    Under direct supervision of the Support Services Manager, performs various clerical duties, including greeting patients and visitors, handling incoming calls, hospital paging, providing general information about the hospital to the public and customers to ensure efficient and courteous service functions for the Information desks and telephone. Position: Guest Support Services (U) Department: Guest Support Services Schedule: Full Time - 11pm - 7:30am ESSENTIAL RESPONSIBILITIES / DUTIES: Answers telephones and greets patients and visitors in a professional manner. Answers incoming calls, transfers calls to the appropriate person or department, and as necessary, assists in placing outgoing calls. Locates admitted patients in the computer system and provides visitors pass and or room information. Provides emergency room patients' visitors with ED visitor passes. Escorts visitors to Emergency Room as needed. Contact inpatient floors for approval prior to issuing visitor's passes during non-visiting hours. Communicates appropriately with visitors for any protected, high profile or “opt-out” patients, including referring to security for clearance passes. Utilizes EPIC and Employee Paging Directory to access necessary patient information so as to correctly direct outpatients and visitors. Requests Uber Ride for discharged patient, Cancer Care Center and Providing Health Centers Maintains patient confidentiality in accordance with hospital HIPPA policy. Demonstrates knowledge and skills to perform all functions of all information desk and telephone system and periodically rotates desk and telephone assignment. Responds to requests for direct dial numbers, department numbers, physician on-call status and department functions utilizing an automated system. Rotates various desk as needed. Handles special and priority calls such as medical emergency, code alerts and a variety of emergency and time sensitive calls from the general public, patients, medical personnel and other Boston Medical Center clients. Follows prescribed procedures and using page/alert systems, notifies appropriate personnel in cases of medical emergencies, cardiac arrests, drills, disasters, or other contingencies. Inform Manager of service effecting problems. Assists in the training and orientation of Guest Support Services. Assists in providing lunch coverage for colleagues assigned. Cleans and organizes work area and reports any safety concerns or equipment malfunctions to supervisor. Notifies supervisor of supply shortage on a regular basis. Provides positive and effective customer service that supports departmental and hospital operations. Performs patient information/reception duties. Provides information to the general public, patients, patient families and hospital staff in a pleasant and professional manner. Utilizes hospital's Values as the basis for decision making and to facilitate the division's hospital mission. Follows established hospital infection control and safety procedures. OTHER DUTIES: Performs other duties as needed JOB REQUIREMENTS EDUCATION High School level of education is preferred EXPERIENCE: 1-2 years' experience or an equivalent combination of education or experience KNOWLEDGE AND SKILLS: Work requires the analytical skills to gather and interpret data and to follow established procedures. Work requires the ability to exchange information on factual matters, greet visitors, explain hospital policies or relay messages to appropriate personnel. This type of interaction requires courtesy and tact when dealing with patients, visitors or hospital employees. Work requires frequent sitting and frequent walking Work requires ability to check documents for accuracy. Work requires regularly inputting/retrieving data from computer systems. Compensation Range: $17.93- $21.43 This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, and licensure/certifications directly related to position requirements. This role blends customer service, project management, and design coordination to deliver a seamless, personalized transition into Horizon House's landmark West Tower-a 200-unit expansion that represents the next chapter in our community's mission of agency, purpose, and connection. What You'll Do Serve as the primary point of contact for new residents during the selections and move-in process for the West Tower, ensuring a supportive, reassuring, and positive experience. Partner cross-functionally with internal teams and external vendors-beginning early in the development and construction process-to anticipate and meet resident needs, ensuring a smooth, well-coordinated, and successful move-in. Develop and maintain detailed project plans, schedules, and tracking tools to monitor selections progress, construction milestones, risks, and dependencies. Conduct selections appointments with residents to review available finishes, fixtures, flooring, paint, and upgrade options, guiding decisions that reflect residents' preferences, lifestyle, and sense of home. Develop and continuously refine the selections and communication process, ensuring residents feel informed, confident, and engaged throughout their journey. Provide product information, coordinate samples, and prepare detailed upgrade requests for resident review and approval. Maintain accurate documentation of all selections, pricing, and communications using project management and CRM systems. Collaborate with contractors, architects, and Horizon House project leaders to ensure accurate installation of selections to the highest standards. Track and monitor selections deadlines and construction milestones, proactively resolving discrepancies to protect timelines and resident satisfaction. Assist residents with space planning and downsizing needs, including furniture measurements, layout planning, and vendor referrals. Develop and maintain a move-in guide and provide residents with relocation resources and preferred vendor contacts. Coordinate all aspects of move-in logistics, including elevator scheduling, truck access, vendor coordination, and on-site move-day support. Conduct pre-move-in inspections to verify that selections are installed as contracted. Welcome residents and families on move-in day, providing orientation to their new home, the Horizon House community, and key staff. Deliver supplies and food to various locations for childcare, catering, or general supply needs. This may require walking or driving a delivery van, car, or box truck with a hydraulic lift. Pick up various supplies from local grocers or warehouses as needed. Assist with putting away food and supply deliveries which may require using a pallet jack. Assist with cleaning off dishes, loading the dish machine, or putting away dishes during downtime. Assist with filling ice machine. Assist with filling stock items in coolers on tray line and putting items on the trays during downtime. Schedule maintenance for hospital owned vehicles and fill them with gas as needed. The Transporter will be required to stand, walk, bend, squat, reach, push, and lift with items of various weights from 5 to 50 pounds for the majority of an 8 hour shift. Some items may requiring bending, squatting, or lifting them overhead. This position requires the Transporter to walk on hard surfaces that may be wet and may include uneven surfaces. To be successful, the Transporter is required to use customer service skills, phone etiquette, and organizational skills. The Transporter must be able to utilize multiple technical devices including iPads, iPhones, computers, and other technology devices. The Transporter must be able to work unsupervised in a fast paced work environment. This position requires the Transporter to be 18 years or older.
