The Opportunity
We are seeking a Litigation Executive Assistant to join our Firm. This position is responsible for providing comprehensive assistance to, and managing resources for, partners, counsel, associates, and staff attorneys. This position will be based in our Los Angeles office and has a hybrid in-office/remote working schedule.
Handles standard administrative functions including answering, screening and placing phone calls; opening and routing mail as directed; managing files, records, attorney calendars and time records; and preparing attorney expense reports.
Proxies into attorney's email (if permission is granted) to process new messages, maintain organized email folders and keep attorney apprised of priorities, handling proper filing of emails to retention folders and SRM.
Anticipates attorney needs by proactively identifying potential issues and conflicts and taking the initiative to offer solutions and preempt needs.
Prepares engagement letters and new client/matter memos, and updates active client/matter number lists to assist with the new business process.
Utilizes tracking charts for keeping up-to-date records, with a special focus on billing and new business.
Handles all aspects of document preparation, including processing edits, generating redlines, PDF creation, conversions and quality control of work product.
Works in tandem with Client Accounting to ensure up-to-date and accurate client billing.
Seeks ways of being energetically responsive to clients, providing superior client service in both small and large ways.
Assists in promoting business development through entry of activities, maintenance of contacts and assembling of mailing lists in InterAction.
Utilizes applications like Excel and PowerPoint to facilitate attorney's work.
Researches and makes complex travel arrangement for attorneys, including assisting with visa requirements.
Prepares check requests for vendor invoices and actively follows up to ensure timely payment.
Delegates work to other departments as necessary, coordinating the completion of delegated work and verifying its accuracy.
Assists with attorney personal work when required.
Ensures proper functioning of all software and hardware being used by attorneys, in consultation with technology support staff.
Performs responsibilities of other support services when needed, including but not limited to printing, scanning, duplicating, quality control and hand-delivering packages.

Assists with HIPAA and US and international data privacy compliance matters.

The Opportunity
We are seeking a New Business Conflicts Clearance Analyst to join our Firm. There are multiple positions based in our New York and California offices (hybrid and fully remote opportunities). The New Business Conflicts Clearance Analyst will support the New Business Conflicts Clearance team by conducting thorough conflicts checks, maintaining accurate records in the conflicts database, and ensuring the seamless operation of the conflicts resolution process.
Reviews and analyzes conflicts reports to identify any potential conflicts of interest issues which require resolution.
Collaborates with other members of the New Business Conflict Clearance team, Conflicts Attorneys, and Office of the General Counsel to resolve potential ethical conflicts and facilitate the new matter opening process.
Communicates effectively with attorneys and staff to gather necessary information for conflicts checks, conflicts review and clarify any discrepancies in the iManage request form.
Validates the requirements for each conflict check with the requesting lawyer or secretary to ensure compliance with firm policies and legal standards.
Conducts corporate research using both internal and external resources to verify the accuracy of information and understand corporate relationships and structures.
Coordinates with the Client Accounting Department and other relevant departments to ensure the integrity and consistency of database information.
Provides coverage for department functions, including after-hours and weekend support as needed, ensuring continuous operation of conflicts resolution processes.
Demonstrates effective interpersonal, written, and verbal communication skills to facilitate effective work relationships with others.
Manages Firm resources responsibly.
Complies with and understands Firm operation, policies, and procedures.
Performs other related duties as assigned.
Qualifications
Knowledge of relevant firm computer software programs (e.g. Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
Familiarity with conflicts database software, preferably iManage, and a general understanding of the conflicts resolution process in a legal or professional services context.
Demonstrate effective interpersonal and communication skills, both verbally and in writing, in communicating with Firm attorneys and staff

The Opportunity

Duties and Accountabilities1
General Responsibilities:
* Collaborate with the Infrastructure Operations portfolio owner to define portfolio objectives, priorities, and execution strategies aligned with business and technology goals.
* Provide oversight and coordination across multiple projects and programs to ensure alignment with the overarching portfolio vision, managing dependencies, mitigating risks, and maintaining delivery focus.
* Serve as the primary liaison between project managers, program managers, product owners, governance forums, and technical teams to monitor initiative performance, resource allocation, and issue resolution.
* Establish and deliver consistent portfolio-level performance, risk, and progress reporting to governance boards and senior leadership.
* Lead portfolio governance activities, including steering committee participation, prioritization forums, and stakeholder communication.
* Support financial and resource planning processes, including collaboration with finance teams to manage annual budgets and capacity plans.
* Drive collaboration across technology and business teams to identify and address interdependencies, reduce redundancies, and foster synergies across infrastructure-related initiatives.
* Represent the portfolio in cross-portfolio coordination efforts, sharing best practices and aligning with other Portfolio Managers on firmwide strategies and standards.
* Ensure adherence to PMO methodologies and maintain high standards for project documentation, reporting, and delivery metrics.
Supervisory Responsibilities:
* Guide and support the work of project and program managers delivering initiatives within the Infrastructure Operations portfolio.
* Promote effective team collaboration and alignment with delivery expectations.
* Support performance management, mentorship, and continuous improvement within the Portfolio team.
Required Skills and Abilities:
* Proven experience in managing infrastructure-focused portfolios, including virtualization, storage, identity & access management, and operations platforms.
* Strong portfolio, program, and project management capabilities with the ability to manage across strategic, operational, and BAU streams.
* Experience in portfolio financial planning, reporting, and resource capacity management.
* Strong leadership, organizational, and stakeholder engagement skills.
* Deep understanding of IT service delivery, infrastructure dependencies, and operational excellence frameworks.
* Familiarity with both Agile and Waterfall delivery methodologies.
Qualifications
* PMP or equivalent project management certification.
* 10 years of experience in IT project/program management; 5 years in infrastructure or IT operations environments.
* Bachelor's degree in Engineering, Information Technology, or a related field.
* Demonstrated success in cross-functional collaboration and enterprise-level portfolio delivery.
* Strong proficiency in Microsoft Project, Excel, PowerPoint, and reporting tools.
Location & Reporting
* This role is based in our New York or in Tampa office
* Our standard office hours are 09:30am - 5:30pm
* This role reports to the Senior Manager, Portfolio Operations

The Document Processing Specialist provides document processing support at an advanced level to efficiently produce documents using various software.
RESPONSIBILITIES
Creates and revises complex legal documents, adhering to Firm formatting guidelines and departmental best practices;
Successfully troubleshoots problematic documents;
Proofreads work for accuracy;
Keeps Document Processing Supervisor informed of work status;
Communicates with lawyers and supervisors regarding job problems, instructions or deadlines;
Answers technical questions on software when required;
Works effectively within a team and as an independent operator, as workflow dictates;
Follows all department best practices and Firm procedures;
Attends all mandatory training;
Learns and effectively implements new software as required; and
Performs other duties as assigned.
QUALIFICATIONS
High School diploma required; college degree preferred;
At least 3-5 years experience as a document processing operator in a legal or investment banking environment, or equivalent experience;
Typing speed 65+;
Proficient in use of Microsoft Office, OmniPage, DocX Tools, ABBYY, Innova, KUTools, iManage Workspaces, Litera Compare, Adobe Acrobat, OmniPage and other software as needed;
Excellent graphic skills, including use of Adobe Photoshop;
Excellent proofreading, communication, grammar and organizational skills;
Excellent interpersonal and customer service skills;
Highly attentive to detail;
Ability to perform well under pressure and coordinate several activities at one time while being mindful of strict deadlines; and
Availability to work overtime when needed.
This position is fully remote, but that is subject to change. The schedule for this position is Monday through Friday, 8:00 a.m. - 4:00 p.m. The estimated salary range for this position is $75,000 to $100,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered. In addition to base salary and discretionary bonus(es), we offer a generous employee benefits package including, but not limited to, paid time off, medical, dental, vision care, 401(k) and substantial health club discounts.
