Job Title: Special Education Secretary
(Level 10; 250 days employment Contract)
Requirements:
A. Educational Level: Associate's Degree, Bachelor's Degree preferred
B. Experience Desired: Prior experience in providing clerical and bookkeeping
services. Must be able to perform basic mathematical
functions and business telephone etiquette. Must also be
able to use common office machines, and office application
software and have concepts of grammar and punctuation.
C. Physical Requirements: Requires some lifting, carrying, pushing and/or pulling,
stooping, kneeling, crouching, and significant finger
dexterity. This job also requires a significant amount of
sitting.
D. Working Conditions: This job is performed in a general clean and healthy
environment.
REPORTS TO: Director of Student Services
This employee is responsible for performing clerical and/or record-keeping tasks required in the daily activities of School Board work.
Duties of this position include but are not limited to:

Provide confidential secretarial services to District Administrator using discretion with frequent
sensitive student issues, as well as matters of concern involving department staff members.
• Maintain administrator’s calendar and schedule of appointments.
• Analyze urgent situations accurately and exercise judgment in taking effective action when dealing
with parents, students, and co-workers of all levels.
• Maintain awareness of and compliance with federal and state regulations regarding Special
Education.
• Responsible for submitting and maintaining accurate information to the SEIS database system which
reports directly to the county.
• Responsible for maintaining accurate records in Special Education.
• Track, organize, and maintain extensive confidential files on all special education students in the
District.
• Track necessary information for students on 504 plans, as well as foster students.
• Work closely with Special Education Department Heads and the alternative site
regarding program policies and procedures, and student records and needs.
• Maintain close communication and working relationship with county and district personnel, assistant
principals, school psychologist, counselors, and representatives from outside agencies.
• Manage all aspects of the Special Education office.
• Provide training and guidance to site-level special education office staff.
• Maintain close and cooperative communication and working relationship with special education
personnel at all feeder schools.
• Act as liaison for district personnel, assistant principals, counseling staff, general education teachers,
resource specialists, students, parents, etc. in absence of the administrator/director.
• Oversee the process of receiving special education student records of incoming students and preparing
them for high school use.
• Assist in scheduling and inputting student scheduling data during summer.
• Monitor gathering and disbursement of various student progress reports to parents.
• Compile numerous reports, memos, agendas, and meeting notes for district and site levels.
• Copy, mail, and/or fax special education records to requesting parties.
• Request special education records from other schools in and out of county/state.
• Assist administrator during all phases of Compliance Reviews.
• Maintain databases for state reporting.
• Perform other duties as assigned.
REQUIRED QUALIFICATIONS:
- Thorough knowledge of business English, spelling, and punctuation.
- Thorough knowledge of office practices and procedures.
- Extensive knowledge of the operations, functions, and scope of authority of
departments and offices related to handling and disposing of information and
requests for information.
4. Ability to receive the public and to make decisions based on mature
judgment to relieve the schedule of the administrative supervisor.
5. Ability to maintain effective working relationships with officials, department
heads, other employees, and the general public.
DESIRED QUALIFICATIONS:
- Secretarial experience in a school system.
