Job Summary
We are seeking a full-time, 40-hour Clinic/Practice Assistant onsite Monday through Friday from 8:30am to 5:00pm.
Our Clinic/Practice Assistant play an integral part in the operations of our community-based physician practices. Dedicated to administrative support, these assistants serve as the gatekeepers of our practices and ensure that our team is delivering the highest quality experience that exceeds our patients' expectations.
We are looking for well-rounded customer service professionals who can multi-task, prioritize, and thrive in a high-volume ambulatory clinic setting with a variety of pace!
Responsibilities:
* Leading up to the patient visit, Practice Coordinators schedule all appointments, conduct reminder outreach, and obtain Prior Authorizations from insurances when needed for specific exams.
* During the patient's visit, the focus is check-in, which includes greeting patients, answering all of their questions, collecting co-payments, and assisting with any pre-visit paperwork/forms.
* At the conclusion of the visit, during check-out, Practice Coordinators are tasked with scheduling follow-up appointments, tests, and/or procedures.
* Other duties include fielding all incoming telephone calls and triaging appropriately, monitoring patient flow and waiting room activity, and providing general support to practice leadership, clinicians, and peers.

The Boston Children's Hospital Dermatology Program provides care for children and adolescents with all forms of congenital and acquired disorders of the skin, nails, hair, and mucous membranes. The primary goal of the medical scribe is to reduce administrative burden on the physician, improve accuracy/timeliness of medical documentation, and optimize provider ability to spend more time interacting with patients.
Key Responsibilities:
* Accompany providers throughout the entire patient medical appointment, either virtually or on-site, ensuring presence in the visit is not disruptive.
* Transcribe interactions during the appointment into a high-quality, comprehensive preliminary note for physician sign-off, which can include but is not limited to:
* Patient history
* Review of systems
* Family/social histories
* Medication listings
* Allergies
* Physical examination findings and procedures
* Pertinent imaging/lab study results
* Time
* Treatment/follow-up plans.
* Send all preliminary documentation for physician review promptly.
* Make any necessary amendments/changes to approach based on physician feedback and regularly incorporate feedback provided into future notes to yield noticeable improvements.
* Develop a close working relationship with providers pairings in-depth knowledge of their preferences. Incorporate these preferences into transcribed notes, maintain documentation of provider preference grids, and communicate with providers directly in the mode, frequency, and time they prefer.
* Maintain a repository of historical/current physician templates/dot phrases; incorporating updates/changes as needed to ensure it is up-to-date and readily accessible.
* Attend department meetings as needed or directed to optimize ability to stay up-to-date with initiatives that will improve physician workflows and implement changes as directed by administrative management. Communicate with administrative management and/or assigned physicians to troubleshoot any potential discrepancies.
* Assist with other administrative clerical duties related to factors affecting physician clinics to improve physician workflow as assigned.
Schedule will be Monday through Thursday 10 hours per day.
Minimum Qualifications
Education:

Experience:

We are seeking a full-time, 37.5-hour Clinic/Practice Assistant to join our Urgent Care team in Newton!
Urgent care, also called walk-in or express care, offers timely treatment for non-emergency conditions. We care for adults and children ages 3 and up, addressing a wide range of issues such as respiratory illnesses, infections, minor injuries, rashes, and stomach problems. Because patients often visit when they're feeling unwell, our team prioritizes compassion and emotional support alongside quality medical care.
This role is located at 71 Needham Street in Newton, MA. The schedule consists of working 3, 12.5-hour shifts per week, including every other weekend (both Saturday and Sunday). Since Urgent Care is a 7-day-per-week operation that delivers care during the day, evening, weekends, and holidays, the schedule for this role will require 2 on-call shifts per 4-week scheduling period, weekend, holiday coverage and the flexibility to work overtime as needed.
We do our best to keep all employees at their assigned centers; however, for on-call shifts, employees must be able to commute to any of our locations, including Boston Common, Brookline, Lynn, Natick, Newton, Westwood, and Woburn. You may also be asked to report to any of these centers during orientation (for training/precepting purposes) or during times of staffing shortages or other extenuating circumstances (for cross-coverage purposes).

We are seeking a part-time, 32-hour Clinic/Practice Assistant to support practice operations at our fast-paced Urgent Care centers in South Weymouth and Pembroke! We're committed to delivering the highest level of care with a smile, and we're looking for people like you to help us do so! Clinic/Practice Assistants serve as the face of our medical group and play a key role in managing the patient experience on the reception/administrative support side.
Our Urgent Care Centers are designed to provide walk-in service for minor conditions such as allergies, respiratory infections, sore throats, sports injuries, minor cuts and bruises, and various illnesses requiring immediate non-emergency medical care in the South Shore region south of Boston. Our qualified, friendly health care providers treat adults and children (age 6 months and up). We know urgent medical situations often happen unexpectedly, so our clinics are open seven days a week, and most visits last less than an hour, so our patients can get back to what matters. Our operating hours are weekdays from 8:00am-7:00pm, Saturdays from 9:00am-3:30pm, and Sundays 9:00am-1:00pm.
The Clinic/Practice Assistant will be scheduled for shifts at both Urgent Care locations: 541 Main Street in South Weymouth, MA and 15 Corporate Park Drive in Pembroke, MA.
The weekly 32-hour schedule consists of two 12-hour shifts from 7:30 a.m. to 7:30 p.m. and one 8-hour shift, which may be scheduled in the morning or afternoon. Weekend coverage is encouraged but not required. Occasional holiday coverage may be requested; however, we're closed on Christmas Day, Thanksgiving Day, and New Years Day.
