The Opportunity
We are seeking an Executive Assistant to join our Firm. Within this position, you will be responsible for providing assistance to, and managing resources for, partners, counsel, associates, and staff attorneys. This position will be based in our New York office and has a hybrid in-office/remote working schedule. Please note that the Firm will not sponsor applicants for work visas for this position.
As the Executive Assistant you will:
Handle standard administrative functions including answering, screening, and placing phone calls; opening and routing mail as directed; managing files, records, attorney calendars, and time records; and preparing attorney expense reports.
Anticipate attorney needs by proactively identifying potential issues and conflicts and take the initiative to offer solutions and preempt needs.
Prepare engagement letters and new client/matter memos, and update active client/matter number lists to assist with the new business process.
Utilize tracking charts for keeping up-to-date records, with a special focus on billing and new business.
Handle all aspects of document preparation, including processing edits, generating redlines, PDF creation, conversions, and quality control of work product.
Work in tandem with Client Accounting (Billing) department to ensure up-to-date and accurate client billing.
Seek ways of being energetically responsive to clients, providing superior client service in both small and large ways.
Assist in promoting business development through entry of activities, maintenance of contacts, and assembling of mailing lists in InterAction.
Utilize applications like Excel and PowerPoint to facilitate attorney's work.
Research and make complex travel arrangement for attorneys, including assisting with visa requirements.
Prepare check requests for vendor invoices and actively follow up to ensure timely payment.
Delegate work to other departments as necessary, coordinating the completion of delegated work and verifying its accuracy.
Assist with attorney personal work when required.
Ensure proper functioning of all software and hardware being used by attorneys, in consultation with technology support staff.
Perform responsibilities of other support services when needed, including but not limited to printing, scanning, duplicating, quality control and hand-delivering packages.
Perform special projects as assigned.
Assure that all completed projects adhere to accepted professional standards.
Demonstrate strong interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
Manage Firm resources responsibly.
Comply with and understands Firm operations, policies, and procedures.
Perform other related duties as assigned.
Qualifications:
Knowledge of relevant firm computer software programs (e.g., Word, Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
Demonstrates effective interpersonal and communication skills, both verbally and in writing
Demonstrates close attention to detail
Ability to handle multiple projects and shifting priorities
Ability to work well independently as well as effectively within a team
Ability to synthesize information to prioritize and organize tasks
Ability to work well in a demanding and fast-paced environment
Ability to work in-office at least four days per week to perform in-office administrative functions, maintain physical files, and provide client support services

The Opportunity
We are seeking a Health & Welfare Benefits Compliance Project Specialist to join our Firm. Within this position, you will be responsible for supporting the Firm's global health & welfare benefit plans and programs, compliance management and objectives. Supports day-to-day project management by coordinating the scheduling of meetings with counsel, vendors, brokers, etc. and maintaining records and notes, tracking take-aways items from meetings and responsible to follow-up with stakeholders for associated items. Assist with the review of materials provided.
Project manages work conducted by inside and outside counsel.
Analyzes current and developing legislation and regulations affecting benefit plans and assesses their potential impact to propose applicable measures to comply.
Assists with vendor reviews.
Responsible for the maintenance of health and welfare vendors' contracts and materials.
Assists with the review of vendors' documents (e.g., booklets, service agreements, various communications).
Assists with the development, drafting, and maintenance of compliance documents and communications (e.g., plan documents, summary plan description, participant materials).
Maintains detailed database of documentation for all benefit offerings and programs
Participates in compliance reviews and technical-oriented compliance meetings with vendors and counsel.
Assists with answering General Counsel's requests in response to subpoenas..
Coordinates compliance training of Benefits Department staff to meet regulatory requirements.
Completes regulatory reporting.
Assists with HIPAA and US and international data privacy compliance matters.
Assists with the annual benefits renewal processes by participating in meetings with benefit providers and brokers; analyzes proposals to negotiate applicable contract terms, maintains all contracts, and reviews and updates benefit plan materials.
Responsible for assisting in the maintenance of current benefit plans and the implementation of new benefits, programs and vendor management.
Develops strong relationships and works closely with the Benefits Department staff to educate, provide guidance, and ensure that the benefit plans are administered in accordance with the applicable regulations and contract provisions.
Assists personnel at all levels within the Firm on the available programs.
Conducts various auditing functions to ensure data accuracy and integrity
Answers benefit inquiries
Assists in resolving complex issues
Research escalated issues and clearly communicates back to the individual.
Ensures data privacy, security and integrity of all benefits related information
Performs other related duties as assigned.
Qualifications
Knowledge of Firm operation, policies and procedures
Experience reading and interpreting contracts, regulations, court cases, pending legislation, and company policies and procedures
Experience researching and preparing plan documents, summary plan descriptions, correspondence, memorandums, presentations, meeting minutes, etc.
Experience negotiating, advocating, interacting, and communicating effectively
Pays attention to detail
Takes initiative and works well with limited supervision; a self-starter
Strong written communication skills including strong grammar and proofreading ability
Ability to synthesize, interpret and summarize information in a clear, concise manner

Experience with the application of U.S. and international health & welfare laws and regulations impacting benefits including ERISA, PPACA, COBRA, HIPAA, Data Privacy, Internal Revenue Code (including Section 125), FMLA.

The Opportunity
We are seeking a Manager, Client Programs & Events to join the firm. Within this position, you will be responsible for the comprehensive management and execution of in-person and virtual client events, including CLE seminars, webinars, dinners, receptions and other Business Development and Marketing initiatives that support the firm's practices and client engagement. Additional responsibilities include budget oversight, vendor management, event logistics, post-event analysis, and maintaining compliance with firm policies and industry standards. Oversees the planning and execution of client programs and events, including large-scale client events, CLE programming and special events.

Manages all aspects of event logistics, including venue selection, vendor management, contract negotiations, and on-site execution.

The Opportunity
We are seeking a New Business Conflicts Clearance Analyst to join our Firm. There are multiple positions based in our New York and California offices (hybrid and fully remote opportunities). The New Business Conflicts Clearance Analyst will support the New Business Conflicts Clearance team by conducting thorough conflicts checks, maintaining accurate records in the conflicts database, and ensuring the seamless operation of the conflicts resolution process.
Reviews and analyzes conflicts reports to identify any potential conflicts of interest issues which require resolution.
Collaborates with other members of the New Business Conflict Clearance team, Conflicts Attorneys, and Office of the General Counsel to resolve potential ethical conflicts and facilitate the new matter opening process.
Communicates effectively with attorneys and staff to gather necessary information for conflicts checks, conflicts review and clarify any discrepancies in the iManage request form.
Validates the requirements for each conflict check with the requesting lawyer or secretary to ensure compliance with firm policies and legal standards.
Conducts corporate research using both internal and external resources to verify the accuracy of information and understand corporate relationships and structures.
Coordinates with the Client Accounting Department and other relevant departments to ensure the integrity and consistency of database information.
Provides coverage for department functions, including after-hours and weekend support as needed, ensuring continuous operation of conflicts resolution processes.
Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
Manages Firm resources responsibly.

Skadden is seeking a Client Accounting Electronic Billing Rate Coordinator to provides support for the Firm's electronic billing rate processes within the e-billing cycle, including establishing and maintaining relationships with e-billing vendors and clients. Coordinates monthly electronic rate submission process and submits timekeepers and rates to clients for approval, as needed.
Monitors status of rates submitted, investigates/identifies/escalates issues, and works with clients, partners, billing and collection personnel and other members of Client Accounting to resolve discrepancies and rejections.
Responds to inquiries of partners, secretaries and billing personnel related to e-billing/rate operations and/or the status of individual rates transmitted.
Works directly with e-billing and rates teams to assist with rates portion of client set-up for electronic billing, including reviewing timekeeper data and coordinating proper upload authorizations, ensuring that appropriate rate formats are utilized and other client requirements are implemented.
Interacts with Partners and billing personnel to ensure rates for e-bills are prepared in accordance with client agreements and Outside Counsel Guidelines.
Provides feedback on e-billing rate processes and procedures to increase efficiency, effectiveness and quality of e-billing rate operations.
Serves as a resource regarding electronic billing rate operations and provides relevant knowledge and guidance to others in the Firm in a manner that increases the level of understanding of e-billing rate operations.
Assists with electronic billing rate projects.
Actively seeks to enhance knowledge of all Client Accounting procedures and processes.
Qualifications
Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
Familiarity with ADERANT Expert or similar legal-industry time and billing suites
Familiarity with various electronic billing vendor web sites
Familiarity with legal industry-standard LEDES electronic billing formats

Within this position, you will be responsible for supporting the Firm's health & welfare benefit plans/programs by collecting and maintaining financial data and preparing and reviewing data analytics to assist in the financial management of these benefit plans and programs. Support the financial planning and development of benefit plans including but not limited to medical, dental, vision, life, and disability.
Participates in the financial tasks associated with the benefit programs planning including the development of rate setting, forecasting, and the impact to the P&L and balance sheet.
Updates budget spreadsheets and maintains all related financial accounting and reconciliation data including collecting data from both internal and external resources, maintaining census information, premium and claim spreadsheets and other related reports.
Analyzes monthly claims tracking reports for self-insured plans including paid claims and all fixed costs associated with the plans.
Develops self-insured medical plan trend reports utilizing databases provided by the insurance carriers.
Develops and maintains budgetary spreadsheets and maintains all related financial accounting and reconciliation data including but not limited to: collecting all relevant data from both internal and external resources, maintaining and updating all related annual/monthly carrier premium claim spreadsheets and related census data, departmental budget spreadsheets, and all other related reports.
Reviews and reconciles carrier invoices and facilitates payment of invoices.
Analyzes trends and assists in the development of recommendations of plan design and contributions by identifying savings opportunities to control costs.
Conducts auditing functions to ensure data accuracy and integrity
Support day-to-day project management by coordinating the scheduling of meetings with carriers and brokers and maintaining records and notes, tracking take-aways items from meetings and responsible to follow-up with stakeholders for associated items. Assist with the review of materials provided.
Work with brokers and consultants to support the management of third-party vendor relationships to ensure efficient and effective management and administration of all benefit plans.
Supports the annual renewal processes for all health and welfare benefit plans and programs including but not limited to: guiding the renewal timelines, analyzing proposals and negotiating pricing and applicable contract terms, and developing associated budget and financial analysis spreadsheets to be presented to senior leadership.
Assist in reviewing benchmark data to identify industry and competitor trends. Supports research of best practices using market surveys, networking, and other sources of industry information, to recommend competitive and cost effective benefit packages.

Key Responsibilities

Track and monitor invoice submissions using eBillingHub.
Ensure invoice acceptance in vendor sites such as Legal Tracker, T360, and others.
Perform a first-level attempt to correct e-billing issues such as fixing block-billing and task codes, and resubmit any rejected invoices.
Monitor vendor sites for newly created matters and work with Billing team to set up matters in 3E.
Review vendor sites for timekeeper rate approvals and communicate rate adjustments to Billing and Pricing teams as necessary.
Assist the e-billing Supervisor in suggesting actions the Billing team might take in the future to avoid reductions and rejections of certain line items.

Skills and Requirements
Associates Degree with emphasis in business or accounting, or equivalent work experience, required.
Prior experience with legal billing or other accounting functions.

Acquire and deploy an understanding of all practice areas of the Firm along with knowledge of practice-specific tasks.

Prepare engagement letters and new matter memos for new clients and matters.

Coordinate with Conference Services for internal and client meeting requests, including but not limited to audio-visual, catering services, and external vendors.
Coordinate client-related business meals and maintains up-to-date knowledge of Firm- and attorney-preferred restaurants.
Receive and interact with incoming clients and visitors.
Qualifications:

Fenwick is seeking a Client Accounting Specialist who will be responsible for all financial aspects of managing the assigned partners' portfolio of clients which are performed in accordance with departmental standards. The Client Accounting Specialist will work closely with the finance management team and integrate best practices while delivering best in class service internally to our partners and externally to our clients.
Job Description:
Review Client and Matter set up (including rates, discounts, invoice formats and deferrals, etc.) to ensure adherence to engagement letters, billing guidelines, manage to attorney preferences and address any differences timely to provide accurate billing.
Maintain documentation of all non-standard billing requirements. Update the Client and Matter Billing Instructions in Aderant, CET data base to ensure they remain current.
Monitor work in progress to ensure all matters are billed per approved agreement and schedule, ensure necessary billing systems reflect current status.
Produce, review and distribute prebills on a monthly basis and as needed for review by attorneys, coordinate with secretarial team to obtain prebills by monthly due date.
Perform various billing functions as required to produce client invoices (edits, write downs, transfers, discounts, etc.). Audit all edits once pushed into Aderant (narrative and mathematical calculations), ensure calculations are correct and in accordance with special billing requirements prior to posting.
Ensure client invoices are mailed or delivered timely in accordance with firm guidelines as well as any client guidelines.
Manage attorney and client deadlines; estimate due dates as required for monthly accruals and/or closings and monthly billing due dates.
Meet with billing attorneys on a regular basis to discuss new clients and matters, any special billing arrangements, aged WIP and aged Accounts Receivable or issues/disputes that require action.
Actively monitor accounts receivable balances while upholding and maintaining the firm's collection policies and procedures; escalate significant or delinquent balances to the attention of billing attorneys and management in timely manner, actively suggest collection strategies and monitor as necessary, maintain ARCS categories to reflect current client status.
Maintain regular client contact to follow-up on aged billings, payments and/or promise to pay.
Research and resolve client disputes timely. Engage attorney's assistance as necessary to resolve issues promptly.
To minimize financial risk exposure on aged accounts, develop and maintain collection strategies, negotiate payment arrangements and/or propose payment schedules as necessary with partner consent.
Effectively utilize Aderant, ARCS, EIS, and other reports to assist with the collections process and reporting (including the Intranet).
Work with Cash Receipts staff to research and resolve misapplied payments, unapplied cash/trust balances are kept to a minimum.
Prepare write-off/write-down requests as necessary; ensure all proper approvals are received prior to processing adjustments.
Assist attorneys, secretaries and clients with all billing and collections related questions and/or requests.
Maintain client files and correspondence (iManage).
Monitor billing hotline and time correction DTE alias on a rotational basis.
Share system process enhancement ideas.
Propose client support enhancement ideas to attorney/management (streamline efficiencies).
Utilize LinkedIn Learning for increased growth in skills, software and/or industry.
Perform other related duties as assigned.

$60,800 - $86,000
