POSITION OVERVIEW
The Customer Experience Associate plays a pivotal role in delivering exceptional customer service to prospective and current residents. This individual is responsible for fostering strong relationships, understanding the unique needs of prospects and residents, addressing day-to-day challenges, and collaborating with cross functional teams to ensure seamless operations. They act as the first point of on-site contact for residents and prospects, representing the company's commitment to quality and satisfaction. The success of this role will be measured by attainment of predetermined key performance indicators (KPIs) and quarterly goals at the individual and community level.
KEY RESPONSIBILITIES
Relationship Building with Prospects

Engage proactively with prospects to build strong relationships and create a positive first impression of the company.
Assist potential residents by providing detailed information about available units, community amenities, and leasing options.
Follow up with leads from the off-site sales and leasing team, as they are integrated into the property portfolio(s), to support lease closings and maintain a seamless prospect journey.
Implement and support resident events or activities to enhance the community experience
Understanding Prospect and Resident Needs
Conduct needs assessments to match prospects with the most suitable units based on their preferences and requirements.
Develop a thorough understanding of apartment layouts, features, and community amenities to address inquiries with confidence and accuracy.
Resident Resolution
Serve as the primary point of contact for residents reporting concerns, ensuring timely responses and resolutions.
Troubleshoot and resolve minor resident concerns, including maintenance requests, billing questions, and general inquiries.
Collaboration with Sales and Leasing Teams (as integrated into your property portfolio(s))
Collaborate with the Sales & Leasing team to optimize leasing performance and align with property goals through standard communication channels and routine touchpoints.
Track and manage all leasing data, including prospects, applications, and resident information, within the company's software systems.
Coordinate with the Sales & Leasing team to manage scheduled apartment showings and move-in/move-out processes.
Data Management
Maintain accurate and up-to-date records within the company's property management software (Onesite)
Prepare and present regular reports on resident satisfaction, leasing performance, and operational key performance indicators (KPIs) to leadership.
Day-to-Day Tasks
Assist in handling various administrative tasks, including preparing leasing documents, updating resident records, and managing correspondence.
Support community events or initiatives aimed at enhancing resident experience.
Understand and adhere to standard operating procedures
Collaborate with offsite teams as they are integrated into the property portfolio(s), ensuring alignment, operational continuity, and overall operational success of the community or communities.
EDUCATION, EXPERIENCE, AND SKILLS
Demonstrated passion for customer service.
Strong interpersonal skills with a customer- focused mindset.
Strong verbal and written communication skills.
One (1) year or more years in a customer service, sales, or customer facing role.
Be a self-starter with a proactive, solutions-driven mindset to address concerns and effectively implement next steps.
Proficiency in property management software (e.g., Onesite, Yardi, or similar), Microsoft Office suite, and customer relationship management (CRM) tools.
Exhibit professionalism and discretion throughout all interactions with coworkers, residents, vendors, and the community.

POSITION OVERVIEW
The Multi-Site Service Technician III is responsible for ensuring the overall maintenance, functionality, and appearance of the community's physical assets. This role requires a strong technical skillset, timely completion of service requests, and collaboration with team members to deliver a high-quality resident experience. This person will report directly to the Operations Manager.
KEY RESPONSIBILITIES
Compliance and Professional Standards

Maintain a professional, courteous, and helpful demeanor with residents, team members, and vendors.
Property Maintenance and Repairs

Perform repairs and maintenance on HVAC units, mechanical and electrical equipment, plumbing fixtures, structural elements, and community grounds.
Repair serviceable items such as appliances, plumbing, and electrical systems across B&H communities.

Work Order Execution and Task Coordination
Complete assigned work orders promptly, requesting support and reporting any delays or issues.
Provide daily updates on progress and coordinate tasks with operations staff and maintenance teams.
Grounds and Site Management
Maintain community grounds to ensure a clean, safe, and welcoming environment.
Perform on-site work as necessary to preserve the asset's appearance and functionality.
Assist with maintenance needs at other B&H assets as requested.
Administrative and Reporting Duties
Complete and submit required forms, reports, and documentation in an accurate and timely manner.
Participate in other related responsibilities as assigned by the Service Manager.
On-Call and Emergency Response
Participate in the on-call rotation to respond to after-hours maintenance emergencies as needed.
EDUCATION, EXPERIENCE, AND SKILLS
Minimum of two (2) years of demonstrated success in apartment maintenance, construction or a related field.
EPA Certification for refrigerant handling required, or the ability to obtain certification upon hire.
HVAC Certification is required.
For positions that require travel between properties, a valid driver's license and reliable transportation are required.
Above average oral communication skills.
Provide your own hand tools including but not limited to power drills, impacts, and all non-powered hand tools.
Able to operate all necessary tools to perform the essential functions of the position.
Experience in residential property maintenance is beneficial.
Working knowledge of OSHA standards and other environmental safety standards.

POSITION OVERVIEW
The Regional Maintenance Supervisor is responsible for organizing, directing, and managing the overall maintenance programs for the properties within an assigned portfolio. The Regional Maintenance Supervisor works to establish and enforce best practices pertaining to safety, training, staffing, preventative maintenance, satisfactory cash flow, positive resident relations, and optimal tenant retention. This is a remote position, but does require travel.
KEY RESPONSIBILITIES
Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
Inspect common areas and buildings within assigned portfolio to monitor the appearance, cleanliness, maintenance, attractiveness, and safety of the property.
Conduct hands-on training in the field: safety, HVAC, turn protocol, work order policy, software and any other maintenance related training needs.
Assist with the onboarding of new properties. This is to include but not limited to, help setting up software settings specific to the property needs, shop set up, vendor set up, SOP implementation and maintenance employees within assigned portfolio.
In conjunction with the Regional Manager, knowledge of all BHAM Construction projects within the assigned portfolio.
Assist with the physical due diligence of new communities.
Solicit proposals and competitive pricing from vendor partners to ensure regional pricing where necessary.
Communicate frequently with The Director of Maintenance and the Regional Property Manager on vital needs of the properties.
Work with Corporate Staff and other Regional Maintenance Supervisors to review, implement and help maintain maintenance related policies and procedures for the company.
Ensure preventative maintenance schedules are followed and maintain proper levels of inventory.
Review and ensure daily maintenance activity are managed appropriately and in compliance with the policy for each property within assigned portfolio. Work with on-site maintenance teams on any areas that may need improvement. This includes service requests, turnover, ordering, etc.
Assist Regional Property Managers with capital projects. This is to include communicating capital needs, bids and oversight of projects.
Perform administrative requirements, such as completing necessary forms, reports, etc., and submit as and on a timely basis.
Supervise property Maintenance staff including performance management, discipline and timekeeping.
Regular travel .
Recording all times worked by property appropriately.
Perform other related duties and responsibilities as assigned.
Possible need for filling open Maintenance Supervisor rolls and on-call responsibilities when needed.
EDUCATION, EXPERIENCE, AND SKILLS

We're looking for a talented maintenance technician who will be responsible for addressing an array of apartment and property maintenance duties as specified by the maintenance supervisor and/or property manager, and for maintaining the highest standards in customer service and curb appeal of the assigned property.

POSITION OVERVIEW
The Multi-Site Operations Manager is responsible for overseeing the day-to-day operations of multiple multifamily apartment communities, ensuring they operate efficiently, maintain excellent curb appeal, and provide an exceptional experience for residents and prospects. KEY RESPONSIBILITIES
Property and Asset Management

POSITION OVERVIEW
The Assistant Controller, Asset Accounting at Birge & Held is primarily responsible for managing financial reporting, budgeting, financial systems and participating in the full life cycle of Real Estate Financial Activities (Purchases, Taxes, Sales, Insurance, etc.). This position will report directly to the Assistant Vice President of Asset Accounting.
KEY RESPONSIBILITIES
Responsible for the financial reporting of consolidated financial statements and analysis for market-rate development, LIHTC new construction and acquisition rehab projects.
Perform month-end close duties, including but not limited to:
Maintain and oversee lender escrow analysis and prepaid/accrued expense analysis
Balance sheet reconciliations and adjusting/reclass journal entries
Bank reconciliation for operating/savings accounts
Management fee calculation and invoicing
General ledger and operating statement review and adjusting/reclass journal entries
Monthly/quarterly reimbursement submission to lenders
Manage year-end audit and tax return punch list items to ensure timely delivery of K-1s to investors and meet audit deadlines inside governing documents.
Prepare surplus cash calculations for quarterly investor distributions.
Responsible for representing owner for on-site reviews and assessment of site staff, physical condition, and tenant relations
Assist in designing final business plan tracking systems, including, but not exclusive too, tax capital account tracking, updating projections for deferred developer fee payments to align with corporate budgeting, compile and track requirements of Partnership/Operating Agreements, Loan Agreements, Regulatory Agreement, and other relevant agreements on the deal.
Oversee the accurate completion of monthly, quarterly and annual compliance reporting to all local housing authorities and equity partners as directed by the Limited Partner Agreements and other deal documents
Prepare project cash flow forecasts, updating monthly for changes in estimates and schedules based on information provided by other functional teams
Prepare journal entries for non-recurring and significant transactions pertaining to development projects, such as transfers to income-producing property
Review and analysis of financial reports, including drilling into discretionary expenses, reviewing variance analyses, and comparing performance to underwriting
Interact with Finance and Operations' staff to obtain portfolio/asset information; prepare analyses, reports and produce strategic solutions
Manage monthly budget variance reporting and communication to executive leadership
Create monthly financial and operating reports for active projects
Monthly cash forecasts for active projects (i.e. capitalized interest projections, fee income timing)
Assist in managing corporate budgeting, audit, tax, accounting, selling real estate, and insurance activities for the organization
Assess current accounting operations, offer recommendations for improvement, and implement new process
Communicate regularly with accounting, management, and executive team

POSITION OVERVIEW
The Assistant Project Manager will work with the construction team on daily management, coordination, and successful completion of construction projects on multiple project sites. This person will work with various other team members to provide the resources necessary to complete construction projects accurately and timely. This person must have the experience and knowledge to manage construction timelines, resources, and vendor relationships from the bidding phase to completion and product delivery. The Project Manager must be able to understand and assess the scope of work for various projects and have a thorough understanding of project administration, management, and purchasing.
KEY RESPONSIBILITIES

Provide administrative functions as it relates to collection of construction draw paperwork including collection of subcontractor requisitions, lien waivers, insurance, and W9 forms
Work with Project Manager to tabulate, review, and approve weekly and monthly invoices from subcontractors prior to submitting for payment
Manage communication with site staff and design team on RFI, ASI and distribution of plan changes to appropriate subcontractors
Perform administrative requirements, such as completing necessary forms, reports, etc., and submit as required and on a timely basis
Secure all necessary equipment and warranty documents to provide ownership with O&M Manuals at the end of the construction phase
Manage multiple property projects at one time while meeting deadlines and ensuring a high quality of work
Perform other related duties and responsibilities as assigned

The Multi-Site Service Technician I is responsible for supporting the daily maintenance operations of an apartment community to ensure resident satisfaction, property functionality, and compliance with company standards. This role is essential to Birge & Held's continued success and reports directly to the Operations Manager.
KEY RESPONSIBILITIES
Regulatory and Policy Compliance
Conduct all business in accordance with company policies, Fair Housing regulations, the Americans with Disabilities Act, the Fair Credit Reporting Act, and all other applicable laws.
Maintenance and Repair Responsibilities
Inspect buildings and common areas to assess cleanliness, safety, and overall property condition.

Complete all assigned work orders within 48 hours, unless an emergency requires immediate action.

Provide daily progress updates and communicate frequently with the operations team.
Coordinate and complete tasks in alignment with broader departmental priorities.
Resident and Vendor Relations
Maintain a professional, respectful, and courteous demeanor with residents, prospective residents, team members, and vendors.
Assist in ensuring a positive resident experience through timely service and proactive maintenance.
Grounds and Facility Support
Maintain the cleanliness and safety of grounds and common areas.
Support seasonal tasks such as snow removal, landscaping, and debris cleanup to ensure curb appeal.

Administrative and On-Call Duties

POSITION OVERVIEW
The Regional Maintenance Supervisor is responsible for organizing, directing, and managing the overall maintenance programs for the properties within an assigned portfolio. The Regional Maintenance Supervisor works to establish and enforce best practices pertaining to safety, training, staffing, preventative maintenance, satisfactory cash flow, positive resident relations, and optimal tenant retention. This is a remote position, but does require travel.
KEY RESPONSIBILITIES
Conduct all business in accordance with company policies and procedures, Fair Housing, Americans with Disabilities Act, Fair Credit Reporting Act, and all other laws pertaining to apartments.
Inspect common areas and buildings within assigned portfolio to monitor the appearance, cleanliness, maintenance, attractiveness, and safety of the property.
Conduct hands-on training in the field: safety, HVAC, turn protocol, work order policy, software and any other maintenance related training needs.
Assist with the onboarding of new properties. This is to include but not limited to, help setting up software settings specific to the property needs, shop set up, vendor set up, SOP implementation and maintenance employees within assigned portfolio.
In conjunction with the Regional Manager, knowledge of all BHAM Construction projects within the assigned portfolio.
Assist with the physical due diligence of new communities.
Solicit proposals and competitive pricing from vendor partners to ensure regional pricing where necessary.
Communicate frequently with The Director of Maintenance and the Regional Property Manager on vital needs of the properties.
Work with Corporate Staff and other Regional Maintenance Supervisors to review, implement and help maintain maintenance related policies and procedures for the company.
Ensure preventative maintenance schedules are followed and maintain proper levels of inventory.
Review and ensure daily maintenance activity are managed appropriately and in compliance with the policy for each property within assigned portfolio. Work with on-site maintenance teams on any areas that may need improvement. This includes service requests, turnover, ordering, etc.
Assist Regional Property Managers with capital projects. This is to include communicating capital needs, bids and oversight of projects.
Perform administrative requirements, such as completing necessary forms, reports, etc., and submit as required and on a timely basis.
Supervise property Maintenance staff including performance management, discipline and timekeeping.
Regular travel required.
Recording all times worked by property appropriately.
Perform other related duties and responsibilities as assigned.
Possible need for filling open Maintenance Supervisor rolls and on-call responsibilities when needed.

Maintain accurate and up-to-date records within the company's property management software ( Onesite)

POSITION OVERVIEW
The Service Manager will oversee the day-to-day maintenance of an asset assigned. Regulatory Compliance and Safety
Ensure all maintenance operations comply with OSHA regulations and local, state, and federal requirements.
Promote safe working practices and adherence to company policies at all times.
Vendor and Contractor Management
Manage vendor relationships and oversee third-party contractors for services such as HVAC, plumbing, landscaping, and general maintenance.
Monitor vendor performance to ensure cost-effectiveness and quality standards.
Inventory and Procurement Oversight
Maintain inventory control of tools, equipment, and maintenance supplies.
Oversee procurement processes to ensure timely and budget-conscious purchasing across sites.
Emergency Response and On-Call Coverage

Repair and maintain all HVAC units, mechanical, electrical equipment, plumbing fixtures, structural facilities, and grounds of the property.
Maintain courteous helpful demeanor with residents, prospective residents, co-workers, vendors, etc.
Perform administrative requirements, such as completing necessary forms, reports, etc., and submit as required and timely.

POSITION OVERVIEW
The Assistant Controller, Asset Accounting at Birge & Held is primarily responsible for managing financial reporting, budgeting, financial systems and participating in the full life cycle of Real Estate Financial Activities (Purchases, Taxes, Sales, Insurance, etc.). This position will report directly to the Assistant Vice President of Asset Accounting.
KEY RESPONSIBILITIES
Responsible for the financial reporting of consolidated financial statements and analysis for market-rate development, LIHTC new construction and acquisition rehab projects.
Perform month-end close duties, including but not limited to:
Maintain and oversee lender escrow analysis and prepaid/accrued expense analysis
Balance sheet reconciliations and adjusting/reclass journal entries
Bank reconciliation for operating/savings accounts
Management fee calculation and invoicing
General ledger and operating statement review and adjusting/reclass journal entries
Monthly/quarterly reimbursement submission to lenders
Manage year-end audit and tax return punch list items to ensure timely delivery of K-1s to investors and meet audit deadlines inside governing documents.
Prepare surplus cash calculations for quarterly investor distributions.
Responsible for representing owner for on-site reviews and assessment of site staff, physical condition, and tenant relations
Assist in designing final business plan tracking systems, including, but not exclusive too, tax capital account tracking, updating projections for deferred developer fee payments to align with corporate budgeting, compile and track requirements of Partnership/Operating Agreements, Loan Agreements, Regulatory Agreement, and other relevant agreements on the deal.
Oversee the accurate completion of monthly, quarterly and annual compliance reporting to all local housing authorities and equity partners as directed by the Limited Partner Agreements and other deal documents
Prepare project cash flow forecasts, updating monthly for changes in estimates and schedules based on information provided by other functional teams
Prepare journal entries for non-recurring and significant transactions pertaining to development projects, such as transfers to income-producing property
Review and analysis of financial reports, including drilling into discretionary expenses, reviewing variance analyses, and comparing performance to underwriting
Interact with Finance and Operations' staff to obtain portfolio/asset information; prepare analyses, reports and produce strategic solutions
Manage monthly budget variance reporting and communication to executive leadership
Create monthly financial and operating reports for active projects
Monthly cash forecasts for active projects (i.e. capitalized interest projections, fee income timing)
Assist in managing corporate budgeting, audit, tax, accounting, selling real estate, and insurance activities for the organization
Assess current accounting operations, offer recommendations for improvement, and implement new process
Communicate regularly with accounting, management, and executive team

Competency with the use of Microsoft Office products including Word, Excel, Outlook and Project
Thorough knowledge of construction materials
