    The Office of the Vice Provost for Community, Culture and Engagement (CCE) plays a vital role at CMU, setting and driving strategies that enhance inclusive excellence across the institution. The office serves as a central convener, coordinating the implementation and application of these strategies within academic and administrative units. We are currently seeking an Executive Assistant and Inclusion Event Coordinator who will be responsible for setting priorities and managing the execution of administrative, financial, and event functions for the CCE. This position will regularly handle sensitive information, requiring the maintenance of strict confidentiality and discretion. Additionally, this position will be responsible for planning and implementing the office's education and signature events, in conjunction with key campus partners, such as cultural recognitions, MLK, Juneteenth, Pride month, etc. Additionally, this position will provide executive administrative support for the VPCCE Officer, which includes scheduling, travel, and expense/financial reconciliation. Core responsibilities include: Executive administrative support for the Vice Provost for Community, Culture, and Engagement Officer, which includes scheduling, travel, expense/financial reconciliation, etc. Manage the administration of the Office by working collaboratively with others internally and externally Draft correspondence, presentations or reports on behalf of the Vice Provost Responsible for clerical/coordinating assistance of specific projects or events and/or may be the only support staff for a particular project area Assist with project plans and tracking of events, initiatives, and key processes until completion Serve as office liaison to key partners (e.g., University events and Engagement, Communication & Marketing and Inclusive Excellence Officer and other collaborators) Assist with program and event details (e.g. logistics, props, food, budgets, vendor contracts and invoice processes) Track office marketing and communication (e.g., website, social media, articles, etc.) Assures operations of the Office are in good working order, financial reviews and reconciliations are completed, and discrepancies are resolved Maintains accurate records and knowledge of budget expenditures, and counsels the Vice Provost on status, opportunities and concerns regularly Provides general office management such as: setting up and maintaining complex filing systems, initiating and processing purchase orders for office equipment and supplies, paying bills, etc. Coordinates various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements, etc. Prepares agendas, assembles data, sets up and coordinates arrangements for meetings, conferences, workshops, etc. Serves as initial contact and liaison with various campus stakeholders, providing information/coordination via phone or in person for internal/ external partners; provides general information regarding the Office Adaptability, excellence, and passion are vital qualities within Carnegie Mellon University. Responsible for providing advanced administrative support for the Business Manager and the SoD at-large. Provides assistance across the School, requires advanced administrative skills and in-depth knowledge of department practices, policies, procedures and programs. This includes reviewing and processing invoices and frequent interactions with vendors, serving as a primary purchaser for the school and coordinating and scheduling travel for faculty and guests. May produce or deposit checks, generate and distribute accounting reports, process payments, assist in reconciling purchases or assist business manager in a department or division by monitoring the expenditures and processing of transactions. Supports and facilitates student worker hiring. The Senior Administrative / Finance Coordinator will also provide general office support as needed: purchasing supplies, processing expense reports, and handling general inquiries to the Business Office. Solves problems that do not need to be referred to supervisor. Your core responsibilities will include: Within the department, coordinates and reconciles budget expenditures; reviews and processes purchase orders; determines proper Oracle information to be charged; reviews, monitors and analyzes monthly financial statements or expense reports; processes journal entries, reimbursements, authorizing payments of invoices; makes deposits, etc. Arranges travel for faculty and guest lecturers/artists to the school. The College Office Administrative Assistant serves as the first contact and face of the College for students and other visitors, maintaining a welcoming, professional, and responsive atmosphere in person, by phone, and via email. This is a full-time position for 9-10 months per year (i.e., "limited service"), approximately August to May, and is benefits-eligible. Job Description Tracing its roots to the founding of the University, the College is home to 6,400 undergraduates in the School of Arts and Sciences. It is the heart of the academic experience at the University of Pennsylvania, with students from across all of the undergraduate schools at Penn taking many of their courses in the College. Responsibilities The Administrative Assistant is responsible for triaging student needs and inquiries, directing them to the appropriate staff or campus resource. They must engage with students in a manner informed by best practices of student care, recognizing and handling emergent situations with responsibility and compassion. This person also actively manages student traffic through the College Office waiting room and advisor meetings, ensuring that each student sees a staff member and moves in and out of the Office in a timely fashion, especially during peak weeks of student drop-in visits. The Administrative Assistant also trains and supervises several student workers to provide the same standard of service to all visitors. The Administrative Assistant is also responsible for a variety of tasks related to the operations of the College Office including physical spaces, supplies, and schedules. This person opens and closes the office, including arming and disarming the alarm system, setting up and cleaning up the office kitchen, managing mail and package delivery, ensuring that all incoming phone and email messages are received by the appropriate staff members, and managing reservations and use of shared spaces. In addition, this person assists with various College events and activities, aiding with student reservations and tracking, setup and management of events, as well as processing and posting transfer credits to student transcripts and similar tasks related to student records as assigned. Finally, this role includes some assistance for senior College leadership in the event of unavailability of other administrative staff. This is a fully in-person position. Qualifications * High School Grad/GE Degree and 3 to 5 years of experience in an office environment, or equivalent combination of education and experience is required. * Excellent organizational skills, ability to adapt to various communication and working styles, ability to prioritize and manage time effectively, ability to work independently, and ability to work with sensitive information required. * Service orientation and excellent people skills a must. * Ability to work in a team environment desired. * Excellent communication skills, both oral and written. * A Cover Letter and Resume/CV are required to be considered for this position. Capable of basic Excel usage; Access preferred. * Identifies items to be ordered as warehouse stock or non-stock and appropriately establishes the items within the par location, allocates the proper storage requirements and accurately labels the product for identification and traceability. * Closely monitors expiration dates of all products and documents findings on a monthly basis to ensure compliance and redistribute slow moving products to other facilities to reduce waste. Stores items within designated storage locations accurately and maintains the supply areas neat and clean with the proper labels for identification. Performs cycle counts; performs root cause analysis to resolve inventory variances. * Responds quickly to emergent physician and clinical requests, including any product concerns or material issues. Identifies opportunities for service improvements, cost reductions and product standardization in support of these initiatives. * Examines incoming shipments of supplies to verify the accuracy and quality of the vendor shipment with PO quantities and product types ordered. * Monitors and adjusts inventory levels in order to mitigate excess inventory and to ensure the end-users have what is needed to perform surgical cases. * Accountable for monitoring and controlling inbound freight and courier costs through working with the UPMC Freight and on-site Materials Manager. * Orders high dollar surgical supplies and equipment.
