The ability to work in both a team environment and on self-directed tasks are essential. **Responsibilities** + Develop a practical knowledge of departmental and company policies and procedures to gain specialized skills in a variety of processes and activities. + Effectively and professionally communicate with all levels of the organization. + Prepare routine reports setting up files and records accordingly. + Oversee certain aspects of the Prism Software Suite residing in the Refinery Training Department. + Maintain accurate training records by category and dates into the database. + Assist Refinery Training personnel in maintaining spreadsheets on employee training records. + Assists the EH&S Administrative Assistant with their duties as time allows. + Establish, build, and maintain relationships with other administrative staff providing backup functions. + Perform various administrative duties as needed to support the various departments and employees. + Provide support and backup for the receptionist area on a rotating basis. + Direct telephone calls, screen mail, and coordinate meetings, presentations, and conferences. + Learn and assist with the refinery badging system during the front desk backfill and during high traffic events such as during a refinery turnaround + Plan and oversee the transfer of archived information following record retention policies. + Maintain a high level of confidentiality working with employee records and information. + Proficient computer skills (Microsoft Office) and other refinery-specific software. + Must have excellent customer service skills and problem-solving skills. + Maintain and promote a strong safety culture and follow all safety policies, procedures, and regulations.
