JOB OVERVIEW
We are seeking a highly organized and proactive Department Operations Specialist to support the daily operations of our growing team. This role serves as the central support hub for scheduling, reporting, workflow coordination, process updates, and employee training support. This position is not an Executive Assistant role it directly supports the entire department's operational success.
This individual will be the go-to resource for team members needing clarification on processes, scheduling, lead assignment, and workflow questions.
What You'll Do:
Manage and maintain department schedules, assignments, and workflow coordination
Assign and distribute incoming leads according to department procedures
Prepare, track, and distribute operational reports and performance metrics
Maintain and update standard operating procedures (SOPs) and process documentation

What You'll Do:
Provide exceptional customer service by assisting customers in identifying and selecting the correct Genesis parts and accessories for their vehicles. This involves addressing inquiries in person, over the phone, or through email and ensuring customer satisfaction.
Place orders for Genesis parts and accessories, either directly from the manufacturer or through authorized suppliers, to maintain an adequate inventory based on dealership demand.
Monitor and manage the inventory of Genesis parts and accessories. This includes tracking stock levels, reordering when necessary, and organizing and storing parts to prevent damage or loss.
Maintain a comprehensive understanding of the Genesis parts catalog, keeping up-to-date with any changes or updates to available parts and accessories.
Develop a solid understanding of Genesis vehicles and their various components. This knowledge is essential for accurately identifying and recommending the right parts for repairs and upgrades.
Provide accurate price quotes to customers, including wholesale pricing for the service department and retail pricing for individual customers.
Monitor the status of customer orders, ensuring that parts are delivered on time. Communicate any delays or issues to customers and service departments.
Maintain meticulous records of all transactions, including sales receipts, invoices, and order forms. Ensure that all paperwork is accurate and properly filed.
Offer technical support and guidance to customers and service technicians who have questions or require assistance with parts installation or compatibility.
Promote special parts and accessory sales, discounts, and promotions to boost revenue. Encourage upselling when appropriate.
Strictly adhere to safety regulations and dealership policies, especially when handling hazardous materials or operating equipment like forklifts.
Collaborate effectively with other dealership departments, such as the service department and sales team, to ensure smooth operations and enhance overall customer satisfaction.
What We're Looking For:
A high school diploma or equivalent.
A strong understanding of automotive parts and accessories and familiarity with the specific Genesis product line is essential. This knowledge helps in accurately identifying and recommending the right parts for customers.
Exceptional customer service skills are crucial, as Service Parts Advisors interact directly with customers in person and over the phone. Effective communication, active listening, and problem-solving abilities are important.

Schedule appointments using dealership-approved forms.

End-to-end billing of new and pre-owned vehicle transactions.
Final review of deal jackets for accuracy, compliance, and completeness.
Manufacturer billing.
Title, DMV, and contract documentation oversight.
Ensuring compliance with Mercedes-Benz and state regulations.
What We're Looking For:
2+ years' experience as a Title Clerk, Automotive Biller in an automotive dealership, or tag and title agency.
Knowledge of out-of-state titles is a plus.
Strong understanding of dealership accounting procedures.
Proficient with DMS platforms (CDK, Reynolds & Reynolds, Dealertrack, etc.).
Detail-oriented and able to multi-task in a busy office environment.

Blacksmith Automotive Management is seeking a detail-oriented and organized Automotive Bookkeeper to join our team. This position is at our primary location in Englewood, New Jersey.
What You'll Do:
* Posting Deals: Post and process vehicle deals accurately and timely, ensuring all financial information is entered correctly into the dealer management system.
* Commissions: Calculate and verify all sales commissions.
* Auditing Schedules: Regularly audit accounting schedules to verify accuracy, identify inconsistencies, and assist in resolving any issues.
* Factory Receivables: Verify and ensure the appropriate sales program incentives are applied. Follow-up with all factory incentives.
* Inventory Stocking: Assist in stocking in new and used vehicle inventory
* Lien Payoffs: Verify documents and process lien payoffs
* Accounts Payable/Receivable: Assist in processing invoices, posting payments, and managing account balances.
* Data Entry: Input financial data into the accounting system, maintaining up-to-date and accurate records.
* Reconciliations: Reconcile bank statements, floorplan statements, reserve statements, customer accounts, and other financial documents as needed.

What We're Looking For:
* Associate's degree in accounting or related field.
* Previous experience in an automotive dealership accounting role is required. CDK experience is preferred.
* Strong understanding of accounting principles and procedures.
* Proficiency in dealership accounting software and Microsoft Office (Excel, Word and Outlook).
* Excellent attention to detail and accuracy in data entry and financial reporting.
* Strong organizational and time management skills.
