Director of Parking Operations
The Director of Operations is responsible for ensuring optimal operational and financial performance for their assigned contract(s). This role requires strong acumen in both Business Operations and Revenue Collection/Management. The DOO is an organizational advocate who conducts themself in accordance with the organization's policies and procedures, and strives to drive the company's mission and vision forward.

Essential Duties and Responsibilities (including but not limited to):
Oversees the entirety of operations, including day-to-day workflows, talent management, ensuring client satisfaction, handling escalated customer issues, and client requests, in addition to other related duties as assigned.

Revenue & Reporting Responsibilities
Completes bi-weekly payroll and weekly reports for HQ office as required
Perform required daily, weekly and monthly audits
Perform weekly & monthly cash reconciliation
Complete Daily Revenue Report each day accurately
Process Exception reports
Perform regular bank deposits
Responsible for inventory expense tracking & ordering, as well as vendor relationship management
Reports on and ensures location is meeting expectations as related to receivables for monthly parking and validations
Collaborates with HR and Operations to document and improve SOPs related to financial management
Works with Executive Leadership at month-end to validate P&L transactions
Completes month end variance reports in relation to budget adherence
Collect and submit cash deposits from pay-on-foot machines
Replace bills of poor quality with "ATM Quality" bills
Maintain parking cards and deposits
Reconcile and manage the petty cash account
Maintains fiscal responsibility by evaluating budgetary needs, reducing expenses, and by conserving and maintaining resources
Makes business decisions that are financially responsible, accountable and in accordance with company policy
Equipment Maintenance and Inventory Control
Maintain adequate parking related supplies (tickets, gate arms, cleaning cards, receipt paper, etc.)
Serve as hospital contact to all parking equipment related issues
Communicate any parking issues and present solutions to client contact
Educate appropriate hospital employees on validation procedures
Submit purchase orders to client
Attend relevant hospital-initiated meetings
Ensure that parking equipment is in working order (operating properly, adequate tickets, receipt paper, etc.)
Perform preventative maintenance on parking equipment
Stock pay-on-foot machine bins with adequate change
Respond promptly to issues at gates and pay-on-foot machines
Deploy Team Members to act as cashier when equipment is not in service
Perform checks and monitor the parking operation as a whole by identifying safety concerns, ticketing cars that have parked in an unauthorized garage, and making sure that the areas are clean and free of trash and debris
Parking Equipment Responsibilities
Serve as direct contact to all vendors and contractors
Partner with vendors to coordinate reliability improvements and create a documented preventative and proactive maintenance program
Ensure that equipment service calls to Parking Equipment Vendor are responded to in agreed upon time frame
Confirm that Parking Equipment Vendor maintenance and repair efforts are complete
Seek out continued education in the parking equipment world through classes, webinars, inspecting Parking Equipment Vendor service calls, etc.
Ensure Operational Excellence and Client Satisfaction
Ensures the facility is appropriately staffed in accordance with the contract in place. DOO should pay special attention to hours scheduled, with overtime targets in mind
Checks in regularly with clients and ensures that the team is exceeding their expectations.
Oversees and maintains all equipment and uniform needs
Handles any escalated customer inquiries and/or complaints while
Complete accident/incident reports
Solves problems and makes decisions using sound and reasonable judgment
Prepares account specific procedures and oversees compliance

Overview:

Cycle count the cooler and freezer processing staging locations
Cycle count every processing staging location daily
Ensure product in these locations is accounted for in the system

Supervise the workers in the palletization room and work in conjunction with the managers and supervisors inside the production room to maximize efficiency and minimize labor expenses
Manage product returned from the production room, ensure all is scanned back into the system and put away
Ensure all receipts are closed for production orders daily
Monitor the output of 3PL binning
Ensure bins/cases are scanned in at their accurate weights on the corresponding orders and LOT numbers
Supervise the workers in Debox and the microwave operators who are preparing the binning loads to ensure proper protocol is being adhered to and to minimize labor expenses
Communicate with Customer Service team when 3PL Bin orders are available and that Stock matches what is planned to the order
Work with temporary staffing agency to source labor according to need
Approve timesheets on a weekly basis for all 2nd shift staff

The Assistant Manager serves as an extra layer of management to ensure all account criteria and expectations are consistently met or exceeded. Essential Duties and Responsibilities (including but not limited to):

Close out invoices as required
QuickBooks Office Administration
Accurately categorize deposits in QuickBooks Online (QBO) into the appropriate revenue buckets by using reporting and audit methods.
Enter any invoices that are paid or sent over as bills in QBO
Match bills to corresponding bank transactions once payments are processed
Report Auditing & Reconciliation
Audit valet reports daily to ensure accurate transactions and reconciliations for cash drops, daily revenue and flash reports. Review Exemption Log to confirm all noted exemptions align with any discrepancies.
Reviews transient reports daily to identify unpaid tickets and cross-examine with the Exemption Log. Follows up to confirm rationale behind recorded exemptions.
Other Revenue Responsibilities
Perform weekly & monthly cash reconciliation
Perform regular bank deposits
Collect and submit cash deposits from pay-on-foot machines
Replace bills of poor quality with "ATM Quality" bills
Maintain parking cards and deposits
Reconcile and manage the petty cash account
Troubleshoots solutions for cash-collection immediately if and when transaction points are out of service for any reason *
Other tasks as assigned
Equipment Maintenance and Inventory Control
Serve as point of contact for all parking equipment and service-related issues
Educate appropriate hospital employees on validation procedures
Ensure that parking equipment is in working order (operating properly, adequate tickets, receipt paper, etc.)
Perform preventative maintenance on parking equipment
Respond promptly to issues at gates and pay-on-foot machines
Deploy Team Members to act as cashier when equipment is not in service
Perform checks and monitor the parking operation as a whole by identifying safety concerns, ticketing cars that have parked in an unauthorized garage, and making sure that the areas are clean and free of trash and debris
