Position Overview: We are seeking an experienced Property Manager for a regional portfolio of medical office buildings located across the greater Seattle area. For additional information, please visit our websites at ***************** Responsibilities: Prepare annual property budgets and 5-year capital plan Analyze leases and associated property reports such as rent rolls, operating statements and vendor contracts Prepare monthly variance reports Interface professionally with owner representatives on financial and operational issues Interact with tenants, addressing any concerns, issues or needs in a timely, professional manner Enforce and maintain property operating policies and procedures Review and approve all property invoices Review and approve all reoccurring monthly rent charges Review monthly aging report and initiate collection efforts Examine and analyze property operating statements and budgets; evaluate data and reporting to ensure accuracy Manage 3rd party contractors/vendors and rebid contracts regularly Ensure all day-to-day needs are met at the property Manage and oversee maintenance personnel Interface with leasing team and prospective tenants Manage Tenant Improvement and building capital projects (3rd party CM to be engaged when necessary) Qualifications: The ideal candidate must posses the following qualifications: BS Degree in Finance, Accounting, Real Estate or similar business-related field, or equivalent experience/education preferred Minimum of 3 years of office/commercial management experience Ability to create and manipulate budgets, budget variance reports and other reports in Excel Must possess excellent communication, organizational, financial and time management skills Strong qualitative and quantitative skills Self-starter with the ability to handle multiple tasks, manage time effectively, establish workflow priorities and work independently with high attention to detail Ability to start, cultivate and maintain strong relations and work in a team environment Active Real Estate License required Prior employment history demonstrating the ability to work in a fast-paced, high-intensity environment while managing multiple tasks and priorities, and produce accurate results in a highly organized manner Local travel required Base salary range is $85-110K, based on experience, plus bonus and benefits. The Director of Property Management reports to the Vice President of Operations for TPM.Responsibilities Formulates the annual goals and business plan in line with the Company's strategic goals, and develops budget(s) for the assigned portfolio and markets by analyzing and evaluating financial statements, reconciling monthly statements against approved budget, and working with the senior management team and others to discuss financial resource needs and issues. Oversees the operating performance of and compliance with the Company's property management procedures and policies by inspecting properties, reviewing financial pricing models and marketing plan(s), conducting operational and financial audits, and developing corrective action plans as necessary to achieve stated goals and objectives. Supervises the staffing and talent acquisition for the assigned markets and portfolios, and manages team members by interviewing, hiring, orienting, and training team members, and oversees their performance in accordance with Company policies, values, and business practices. Researches and develops potentials for new business opportunities by identifying and meeting with potential clients, developing and making financial proposals, and following up through the close of transactions and takeovers. Manages client and customer satisfaction by maintaining frequent communication, providing reports and information on the performance and progress of the portfolio, responding quickly and with urgency to questions, requests, and concerns, and seeking and acting on client feedback for improving overall service. Assist with leasing duties as needed. Tour community with prospective residents, lease apartments, and notify applicants on status of pending applications. Handle all aspects of past resident collections including but not limited to payment arrangements, mail out follow up letters, and forwarding all past due accounts to collections. Prepare SDR's on a weekly basis. Accurately determine charges to resident's accounts using the Property's Move-out Charges Summary. Notify residents in writing within local law timeframe of move-out for charges owed or deposit refund. Accurate and timely preparation of the following letters to residents according to the following schedule (dates and notices may vary depending on applicable state laws): (a) 6th - Initial Late Notice (b) 8th - Rent increase notice for resident's not yet renewed (c) 11th - Second late notices/notification of lien or lockout (d) 15th - 3-day notice to vacate, electric bills. Walk the property weekly. Maintain the appearance of the apartment community according to established standards on a daily basis. Inspect grounds, models, and leasing office for eye appeal and marketability. Notify residents in writing for lease violations in regard to barbecues, storage of non-approved items on balconies and patios, parking violations, noise violations, etc. Analyze and monitor the community market conditions in order to anticipate market changes or trends that could affect the profitability of the apartment community. Complete quality control as directed by supervisor. Perform additional duties as assigned. Requirements Minimum 1 year of experience in property management, preferably as an Assistant Property Manager. This position requires the ability to deal with residents, prospects, and vendors in a professional manner. Must possess demonstrable and verifiable skills associated with sales, clerical, supervisory, human relations, and bookkeeping. Should be competent with Microsoft Office and basic computer knowledge. Must possess good telephone/communication skills. Capable of walking up and down stairs to inspect and show apartments. Lifting up to 25 pounds. If more than 25 pounds are to be lifted, employee shall seek assistance from the maintenance department. Valid driver license along with current auto insurance may be required. 40-hour workweek.
