About the Role
We are a growing construction company seeking a highly organized, self-directed Operations & Administrative Coordinator to manage our day-to-day office operations. This role is responsible for overseeing lead intake, billing and accounts receivable, and utility rebate processing.
This is a senior administrative role for someone who is comfortable owning systems, managing multiple workflows, and keeping projects and payments on track with minimal oversight.
Key Responsibilities
Lead & Call Management
Handle inbound phone calls and online lead portals
Route leads appropriately and ensure timely follow-up
Maintain accurate lead tracking and documentation
Billing & Accounts Receivable
Prepare and send project invoices daily
Track all active projects and payment statuses
Follow up on past-due balances professionally and consistently
Maintain accurate billing records and reports
Rebate & Utility Program Management
Process and track rebate applications (PSE, TPU, PUD, Cascade, and similar)
Ensure applications are submitted correctly and on time
Communicate with utilities regarding status updates and corrections
Maintain organized rebate documentation and tracking logs
Office Operations
Maintain internal tracking systems and spreadsheets
Identify inefficiencies and suggest process improvements
Coordinate with field supervisors and management as needed
Keep sensitive client and project information confidential
Qualifications
3+ years of experience in construction, trades, or operations administration
Strong background in billing, invoicing, or accounts receivable
Highly organized with excellent attention to detail
Comfortable managing multiple priorities independently
Confident communicator (phone, email, internal coordination)
Proficient with spreadsheets and basic office software
Experience with utility rebates or compliance paperwork is a strong plus

What You'll Do
Office and President Support

The position of Office Coordinator, Transportation is responsible for providing support to the department administrator, staff, students, and the community by generating correspondence, preparing forms, reports, and responding to inquiries.

ESSENTIAL FUNCTIONS
* Prepare and generate a variety of reports and documents for supervisors/staff/outside agencies to provide information (i.e. monthly/year-end reports, financial reports, correspondence, inventory, mailings, forms, bid packets, testing packets)
* Maintain data to provide current information for various departments (i.e. purchase requisitions, work orders, menus, transportation mapping, grants)
* Respond to inquiries or requests from staff, parents and the community to resolve problems or provide answers/information (i.e. bus dispatching, substitutes, building/vehicle/equipment repairs)
* Coordinate activities/events to ensure efficient department operations to meet District, staff, and student needs (i.e. testing, schedules, repairs, meetings, transportation, meal distribution, catering)

* Prepare and track documents for accounting to ensure budgets are current (i.e. financial documents, travel requests, personnel/payroll forms)

QUALIFICATIONS
* Education: High school diploma or equivalent required; post-secondary business related coursework preferred

* Knowledge of general clerical procedures, basic accounting practices, word processing, spreadsheet and database software
