Source, plan, and coordinate the purchase of materials and/or services at the most competitive price possible consistent with accepted standards of quality and service to meet company cost and schedule demands. Procured products include the following: raw material, capital equipment, tools, manufactured parts, surface coatings, MRO supplies, and other products as deemed necessary. What will my responsibilities include? Monitors the production flow of subcontractors (i.e. outside processing facilities, tooling, cutting inserts) to determine processing requirements based on production schedules and needs. Ensures timely flow of materials and services as needed. Place purchase orders based on review and acceptance of purchase requisitions. Obtain appropriate signature approvals for purchase requests over a specified value. Process and order requested supplies. Provide regular updates on purchase order status. Ensure quality, procurement and regulatory compliance through policies, procedures and effective monitoring of processes. Purchases and acquires materials, equipment and supplies from suppliers/vendors and/or service providers. Makes recommendations on prices of materials and services. Monitors price/cost trends to find potential price improvements. Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production, and distribution capabilities to determine if they are compatible with the company objectives. Continually evaluate and monitor quotes for most current pricing and lead times. In conjunction with estimating and MRP signals, solicits bid proposals and reviews quotes from vendors. Resolves quality, engineering, and accounting issues related to suppliers and purchase orders in an expedient manner. Your Responsibilities on the Team Track subcontractor/supplier insurance using the IDS database. Distribute new vendor/subcontractor packages. Perform filing, copying, and other administrative tasks within the department. Assist Purchasing with bidding for new projects. Interface with the Accounting Department to ensure timely payment for subcontractors. Input, print, and fax information to trades using JD Edwards. File and mail Notices of Completion. Order appliances for each community. Prepare and distribute bidding packages and set up new vendors for new communities. Prepare weekly production reports, community books and product cut-sheets. Assist in field operations administration. Prepare correspondence for other departments, government entities, homeowners, etc. Prepare and distribute Sequence sheets to trades and field personnel. Order homesite-specific plot plans. Coordinate plan-ordering activities, including online setup and distribution. Process and follow up on utility deposit refund requests. Audit and track contractor license information for all trade partners. Maintain lumber tracking spreadsheet using Random Lengths weekly reports. Update and maintain Master Trade Partner/Bid lists. Provide backup support for Contracts Administrator and receptionist duties. Requirements High School Diploma or equivalent required; college education preferred. At least 2 years of office or administrative experience. Proficient with computers and experienced with JD Edwards, AutoCAD, Buzzsaw, BuildPro/SupplyPro, and Excel. Capable of handling multiple detail-oriented tasks with concurrent deadlines. Strong writing skills and exceptional organizational abilities. Demonstrates a strong work ethic, integrity, and loyalty.
