    Casa Central's Early Learning Academy (Center-Based program option) provides high quality, comprehensive early childhood education and childcare services for young children, ages two to five, and their families. The Administrative Assistant provides clerical support, such managing databases, answering phones, typing, scheduling appointments, photocopying, faxing, filing, handling correspondence, organizing and maintaining paper and electronic files, greeting visitors, answering telephone calls and providing information to callers, supporting program data management and eligibility determination, collecting parent payments, etc., to ensure that the program runs effectively and efficiently. This position is a shared role, split 50/50 between the Human Resources Department and the Early Learning Academy. The Administrative Assistant provides clerical, reception, and program support that ensures smooth and efficient operations for both areas. HR-related duties are charged at the approved rate for the Receptionist role, in alignment with operational functions that support agency-wide administrative needs. Essential Duties and Responsibilities Include the following, other duties as assigned: General Administrative Tasks Approve time sheet and ensure compliance with agency and funder guidelines, ensuring that daily activities are within the allowable activities approved by the agency. Prepare and maintain records and reports necessary for the program. Maintain office and program area in manner appropriate to the standards of the organization. Interpret and act on administrative decisions and policies. Read and prepare reports on breakdowns of data and summarize information to facilitate review by the administration. Examine and check reports and databases for completeness and accuracy; determine compliance with established requirements and conduct follow-ups on discrepancies. Give information to the public and staff members on questions not requiring attention of administration. Establish and maintain a complete and detailed filing and data management system. Take meeting minutes. Program-Specific Activities Ensure compliance with all Early/Head Start Program Performance Standards, including as interpreted by Start Early, as well as with relevant federal, state, city, and accrediting/licensing body regulations and requirements. Engage in Active Supervision strategies to support the safety, wellbeing, and appropriate supervision/oversight of children at all times. Act in accordance with the program's Standards of Conduct, building respectful relationships with families, honoring parents/caregivers as their children's first and most important teachers, and maintaining strict child, family and staff confidentiality at all times. Provide appropriate information and referrals on phone inquiries ranging from routine matters to complaint problems of a delicate nature. Complete data entry and support acceptance of childcare co-payments. Program Support Assist program director to successfully fulfill their role as leader, manager and overseer of resources at the site. Support with socialization and parent meeting activities, including scheduling, ordering food and supplies, welcoming participants, etc. Performance & Quality Management Nurture positive and collaborative working relationships with other agency staff and outside stakeholders and partners. Implement the agency mission, philosophy, and core values to direct daily work and decision-making. Adhere to agency policy. Cultivate a professional and respectful work environment. Be actively involved with, and knowledgeable about, the agency's Performance Quality Improvement (PQI) structure and process. Community Outreach Actively and enthusiastically support recruitment efforts to ensure that the program is fully enrolled year-round, including periodically attending health fairs, resource fairs, and community events, including evening and weekend events to connect with families and share information about early childhood programming. Child Care Access & Security Support Responsible for buzzing employees and childcare participants in as well as checking them in/out. Additionally, issue security passes to all visitors while following the agency's established policy and procedures about giving access to Child Care facility when a request to see a child is made. Responsive to the special needs of the Child Care Facility. Use good judgement when requests to see children in the Child Care Facility are made and immediately notifies Child Care staff before giving access to the facility. Follows the Agency's established policy and procedures in regard to giving access to the Child Care facility when a request to see a child is made. Buzzes childcare participants into secured Child Care facility. Child Care check-in and check-out. Issues security passes to all visitors and have them signed in and out in the visitor log. Receptionist Tasks The receptionist is responsible for providing excellent customer service by answering and transferring phone calls courteously and professionally while encouraging callers to leave messages or call back when needed. They maintain a welcoming and helpful tone, ensuring that all inquiries are directed to the appropriate staff or department. In support of administrative operations, the receptionist manages daily office tasks such as sorting/coordinating mailing and postage needs, ordering supplies, and preparing employee anniversary and birthday communications. They also assist with agency engagement events and ensure internal communication runs smoothly across departments. The role includes maintaining accurate records of incoming packages and donations, completing in-kind forms upon request, and coordinating with facilities to ensure timely delivery to the correct staff. Additionally, the receptionist directs job applicants to Casa Central's website and provides guidance on completing applications. As part of quality and performance efforts, the receptionist tracks community inquiries and needs, compiles service metrics-including walk-ins, calls, and referrals-and presents quarterly data to the PQI committee. They actively contribute to the agency's continuous improvement initiatives and integrated service delivery efforts through participation in the Quality Improvement Cycle (QIC). Overall, this position supports agency operations by maintaining organization, facilitating communication, and ensuring a positive and efficient front-line experience for employees, visitors, and community members.     The Creciendo Juntos project offers home visiting for families beginning during pregnancy and continuing for several years. The model calls for families to be visited regularly from pregnancy through to school entry when the child is 5 years old. In addition to the regular home visits, families are also offered opportunities to participate in group sessions focusing on parenting as well as receive developmental toys, books, and other materials. Babies begin learning before birth, and the skills they develop in the earliest years form the foundation on which they can build throughout their lives. To support Chicago families in making the most of this window for early development, and to advance the science on learning and skill development, the Center of Economics and Human Development (CEHD), Preparing for Life (PFL), and Casa Central (Casa) have established the Creciendo Juntos project The Creciendo Juntos project is an initiative focused on three goals. Firstly, to establish and implement an effective home visiting program using the Preparing for Life curriculum and approach. Next, to collaborate with families and communities to co-create the program, maximizing benefits for all. Lastly, to evaluate many aspects of this project through a joint research study. This project relies on the knowledge and experience of each of the partners. The curriculum, designed and supported by PFL, enhances children's early development and promotes school readiness by strengthening parent-child relationships and focusing on caregivers' strengths. The implementation partner - Casa Central - will run the program, bringing a direct connection to the community and an understanding of its needs and mechanisms for incorporating the community's voice. CEHD researchers, who have previous experience studying early childhood programs, will analyze the program's impact on interactions and children's skill development. Essential Duties and Responsibilities Include the following, other duties as assigned: The Home Visitor and home visiting team will work from a clearly outlined program manual with the expectation of delivering the following outcomes for the targeted children, their parents and families to achieve: * Year on year improvements in children's physical, psychological and emotional health, and in their educational, speech and motor skills. * Year on year improvements in parent's psychological health, aspirations for their child, and their parenting skills. Page Break * Improved school readiness. * Supported confidence in parenting and enjoyment of parenting Home Visitors will deliver these objectives by: * Enabling families towards self-reliance in meeting their own needs * Enabling families to meet the development needs of their child. * Ensuring families have access to information on available services and are enabled to utilize these services in an effective and timely fashion. Home Visitor Responsibilities General: * Work with families in their homes on a regular basis according to the Program Manual for Preparing for Life * Participate in the planning, delivery and evaluation of program implementation * Participate in team training, supervision and appraisals * Carry out various housekeeping duties, such as calendar management, team and system updates, to ensure the smooth running of the team * Work occasionally (1-2 days per month) on the weekend, with flexible hours Family Support: * Develop quality relationships with families based on mutual respect, clear communication, integrity, honesty and confidentiality * Work with a caseload of families as directed by the Home Visiting Coordinator. In 1987, the agency opened the doors of its Domestic Violence Intervention (DVI) program. DVI provides crisis intervention, supportive group and individual counseling, psychoeducation, information and referral and safety planning services to adults experiencing domestic violence. The Casa Central Safe Start program began in 2007. Safe Start provides services to children under the age of 6 and their families who have been impacted by exposure to violence in their homes and communities. The program targets communities on Chicago's west side and is part of a statewide network of similar sites, providing Safe Start/Safe From the Start services to young children and families. The DVI and Safe Start programs comprise the agency's Violence Prevention and Intervention (VPI) programs. VPI has three main areas of focus: * To increase community knowledge about the impact of violence on young children, individuals, families and communities, as well as increase awareness of violence prevention and intervention resources through providing trainings for parents, community members, and early childhood professionals, * To provide accessible, culturally sensitive, and developmentally appropriate supportive and therapeutic services for young children and families exposed to violence, and * To build and maintain a dynamic coalition comprised of stakeholders in Chicago's west side neighborhoods for the purpose of collaboration, resource-sharing, and development of a coordinated community response to violence. VPI is a relatively small, but vibrant and growing, department. Its staff includes one full-time Program Director, one full-time Safe Start Therapist, one part-time Program Assistant, one full-time Family & Community Service Coordinator, and three full-time Therapists who primarily work with families who are involved with the child welfare system. We rely greatly on our interns, who provide valuable and much-needed services to our clients and the broader community. Internship Specifics The internship placement is designed for second-year masters-level students in social work, counseling, or a related discipline. The ideal intern will be self-motivated and engaged in his/her own learning process. Preference is given to students who are bilingual (English/Spanish) and who have already completed a certified 40-hour domestic violence training. A specific interest in working with young children and their families, and/or in violence- and trauma-related issues is helpful. Interns will be required to complete a certified 40-hour domestic violence before the end of the first semester (and, ideally, prior to beginning their internship experience); if this training is not completed, students will not be permitted to continue their direct clinical counseling work with clients. This research is exploring the effectiveness of the clinical services provided to children ages 0-5 and their families. With permission from the funder and UIC, site-specific data may be available to students for use in research. Bear in mind, however, that the process of getting this approval may be lengthy; students should plan accordingly. In the past, several students have completed independent research projects with VPI. One student interviewed program participants to explore service adaptations for Latino families receiving violence-related clinical services; another conducted follow-up research to gauge the impact of a Safe Start training program on participants' work with families impacted by violence. Many students also complete course assignments based on work with families they are serving; with client consent, students can typically videotape sessions or complete additional assessments with families. Large-scale/macro-level projects are also an option. In order to complete any research with Casa Central clients, students must submit a written description of the proposed research to their immediate supervisor, who will seek out the appropriate administrative approvals. The intern's supervisor can help facilitate this process. Supervision Philosophy Supervision is extremely important to VPI; we value and prioritize it.     This position provides in-home care services to older adults, according to established plans of care and in accordance with the Illinois Department on Aging (IDOA). Under the supervision of an assigned supervisor, provides assistance with activities of daily living and personal care including bathing, grooming, grocery shopping and other essential errands; performing routine housekeeping and laundry; assisting with meal planning and meal preparation, and providing self-administered medication reminders Essential Duties and Responsibilities Include the following, other duties as assigned: Participant Service Delivery Provides in-home care services, according to participants' personalized plans of care. Assists with meal planning and engages in meal preparation, as needed. Performs routine, light housekeeping such as: making and changing beds, dusting, washing dishes, vacuuming/sweeping, cleaning/mopping floors, cleaning kitchen and bathroom, and doing laundry. Performs/assists participants with local grocery shopping and/or other essential errands; including maintaining all required receipts and documentation. Provides self-administered medication reminders: reminding the participant to take his/her medication; reading instructions for utilization; uncapping medication containers and providing the proper liquid and utensil in which to take medication. Assists with personal care tasks such as assisting with shaving, shampooing/brushing/combing hair, bathing/showering or sponge bathing, dressing, oral hygiene/teeth or denture cleaning, preparation of appropriate supplies, transferring participants, and assists participants with range of motion needs. Assists with and follows written, special diet plans and reinforces dietary recommendations as indicated by the plan of care and/or by the primary physician. Accompanies participants to appointments via public transportation or other community sources (e.g. taxicab, Lyft, Uber, or Medi-car), if required by the established plan of care. Maintains service schedule record /daily calendars, as required. Monitors participants' progress, including any concerns, changes or issues regarding the participant's emotional, cognitive or physical functioning, to ensure the participant's ongoing safety and well-being. Reports any/all relevant concerns, changes or issues related to the participants' safety and wellbeing, their home environment or life situation to the assigned supervisor in a timely manner. Informs the assigned supervisor immediately of any situation that affects participants' service delivery, including obtaining prior approval from assigned supervisor regarding any changes in a participant's plan of care or service schedule. Maintains positive and professional relationships with assigned participants and their families. Maintains the confidentiality of participants' medical and personal information at all times. May be required to perform other duties, as assigned by a supervisor or director. Performance & Quality Management Is actively involved and knowledgeable of the agency's Performance Quality Improvement process and supports PQI activities. A key member of the program's team, the ERSEA (Eligibility, Recruitment, Selection, Enrollment, Attendance) Specialist, is responsible for all elements pertaining to the ERSEA content area of Early/Head Start. The ERSEA Specialist will initiate the enrollment process for the pregnant women and children (birth to three) in the EHS program and ensure a successful enrollment process. This position will collaborate with the Director of Family Service and ERSEA Supervisor to ensure the program is fully enrolled and contribute to the overall success of program operations by monitoring participation and conducting recruitment efforts. Essential Duties and Responsibilities Enroll all EHS Families and pregnant women in the Home-based program. Ensures children are enrolled within 30 days of giving by Start Early. Travel throughout the city of Chicago to reach families of diverse backgrounds. Ensures files and documentation are complete, accurate, and confidentially maintained, in addition to entering and monitoring documentation in the Child Plus system. Maintains a flexible schedule to establish a relationship with parents in the EHS home-based programs. Collaborates with EHS home visitors and HB Supervisor to ensure services to families are coordinated and communication with families is consistent and ongoing for participation in EHS programs. Establishes, develops, and maintains relationships with social services agencies to create partnerships for referrals and recruitment. Collaborate with the Family Service team to provide resources to Home-based programs. Maintain ERSEA PIR up to date year-round. Other duties as assigned: Participant Service Delivery Travel throughout the city of Chicago to reach families of diverse backgrounds to complete enrollment and consent forms. Monitor and support timely, collaborative responses to family attendance/engagement concerns. Engage in quality assurance follow-up to address and understand why family drops from programming.
