greeting patients, check in and check out and requesting copays. Responsibilities also include verifying insurances, answering telephones and faxing medical documents.

In collaboration with a multiple departments, performs the administrative tasks necessary to support exceptional patient-centered care, such as reception, managing of phone calls, facilitating image release, communicating imaging reports, validating physician orders, daily roster preparation, and patient registration. Adheres to BHS operating principles, system and department compliance policies, and any applicable laws and regulations. May be required to perform other related tasks or duties as requested or assigned.
Job Responsibilities:
1) Managing the Patient Experience:
Greets patients promptly in warm, friendly manner demonstrating appropriate amount of interest or concern. Smile, make eye contact, use welcoming language (hello, welcome, how can I help you today). To maintain patient confidentiality use the system to verify reason for visit. Gather and/or verify patient demographics. Confirm that we have referrals or pre-authorizations if necessary. Give the patient a provider update (on time or running late, etc.).
Hospitality:
Maintain waiting area, check reading materials, play areas, etc. Direct patient and family members to restrooms and other amenities. Check to see if there is any other way you can assist. Employees at this level are developing their skills and understanding of needs of the patients and their families or caregivers.
2) Communication:
Develops and maintains working relationships with coworkers, providers, other agencies, and ancillaries. Receives and provides information as necessary while complying with policies and regulations (e.g., HIPAA). Addresses public in a cheerful customer service focused manner. Demonstrates awareness of cultural differences and adjusts to accommodate differences. Develop competency in managing difficult conversations.
3) Patient Identification:
Will identify a patient using two identifiers (i.e., name and date of birth). Where required, will place an ID band on the patient following verification of the patient's identity. Will monitor patients stay in our waiting area, to maintain open communication about delays and exam status.
4) Confidentiality and Privacy:
Maintains confidentiality of patient records using extreme care to discuss matters only with appropriate personnel to meet HIPAA Guidelines. Effectively operates hospital information system, ensuring patient and hospital confidentiality in accordance with established policies.
5) Telephone:
Answers telephones in a prompt, courteous manner. Attempts to resolve inquires without transferring calls, if necessary, routes phone calls to appropriate personnel or department.
6) General Duties:
Performs general clerical duties, which include order entry, system downtime recovery, preparation of exam-related materials and records, and makes reminder calls to patients. Observes any discrepancies within patients' records and either corrects them or brings them to the attention of proper personnel. Identifies and communicates all unfinished work, assuring continuity.
7) Mail Processing/Faxes/Rosters/Images:
Demonstrates the ability to operate all office equipment to include fax machines and copiers. Opens, sorts, and distributes all incoming mail and faxes daily according to practice guidelines. Prints orders, CDs, and reports while following the appropriate release and or approval in compliance with practice policy and regulations (e.g., HIPAA) Reviews all orders for validity maintains daily rosters per department criteria.
8) Leadership:
Takes responsibility for teaching and helping to develop and improve procedures and policies. Seeks and communicates process improvement opportunities and workflow optimization.
9) Covers one modality desk, or performs registration. Must have work in the department for a minimum of two years.
10) Registration:
Register and arrive patient. Collect, verify, and update all account demographics and financial information including isurance infromation within established quality assurance thresholds.
Collect co-pay, deductibles, co-insurance, and other patient balances where applicable.
Secures cash drawer according to depatmental procedures with random quartely balance checks 100% of the time.
11) Insurance Verification:
Request proof of insurance; verify using appropriate systems, initaiates contact for finanicial counseling. Assist patients or customers fill out and complete medical release of information accurately.
Understands insurance coverage and understands billing for part A (hospital) and part B (provider).
12) Other Duties-Department Specific:
Responsibilities may be more specialized than as detailed above in larger practices or may include additional duties in some departments.
Required Work Experience:
1) Experience or education equivalent to that generally received by obtaining HS graduation.

* Perform all duties and responsibilities of a PSC I and II:
* Schedules patient office appointment using Epic including scheduling for more than one facility; coordinates appointments with those of other consulting physicians or primary care physician as appropriate.
* Schedules new patients over the telephone or on day of appointment, obtaining all necessary information in a courteous manner; creates office medical records for new patients;
* Retrieves medical records prior to patient office visit; ensures that all necessary laboratory and radiological test results and medical records are received from within and outside of MGH, and properly filed prior to patient's office visit; is knowledgeable in the use of computer applications needed to obtain above information.
* Answers patient/family questions regarding appointments as appropriate.

Qualifications

(Additional experience required for higher level positions.) - Proven understanding of managed care and other insurance-related coverage plans. - Digital literacy, including proficiency with Windows-based computer applications is crucial. - Proven, accurate typing and data entry skills. - Prior experience helping a wide variety of customers. - Knowledge of EPIC software a plus! - Strong patientservice orientation and well-developed social and interpersonal skills. - You are available to complete a four-day, operations training program, and able to work part-time or full-time, Monday-Friday, days. - Ideal candidates should be able to retain information quickly, with a "can-do," positive demeanor, with a shown ability to be both reliable and punctual. The PatientService Coordinator II (PSC II) position offers exposure to the clinical, operative, and administrative aspects of the Orthopedic Surgery Department. This position offers terrific opportunities to work alongside our Orthopedic surgeons, advanced practice providers, and leadership teams.
Working under general supervision from the Clinical Director, the PSC II will provide administrative support to the Orthopedic Department within an ambulatory setting. Job Summary
Job Summary: Under the direction of the Patient Access Manager and Leadership, Registration Coordinators perform a variety of patient access services. Registration Coordinators provide exemplary customer service to all patients and are located at the Concierge/Information Desk, Emergency Registration, Henderson Registration, Main Lobby, Maternity Registration and Outpatient Service Centers. (Patient call Center, Lab/Imaging Services, Natick and Wellesley) Registration Coordinators are accountable and responsible for creating and/or updating a medical record after searching the Master Patient Index (MPI). They obtain demographic information, insurance policy numbers, and subscriber information from patients, in person, over the telephone, or via the web. Registration Coordinators are accountable and responsible for insurance eligibility verification, completion of all required forms, scanning documents, and co-pay collection. Essential Functions: · Demonstrates and provides exemplary customer service that is friendly, helpful, and reduces anxiety to all patients, peers, physicians, NWH departments, and Patient Access Leadership Team. · Obtains accurate demographic and insurance information on every patient. Obtains signatures on all required forms for consent and/or release of information. · Complies and stays current with established hospital and departmental policies, procedures, and objectives including all patient identification, assigned area of work, safety, emergency preparedness, and infection control protocols. · Admitting: responsible for bed assignment, beeper management, admitting, escorting patients to floor, and communicating with Nurses, Unit Staff, and physician offices. Ensures the accurate and timely completion of all paper work relating to deaths, death certificates, autopsies, and organ bank. Works on workques. · Maternity: Registers patients for Antenatal, Observation, or Inpatient. updates newborn accounts, filling, enters pre-in accounts, and creates folders. Works on workques. · Emergency: register all patients - ensure all ambulance and Registration Specific Infection Control protocols are followed. Monitor IBEX for prompt registration. Works on workques. · Patient call center: Answers incoming calls in a timely fashion, Verifies appointments, confirms registration and billing information. Works on workques and web registrations. · Henderson: Registers all surgical patients, provides appropriate instructions, secures valuables, utilizes Tracking system, and assists families. Calls and creates accounts for all upcoming surgical patients. Works on workques. · Concierge Desk: provides excellent customer service. Maintains wheelchairs. Ensures lobby, concierge, brochure rack, vendor log, distribution log, Concierge binder, and physician listings are up to date. Answers telephone and assigns lobby patients to a registrar. Maintains a safe and clean work area. Alerts appropriate Patient Access Leader for help and supplies. Works on workques · Outpatient Service Center: checks patients in, acts as unit receptionist; directs and assists all persons arriving in the area. Responsible for the accurate recording and submission of billable OR supplies used during OR procedures. Works on workques · Notifies appropriate Patient Access Leader of systems and training issues and opportunities.
Qualifications
High school diploma required, some college preferred · Typing skills of at least 25 WPM · Medical terminology preferred · Strong customer service skills required · Demonstrated ability to perform in a team-oriented environment.
