We are one of the premier non-profits in the Inland Empire and looking for an incredible Payroll Coordinator to join our dynamic team. The Club's impact extends throughout several sites across the Inland Empire, Redlands, and areas of the High Desert. PRIMARY FUNCTION The Payroll Coordinator supports the Accounting Department by ensuring accurate and timely processing of weekly payroll for all employees. This role also serves as a key liaison between the Accounting and HR departments, facilitating clear communication on employee records, payroll authorizations, and compliance requirements. The position requires meticulous attention to detail in verifying approved timecards and entering payroll data into the system. The ideal candidate has intermediate Excel skills, attention to detail, and a desire to grow in the accounting field. KEY ROLES (Essential Job Responsibilities): Payroll Process payroll on a weekly basis Ensure all timecards and time off requests are approved. Enter payroll data into system Respond to employee payroll inquiries regarding pay, direct deposit and arrange for check pick-ups. Process termination checks Maintain records: Update employee information as it pertains to location changes and payroll change authorization. Perform payroll imports into the ERP system. Accounting and Administrative Support Scan and file digital and paper financial documents. Maintain orderly historical accounting records. Support audits with requested documentation. Communication and Collaboration Work closely with Accounting Manager to ensure timely, accurate entry. Communicate effectively with internal departments. SKILLS/ KNOWLEDGE REQUIRED: High school diploma or equivalent required, Associates Degree Preferred. 1-2 years accounting experience preferred, 1 year payroll experience required. Proficient in basic PC skills, including Windows 11 navigation, Microsoft Outlook, word processing, and managing data in file storage systems. Basic Excel skills (e.g., SUM, AVERAGE, COUNT, Tables, Formatting, Sorting & Filtering Data) Familiarity with accounting and ERP software (Sage Intacct, ADP Workforce Now) is a plus. Detail-oriented and accurate. Reliable, organized, and proactive. Strong communication skills and discretion with sensitive data. Eagerness to learn and contribute to team success. PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: Normal internal office environment with frequent need to travel to club locations within the Inland Empire. Frequent internal contacts with employees throughout the organization required. Exerting up to 20 pounds of force occasionally or constantly to lift, carry, push, pull or otherwise move objects. POSITION OVERVIEW Under the direction of the Transportation Management Team, the School Bus Driver is responsible for safely operating the school bus according to a set daily schedule. The Driver must ensure that the school bus is in good operating condition at all times, pick up and drop off students as per the schedule, maintain order and security on the bus and adhere to all laws, regulations, and rules of conduct. The Driver must also interact with BGCGSD members, parents, staff, and members of the public in a courteous and respectful manner. This includes receiving complaints about schedules and levels and quality of service. The Driver must make note of and report any such complaints and respond in a courteous and respectful manner. ESSENTIAL DUTIES AND RESPONSIBILITIES Function Name/Tasks 1. SCHOOL BUS OPERATION Transport children, parents, and staff by driving a school bus or passenger van to and from school, and to and from special outings or field trips while adhering to driving rules and regulations for providing a safe vehicle in the State of California. Maintain safety of BGCGSD fleet of vehicles by observing visual defects and checking operations systems routinely. Maintain good communications with the Clubs administration; checking in with the transportation Coordinator daily. Serve as a positive role model and example for BGCGSD members through appropriate dress, speech, attitude, and courtesies. Maintain consistent, punctual, and regular attendance. Transport Clubs members by picking them up at assigned stops; instructing when it is safe to board the vehicle; take attendance; establish loading and unloading procedures, and the importance of adhering to all safety rules. The Driver must also interact with BGCGSD members, parents, staff, and members of the public in a professional manner. This includes receiving complaints about schedules and levels and quality of service. The Driver must make note of and report any such complaints and respond in a courteous and respectful manner. 2. SAFETY Be aware of current safety protocols that are being adhered to: adults and children are wearing face coverings, social distancing, frequent hand washing, etc. Enforce transportation seating guidelines outlined by BGCGSD and the State of California, ensuring adequate spacing between passengers. (depending on the current guidelines) Conduct daily health, wellness checks & temperature screenings on all members as outlined in current guidelines. Be adamant about safe conditions while traveling by enforcing safety and discipline rules and following all vehicle and driving laws as outlined by BGCGSD and the State of California. Implement emergency plan in the event of an accident; appropriately administer to the needs of the members on-board, administer first-aid, and complete accident report and documentation. Actively continue to complete annual classroom and behind-the-wheel bus driver instruction to meet all California state licensing requirements for valid CA School Bus Driver Certificates. 3. MAINTENANCE Complete daily all pre-and post-inspections for safety and security by documenting in BGCGSD vehicle logs prior to locking the vehicle and completing daily shift. Assist with transporting vehicles for regularly scheduled maintenance as requested by the Transportation Coordinator. Cleans assigned vehicles, both interior and exterior for the purpose of ensuring safety, appearance, and sanitation of the vehicle. Maintains fluid levels (oil, water, and fuel), check tire pressure, and signs of body damage. Advise the Transportation Coordinator of any requirements for maintenance or repairs. 4. SAFETY & WELLNESS Ensure a safe, clean, and welcoming environment for all youth, staff, and visitors by consistently enforcing safety protocols and organizational policies. SKILLS/KNOWLEDGE REQUIRED: • Must be 18 years of age or older • Must have proof of High School graduation or GED (Diploma or Transcripts) • Must provide Negative TB test results or Assessment test completed within the last 4 years • Must have at least 48 semester college units/68 quarter units or have a paraprofessional certification • Ability to read, write, spell, understand, and assist with math calculations/problems and assist with homework at all grade levels • Experience in working with children • Knowledge of youth development • Ability to motivate youth and manage behavior problems • Ability to effectively interact with the public • Ability to plan and implement quality programs for youth • Ability to organize and supervise members in a safe environment KEY ROLES (Essential Job Responsibilities): Prepare Youth for Success: • Create an environment that facilitates the achievement of Youth Development Outcomes. • Understand and Implement Knowledge Library resources and its functions. Promote and stimulate program participation • Assist in recruiting new members • Engage students • Provide guidance and role modeling to members Ensure a productive work environment: • Participate in weekly After School Program staff meetings • Attend all site meetings • Complete Child Protective Services and Mandated Reporting documents • Read, sign, and abide by monthly safety topics • Monitor and evaluate programs, environment, services, and activities by actively engaging to ensure safety of staff and members • Assess programs and the appearance of all areas of the After School Program Program Development and Implementation: • Plan, create, teach, implement, and administer programs, services, and activities for members and visitors • Create and submit lesson plans and/or scheduled activities to immediate supervisor as required • Read and write without assistance • Implement daily lesson plans and scheduled activities • Apply BGCKC Youth Development Strategy • Provide classroom management • Implement and teach transition strategies • Provide BGCKC and District positive redirection strategies • Utilize District curriculum • Prepare and submit periodic reports as directed • Monitor and evaluate programs, services and activities to ensure safety of members, quality in programs, and appearance of the After School Program at all times • Monitor and review ADP on a weekly basis to review, read, and sign documents as provided • Follow all BGCKC and individual school district policies and procedures • Ability to supervise a minimum of 20 children in a safe environment independently. Key Roles & Responsibilities • Commitment to Safety • Contribute to environment of safety through the learning and implementation and monitoring of all safety-related best practices, policies, and procedures. • Promote accountability to safety through consistent observation, adherence to all safety rules and practices and proactive communication among members, parents, peers, and leadership. • Obtain and maintain Mandated Reporter training and complete annual Child Abuse Prevention training. • Complete training and participate in all Emergency Preparedness protocols including drills and communication practices. ADDITIONAL RESPONSIBILITIES: 1. Participate in special programs and/or events 2. Utilize customer service model - LEARN Model - to help resolve issues regarding clients and stakeholders 3. Oversee special programs and/or events (e.g. Lights on After School, Parent Night, Back to School night), and/or participate in the implementation of other unit activities as necessary 4. Assume other duties as assigned RELATIONSHIPS: Internal: Maintain close, daily contact with Club staff (professional and volunteer), Club members, and supervisor to receive/provide information, discuss issues, explain guidelines/instructions, instruct, and advise/counsel. Adhere to BGCKC Code of Conduct at all times External: Maintain contact with schools, members' parents, and others to assist in publicizing the After School Program and resolving problems with Club managers PHYSICAL REQUIREMENTS/WORK ENVIRONMENT: These physical demands are representative of the physical requirements necessary for an employee to successfully perform the essential functions of the Activity Leader position.
