JOB SUMMARY:
Maintains accurate membership records and files, receives, logs and safeguards membership information and program fees. Greets and directs club members and visitors. Provides parents and visitors club informational flyers, answers phone and responds to callers questions and provides clerical support to club staff.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Membership
* Manages club member data on a daily basis and ensures member data are accurate and all applications are fully completed, fees collected and membership cards issued.
* Assists clubs' members daily to ensure they accurately scan their membership cards prior to entering program areas. Membership cards made & reissued in a timely fashion.
* Assists clubs' members who forget membership cards with alternate sign in methods.
* Maintains membership and attendance records and prepares associated reports.
* Obtains & enters individual program areas rooster accurately on a daily bases.
* Monitors use of the phone & public address system.
Receptionist
* Maintains a professional customer service attitude in which members, parents, staff, and visitors are greeted in a warm, friendly & helpful manner.
* Monitors visitor access and sign-in as required.
* Responds to visitors, parents, volunteers and club member's inquires and/or redirects questions to appropriate staff.
* Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department.
* Answers questions about organization and provides callers with address, directions, and other information.
* Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.
* Acts as role model to club members.
Financial
* Collects membership, summer, field trip, program and special event fees. Maintains logs and safeguards all financial information.
* Tracks member payment plans. Will follow-up until payments are received in full or alerts supervisor when unable to collect.
Additional Responsibilities
* Provides parents and visitors flyers and other written information concerning clubs programs and special events.
* Receives, sorts, and routes mail, and maintains and routes publications.
* Performs other clerical duties as needed, such as filing, photocopying, and collating.
* Keeps files organized and up-to-date.

Plans and implements activities in within budget constraints to achieve program objectives. Prepares monthly reports reflecting activities, including attendance and program participation for Site Director and School Principal. Provides Site and School Principal with regular program schedules and reports of activities. Takes direction from the Site Director regarding program development, implementation, supervision and outcome measurement.
Assists Site Director with referral of participants to the program. Focuses on participants' personal development through diverse program offerings, with a focus on developing their interests and increasing their attendance, program participation, knowledge and abilities.
Implements guidance and discipline policies relating to Club participants. Communicates and maintains standards of conduct for program participants. Assists with maintenance of records relating to participant discipline situations and participant development issues.
Recommends new offerings in specific program areas and creates and implements necessary plans to initiate new program offerings. Identifies prospective community resources/volunteers that could assist with program.
Plans and implements special events and activities that give program participants the opportunity to exhibit their skills.
Provides special guidance and development of participants assigned through the 21st Century Community Learning Centers project and other assigned projects. References initial participant intake forms to determine needs and completes periodic tracking forms to track attendance and program participation. Identifies and implements individualized guidance strategies based on the participant's identified needs in consultation with Site Director.
Develops and implements opportunities for participant involvement in outside educational, recreational and leadership programs and activities relating to program areas. Plans, implements and leads field trips that complement program activities, if deemed necessary.
Represents the organization and interprets its policies, objectives, standards and programs to project participants, parents, community organizations and the public. Promotes and stimulates the project participants knowledge of and interest in the Boys & Girls Clubs programs and activities
Involves parents in addressing participant development issues through planning and implementing activities to foster their involvement.
Helps maintain the cleanliness and appearance of the facility through encouraging participant's involvement in keeping program areas clean, putting away supplies after use, etc.
Assist with activities in other program areas as assigned.

EDUCATIONAL QUALIFICATIONS AND SKILLS:
Education
Bachelor's degree from an accredited college required; teaching credentials highly preferred
Experience
At least three years' experience planning and implementing programs for youth
Knowledge of youth development, ability to motivate and provide guidance to youth through establishing positive relationships with youth participants; demonstrated caring and respect exhibited toward participants.

* Follows schedule set-up by Director of Facility Operations to perform routine and minor HVAC, electrical, And plumbing repairs of BGCMA facilities and reports on progress daily.
* Repairs building structures, walls, floors, ceilings, cabinets and furniture.
* Insures work areas are clean when finished; ensures tools are collected, cleaned and put away.
* Assembles and moves furniture such as desks chairs and tables, and club recreation equipment such as weight equipment hangs pictures and bulletin boards.
* Picks up and delivers donated (gift-in-kind) items.
* Completes paperwork required to document maintenance and other activities.
